12 October 2026 Release Notes
Groups can now buy, sell and give away kit to each other. The new Marketplace lets you browse what nearby groups are offering or looking for, nearest first, ask about an item in a private message thread, and reserve it or mark it as sold or given away — all without sharing anyone's contact details. It is rolling out to groups in the Beta Programme first. Also new this week: the email composer gets ready-made content blocks (cards, buttons and notices), a simpler way to pick who an email goes to, UK English spell check and a right-click menu; campsites can price per person per night with child rates and discounts for longer stays; admin events such as board meetings can be duplicated; trustees can download the conflict register as a PDF; and leaders can re-send a waiting-list place offer that has run out. Behind the scenes there is a big round of fixes to badges, payments, events and security, and districts get the groundwork to work as groups in their own right.
New Features
Marketplace: Buy, Sell and Give Away Kit Between Groups, Rolling Out to Beta Groups
Spare tents, uniform, trek kit or a trailer you no longer need can now find a new home with another group. Browse what other groups have for sale or are looking for, nearest first, and filter by distance, category, condition or free items. Other groups only ever see the first part of your postcode and a rounded distance, never your exact location. Found something? Ask about it in a private message thread between the two groups, and the seller can reserve it for you, release it again, or mark it as sold or given away. Anyone else who asked is told the item has gone. Messages show which group and which person sent them, never contact details. It is rolling out to groups in the Beta Programme first.
Ready-Made Blocks in the Email Composer, Rolling Out to Beta Groups
Make a good-looking email without any design skills. Add a card, a button, a notice box, a divider or a bit of spacing from the new Insert block menu, fill it in with a live preview, and it shows in the composer exactly as it will arrive. Blocks work well in Outlook and other email programs, and button text automatically picks a readable colour against your branding. It is rolling out to groups in the Beta Programme first.
A Simpler Way to Pick Who an Email Goes To
The long row of group buttons under To has been replaced by one Groups button. It opens a searchable checklist: whole-group choices at the top (All Parents, All Leaders, All Trustees, Waiting List Parents), then each section's Everyone, Parents, Leaders and Young Leaders, then your saved groups. Ticks always match who is actually in the To box, the list stays open so you can add several sections in a row, and on a phone it opens as a drawer.
Spell Check and a Right-Click Menu in Emails
The email composer now checks your spelling in UK English, with red underlines, suggestions and your phone keyboard's autocorrect — and it leaves merge fields like the parent's first name alone. Right-clicking in the message now opens a handy menu for cutting, copying, pasting, formatting, adding links and inserting images, merge fields and blocks, with the keyboard shortcut shown next to each one. Hold Shift while right-clicking to get your browser's own menu (and its spelling suggestions).
Price Campsites Per Person Per Night
Campsites and other hire spaces can now charge per person for each night of a stay, so five pounds for ten people over two nights comes to one hundred pounds. Set an adult rate and, if you like, a lower child rate (children pay the adult rate if you do not set one), and add discounts for longer stays, either as a cheaper nightly rate or a flat price per person for the whole stay. Hire spaces can also now be booked overnight, such as 3pm to 3pm the next day.
Duplicate Admin Events and Copy More When You Duplicate
Monthly board meeting? Duplicate last month's admin event, pick who it is for, and move it to the new date. You can bring across the description, location, and the same invited people. Duplicating an ordinary event can now also copy its schedule and activities, and its badge requirements. Leaders can also invite young leaders from other sections to an event, without them taking a young person's place.
Re-send a Waiting List Place Offer
If a family missed the reply window, or you withdrew an offer, you can now re-send a place offer in one step from the waiting list, rather than getting stuck with an expired offer you could not clear.
Conflict Register as a PDF
Thank you to the trustee who suggested this on the feedback board. The Conflict Register page and the Trustee Reports tab now have a Download PDF button that lists current declarations first, then earlier ones that were replaced, with the date each was superseded — ready for your meeting papers.
Admins and Treasurers Can Authorise Their Own Supplier Invoices
A group admin who books a pantomime or the hall can now authorise their own supplier invoices so the treasurer only has to pay them. It is a group setting that is off by default, applies to supplier invoices only (never mileage or reimbursements), and a second person always makes the payment. Every use is recorded in the claim history.
Districts and Group Data Sharing, Made Clearer
Groups that share data with their district now see the wording up front that this also lets the district email their parents, waiting-list families and volunteers. Group admins can see a read-only list of every district email sent — the date, subject, and how many of your people received it — under Settings → Integrations → District data sharing. Behind the scenes, districts are being set up to work as groups in their own right, with read-only viewer access and the ability for a district to manage the leaders of units it created.
Parents Are Emailed When a Share or Transfer Needs Their Consent
When a leader asks to share or transfer a young person to another group, their parents now get an email and an in-app notice with a link to approve it, instead of the request sitting unseen on their dashboard.
Improvements
Badges & records
- Badge requirements show their proper wording instead of an OSM code, and only a completed requirement's saved wording counts as signed off
- Different activities on the same camp day (such as kayaking and sailing) are no longer flagged as duplicates
- The Skills Challenge shows problem-solving progress instead of a checkbox that could never be ticked, and the "four skills" choice offers the badge's own skill list
- Importing members from OSM now shows real progress and a clear summary of how many were imported or skipped as duplicates
- Fixed a banner that read wrongly on badges that have no groups
Events & RSVPs
- Young leaders on an event no longer take a child's place, and cannot sign themselves up as staff
- Parents see a waitlisted child's status correctly, and are told when RSVPs have closed
- Parents can only change RSVPs for their own children, and the attendance register is for leaders and admins only
- Scheduled emails now go out one message per recipient, so they work for more than 50 people
- Tapping a premises audit answer again clears it
- The cross-group invitations banner is now only shown to people who can act on it
Money, accounting & treasurers
- Cash payments go to the Bank Inbox, and transfers between cash and the bank now match their statement lines
- Hand-marked (bank transfer) payments can now be matched in reconciliation
- The add-transaction screen keeps your default bank account
- Fixed stray symbols in the "Set up subscriptions" button
- Leaders with no sections no longer see every payment in the group, and parent Gift Aid is kept within the right group
- Draft expense claims can no longer be approved by mistake or block closing an accounting period, and large money amounts are checked sensibly
- Several Direct Debit safeguards so a payment cannot be taken twice or left half-recorded
Look, feel & mobile
- Icon-only buttons are easier to tap, and table columns can be resized with the keyboard
- Several forms and date fields behave better with invalid entries, and labels no longer disappear on small phones
- The email inbox layout is tidier, and the Group Archive folder is now called "Shared with leaders"
- Downloads and exports are dated with the UK date, even just after midnight in summer time
- Safari now shows the right message when you cancel a passkey prompt
Security and quality improvements
- Many more checks that leaders only see and change their own sections' information across members, payments, badges, events and reports, and that one group can never reach another group's files or data
- Sign-in hardening: backup codes can only be used once, a "use a backup code" option on the two-step sign-in, and safer handling of one-time codes
- Files are now backed up every night to a second secure location
- Sensitive details are kept out of analytics and payment responses, and several software updates close newly reported security advisories
- Search engines can now reach only the public pages of the app
- Better monitoring and clearer alerts so we can spot and fix problems faster, plus a very large clean-up of our automated testing
5 October 2026 Release Notes
Help is now one tap away on every page of Scoutworks. A new Help button opens a side panel that shows the guides for the page you are on, lets you search every guide, and keeps your place so you can read a step and do it side by side — no more jumping out to the website. Also new this week: a lost property link you can share with people who use your hut but are not members, and a price-to-be-confirmed option so camps can be published before the cost is set. Leaders can cancel a meeting in a couple of taps and tell parents at the same time, add guests to any event, and see members' photos on the attendance register. Trustees can start the Safe Scouting premises audit, rolling out to groups in the Beta Programme first. Beyond those: sign-off notes on badge requirements, splitting a transaction as you add it, a clearer way to make an Explorer a Young Leader, white printable emails, and a big tidy-up of how buttons, tables and loading screens look and behave, plus a wide range of security and quality improvements behind the scenes.
New Features
Help on Every Page
There is now a Help button in the top bar on every page. It opens a panel alongside what you are doing that shows the guides written for the page you are on, with a search box for every guide underneath. Read a guide, follow a link to the right screen, and the panel stays put so you can follow the steps as you go. On a phone it opens as a sheet you can close when you are done.
Share Lost Property with Non-Members
A group admin can now switch on a single shareable link that lists the lost property still waiting in the box — handy for a visiting Explorer Unit, a hirer, or anyone else who uses your hut without being a member. The link shows only what was found and where, never who handed it in or who claimed it. You can add photos if you want to, make a fresh link at any time (the old one stops working), or turn it off completely.
Price to Be Confirmed on Events
You no longer have to wait until the cost is worked out before publishing a camp. Mark the price as to be confirmed, publish the event so parents can see it and plan around it, and set the price when it is ready. Income estimates now say clearly when an event is still waiting on a price.
Quick Cancel for Meetings
A meeting called off at short notice can now be cancelled in a couple of taps, with a reason. Parents are told straight away, and helpers get the notice too. Once the meeting date has passed it can no longer be reinstated by mistake.
Notes on Badge Sign-Offs
Any badge requirement can now carry a short note when it is signed off — who did it, what they made, how it went. Notes can be added or edited from the badge page, shown when evidence is approved, and included on the printed record.
Safe Scouting Premises Audit, Rolling Out to Trustees
Trustees can now complete the Safe Scouting premises audit inside Scoutworks. Answer each question as you go, attach evidence, and anything that needs fixing becomes an action on the trustee board with reminders — and can be added to the risk register in a click. Finishing the audit schedules next year's. It is rolling out to groups in the Beta Programme first.
Guests on Admin Events and Photos on the Register
You can now add guests to events that are not run for a section — an AGM, a social, a training evening. On the attendance register, members' profile photos now show beside their names, which makes roll call quicker for leaders who are still learning faces.
Easier Moving On: Explorers to Young Leaders
Making an Explorer a Young Leader now has its own clear, dedicated route — from the Users screen or straight from the Young Leaders page — instead of being something you had to hunt for.
Split a Transaction As You Add It
Treasurers can now split a payment across several categories or budgets at the moment they add it, rather than adding it first and splitting it afterwards. The split screen is now a roomier side panel that is easier to work in.
Leaders Can RSVP for Anyone, and Weekly Meetings Carry Their Team
Leaders can record an RSVP on behalf of any member they look after, and young leaders' RSVPs can be set from the Young Leaders tab. Recurring weekly meetings now carry their venue, leaders and young leaders into every week, and you can add leaders and young leaders to a meeting without sending them an invite email.
Camp Budgets: Fixed Amounts for Adults
The camp budget planner can now charge adults and young leaders a set amount instead of a percentage of their fair share, so what helpers pay is exactly what you decide.
Four Feature Requests From the Feedback Board
Thank you to everyone who suggested these. The Risk tab now sits higher up the event menu, past events are easier to find on the calendar and events list, Halal and Kosher are available as dietary needs, and an awaiting-reply box now shows for young people under Who's Coming. Also from the board: a white, printable email theme, parent helpers on the term programme downloads, a Toileting incident category, and an option to skip lower Joining In Awards or award every stage.
Improvements
Badges & records
- Leaders can award badges to adult volunteers straight from the badge detail page
- Badges that need several sessions now show progress across all of them on the member's badge
- Time on the Water counts sessions rather than hours
- Awarded badges lock their requirement slots so they cannot be changed by accident
- The Cubs Disability Awareness badge now lists its missing b and c parts, and Insights shows the right Cubs top-award counts
- Another group's custom badges no longer appear in your award queue
- Badge reports are now leader-only, and the printed badge record is safer
Events & RSVPs
- Parents are emailed when a leader moves their child off the waiting list
- A child moving up to the next section no longer takes a place in the section they are leaving
- Parents can no longer RSVP an uninvited sibling to an invitation-only event
- Leaders' notes on an event are now included when the AI drafts a risk assessment
- Programme planner: AI week notes can be edited before you apply them, and the review shows more detail
- Leaders get the same uniform access as admins
- Duplicating an event now copies young leaders, and the post-event reminder asks you to sign off requirements
- Camp catering gained several small improvements from group feedback
Money, accounting & treasurers
- Failed payments now match the right Recurring payment and warn when a bank statement is imported twice
- Budget pickers list every budget instead of the first 25, and the variance report lists income first
- Expense claims explain why a supplier's bank details failed validation
- A parent who is also the treasurer sees the whole group's payment history, while other roles see only what they should
- The Cost card can clear a meeting's price again, and date fields no longer keep the last valid date while invalid text is showing
- Only one Scout group can connect to each GoCardless organisation
Look, feel & mobile
- Compact page headers, one consistent button and control height, and one consistent stat-card size across the app
- Tables share one pinned actions column, and loading screens now use the same calm, consistent shimmer everywhere
- Filter toolbars, page actions, failed payments and Insights > Badges now fit properly on phones
- Hover-only buttons now also appear when you tab to them or touch them, helping keyboard and touch users
- The session-expiry warning now shows a circular countdown
- The Email, Review Evidence and Claims & Payments menu items show a count of what is waiting
- Email: the paperclip attaches files again, and clearer reasons are given when a file type is not allowed
- Route planner printouts are now at the true map scale
Security and quality improvements
- Sessions are ended when a security event happens (such as a password or sign-in method change), and signing in no longer stays active indefinitely
- Many more checks that a leader only sees their own sections' information across risk assessments, payments, events, badges and reports
- Role changes, bank and Direct Debit connection changes, data exports and API key use are now recorded in an audit trail, with alerts for anything unusual
- One-click RSVP email links are now signed, and a new sign-up with no subscription can no longer be attached to an existing group
- Groups that have lapsed are cleared out after 90 days as our Terms promise, and abandoned live-tracking sessions are cleaned up
28 September 2026 Release Notes
Scoutworks now has a public API. Groups have been asking for a supported way to get their own data into the tools they already use, and from this week a group admin can create a scoped API key, test it in one click, and connect a spreadsheet, a Zapier flow or a script — with full developer docs, step-by-step recipes and a sandbox to try it on demo data first. It is rolling out to Beta Programme groups first. Alongside it, expense claims can now read a receipt for you: attach a photo or PDF and the merchant, date and total fill themselves in. Trustees get two things they have been asking for: a regulated-activity tracker that counts adult helpers against the new three-days-in-30 legal threshold, and a reserves policy the Trustee Dashboard checks the group against automatically. Hike tracking gained a genuine audible alarm that keeps ringing until a leader acknowledges it. The Knowledge Base can finally hold nested folders, with a folder tree on desktop. The youth portal got its own moments — a badge reveal, a vote button with results bars, and one-question surveys. Elsewhere: why people actually leave is now a reportable reason rather than free text, a Leader in Charge can manage every section of the event they run, training invites filter themselves by what a Young Leader has already completed, and finance gained a detector for payments stranded after a bank switch. Beyond those: a very large sweep of badge, finance, events and email fixes, and a security-hardening pass across the platform.
New Features
The Scoutworks API, Rolling Out to Beta Groups
Groups have been asking for a way to get their own data out of Scoutworks and into the tools they already use — a spreadsheet that keeps itself up to date, a Zapier flow, a script a tech-minded parent helper looks after. There is now a proper, supported way to do it. A group admin can create an API key in Settings → Integrations, choose exactly which areas of the group it can read, and use it against the first endpoints of the Scoutworks API. The key is shown once and never again, can be revoked at any time, and stops working on its own if the admin who made it steps down. A Test connection button confirms it works before you build anything on it. Everything is documented at developers.scoutworks.app, with step-by-step recipes for Google Sheets, Excel, Zapier, n8n, Python and plain curl, and a public sandbox key so you can try it against demo data before touching your own. This is rolling out to groups in the Beta Programme first, and more endpoints will follow as groups tell us what they need.
Read the developer docs →Receipt Scanning on Expense Claims
Attach a receipt to an expense claim line and Scoutworks reads the merchant, date and total off it — a photo or a PDF — and fills in whatever the leader left blank, marking each filled field 'From receipt' so it can be checked before submitting. A scan never blocks a claim: if it can't read the receipt, or the group's own AI allowance is used up for the month, the leader just fills the fields in by hand as before.
Regulated Activity Tracker
From 1 September 2026, an adult helping with young people on more than three days in any rolling 30, or once overnight, is in regulated activity under the new law — whether or not anyone is supervising them. Scoutworks now counts this automatically and flags anyone approaching or over the threshold, with an amber warning at three days so a group has time to act before it becomes a legal problem rather than a rota one.
Hike Safety Alarm
A help request from hike tracking, or a team that has gone quiet, now sounds a genuine alarm — louder and two-toned — rather than the ordinary notification chime, and it keeps ringing every six seconds until a leader presses Acknowledge. Sound effects are switched on by default for everyone from this release; turn them off in Profile → Personalise if you'd rather not have them.
Reserves Policy Tracking for Trustees
Charity trustees are expected to set a reserves policy and check the group against it — a common rule of thumb is a year's running costs plus a buffer. Set your policy in Accounting → Settings → Reserves policy, either as a number of months of running costs or a fixed amount, and the Trustee Dashboard will show where the group actually stands against it, flagging clearly when reserves are running well below or well above what was planned.
Nested Folders in the Knowledge Base
Knowledge Base folders could only ever be one level deep. They can now be nested up to five levels, and on desktop a folder tree sits down the side so you can see the whole structure and move documents into place, rather than clicking in and out of one folder at a time.
Youth Portal Moments
The youth portal now marks the moments that matter. A badge earned since a young person's last visit gets its own one-time reveal instead of just appearing in a list. Youth Voice ideas get a proper vote button with an animated count, and once a vote closes the results show as bars with the winner marked. Leaders can also send a one-question survey that young people answer in a single tap.
Why People Actually Leave
Archiving a member now offers a short list of real reasons — grouped as programme, time and commitment, people, moving on, and circumstances — alongside the existing free-text note, so a group can finally see the pattern in who leaves and why, rather than relying on memory.
Leader in Charge Can Manage the Whole Event
A Leader in Charge attached to only some of a joint event's sections — or to none, such as a volunteer running the whole camp — could not see or amend attendance for sections they weren't personally leading. They now can, for any event they are in charge of.
Young Leader Training Invites Filter Themselves
Tag an event with the Young Leader training modules it covers, and the invite list already knows who still needs it — leaving out anyone who has completed the module, with the reason shown against their name, and a Show everyone switch for when you want the full list anyway.
A Detector for Payments Stranded After a Bank Switch
When a group moves to a new primary bank account, a payment can end up matched across the old and new accounts in a way nothing flagged. Scoutworks now detects these stranded matches — including simple one-to-one ones, not just split payments — and lists every one so a treasurer can move them to the right account in a couple of clicks.
Improvements
Badges & records
- A badge sign-off that couldn't actually complete anything is no longer offered, and a sign-off can no longer downgrade a badge that was just awarded
- The Sections column on custom badges no longer shows blank for section-scoped badges
- Top Award progress counts activity badges from the award's own section, not whichever section the member is currently in
- The parent badges page no longer shows a Submit evidence button on a badge that has already been given
- The Low Stock view now shows the badges that are actually running short, instead of hiding them
- A badge keeps its completed date when it's awarded, and occurrence-only badges are floored correctly on a fourth incident
- Badge requirement banners name the actual model rather than a badge category
- The badge evidence lightbox opens PDF evidence, not only images
- 334 badge rows wrongly marked not-completed by a stale-cache bug have been repaired
Money, accounting & treasurers
- The rollback-to-waiting-list dialog no longer shows subscription amounts 100 times too small
- Budgets' "Per page" selector no longer shows blank by default
- Gift Aid figures agree across every screen and export, and the rounding no longer drifts
- A failed Direct Debit collection is now visible on the member's row instead of being silent
- Editing an ended fundraising campaign no longer resets it to read "Ended just now"
- Section finance now sums every budget that covers a section, rather than picking the first match
- A receipt can be attached to an expense claim after it has already been submitted
Events & RSVPs
- Roll call now sits in the attendance toolbar alongside the other controls, instead of taking a row of its own
- A phased sign-up event no longer disappears from the parent portal once its last open wave closes
- A cross-group invitation no longer shows a same-day date as a repeated range
- Equipment stat cards refresh immediately after checking items in or out
- The event Finance tab shows the right name in the Category column for a pending claim
Members, parents & the parent portal
- Leaving a group now properly ends portal access — a young person moved out by the transition planner could previously keep it
- Trustees can edit meeting minutes, matching what the server already allowed
- District Insights' "No groups connected" button now points at a real page
- Email inbox rows show who actually sent the message, and opening an email by its link works on the first load
- Parent finance no longer overflows on a small phone screen
- The expense-approver card shows leaders in the right colour, not the members' one
Knowledge Base & support
- A pending support conversation nobody came back to is surfaced again, rather than left open indefinitely
- Bug reports in the support chat now prompt for the specific details — which claim, what you clicked, how often — while you type, instead of after you send
Equipment & hire
- Equipment can be imported straight into sub-locations, and pooled items now show on the inventory list
- A hirer can no longer pay a deposit before their booking request has been approved
- The booking wizard quotes from the actual pricing rows, rather than a flat rate that ignores bands or day/night pricing
Security & everyday polish
- A large security-hardening pass across email, badges, finance and file storage tightens who can read and write what, with no change to how anything looks or works
- Member delete is properly scoped and role-guarded so it can no longer cross a group boundary
- A further sweep of dialogs that scrolled their footer out of reach, clipped focus states and sortable tables moved onto the shared header
21 September 2026 Release Notes
Working out which badges a section will finish meant opening the forecast on every event in turn and adding it up by hand. Badges → Forecast now does it in one place, across a window of up to a year, and it is live for every group rather than behind the Beta Programme. The campsite planner gained tent allocation for young people and adults, with exports to take to camp. Guests and visitors are now on the fire roll call — they could be recorded on an event, but were left off every sheet a leader would carry to the assembly point. The youth portal reached parity with the parent view, including a kit list young people can tick off themselves. Trustees get a Team page and a printable team poster. Budgets can hold expected income rather than only planned spending, and the Reconcile drawer now suggests which settled expense claim a bank payment belongs to, scored on the payment reference. Alongside those: RSVP deadlines now behave the way the date implies, an unfinished bank import is no longer invisible, and a wide sweep of badge-record fixes.
New Features
Forecast Badge Completion
Working out which badges a section will finish meant opening the forecast on every event in turn and adding it up by hand. Badges → Forecast now does it in one place. Choose a window — four weeks, three months, six months or a year — and Scoutworks reads the badge requirements attached to events already on your calendar. Results come back two ways: by badge, showing who is close on each one, and by person, showing what each young person is heading for. It runs through the same completion rules that award a badge, so the forecast and the award can never disagree. The page also flags members whose attendance has dropped and those the current programme does not reach at all, with suggestions for where to place them. The forecast assumes everyone attends, so it is an upper bound rather than a prediction, and the page says so. Available to every group, with no setup and no beta flag.
Tent Allocation in the Campsite Planner
The campsite planner could lay out a site but not fill it. Each item on the map now carries how many it sleeps, and young people and adults can be allocated into them — leaders included, so a leaders' tent is a real allocation rather than a gap in the list. Marquees, mess tents and gazebos can be marked as sleeping nobody, so a dining shelter no longer reads as over capacity. Where a plan is attached to an event, the roster is that event's attendees; otherwise it is the group's active membership, and the sheet states which. Capacity warnings update as you allocate, and the finished plan exports in four shapes to take to camp. The entry point is a new Tents button in the map toolbar.
Visitors and Guests on the Fire Roll Call
Visitors and non-regular helpers could be recorded against an event, but then appeared on none of the artefacts a leader takes to an assembly point — which is the reason for recording them. They are now on both attendance registers, in a distinct block headed "Visitors & guests — not members or leaders", with the type of visitor against each name and, on a cross-group event, the group that recorded them. The header count reads members, leaders, guests and total. An event with guests but no members now prints a register rather than reporting nobody attending.
Youth Portal Event Parity
Four things the parent view of an event offered that the youth portal did not. Event notes now wrap rather than running off the side of the screen. The schedule has its own tab instead of sitting below the notes. The menu appears as a tab once a leader has shared it. And the kit list is there and interactive, so a young person can tick off their own packing. It writes the same record a parent writes, so the two see one shared list rather than two diverging copies. Young people still cannot set their own RSVP.
A Team Page for Trustees, and a Printable Team Poster
Trustees have appeared as rows on the team directory since March, but the navigation item and the API both excluded the role, so a board member had no route to the page. They now get it in their own navigation cluster, read-only: names, roles, sections and photos, and never personal email, phone or membership number. Alongside it, a "Meet the team" poster can be printed for any group — photo, name and role for every active volunteer, banded by section or by role, with the trustee board as its own band and an option to include or omit Young Leaders.
Budgets Can Hold Expected Income
Budgets rejected a negative amount, so there was no way to record expected income — hall hire, fundraising, subscriptions — and the finance figures were incomplete as a result. A budget line now carries a direction: a spending limit or an income target. The two vocabularies never overlap, so a line cannot read as over budget for raising more than it planned to, and no one is told they have used 80% of their income. The Budgets tab reports a net position across the whole period — planned and actual surplus or deficit — rather than totalling whichever page was on screen. Every existing budget is a spending limit and keeps its figures, percentages and alerts exactly as they were. A daily alert flags income running behind the year.
Reconciliation Suggests the Expense Claim
When a bank import brings in an outgoing transaction, the Reconcile drawer now identifies which unreconciled rows are settled expense-claim lines and names the claim in the suggestion. The payment reference entered in the banking app is the primary signal and the only route past the high-confidence threshold; amount, date and payee are capped well below it by construction, so a coincidence cannot present itself as a certainty. Where two candidates score within a few points of each other, the drawer flags the ambiguity in amber and names the count rather than offering a coin-flip. Nothing is matched automatically — confirmation stays with the treasurer.
Email an Entire Section
Selecting a section in the email composer reached only the parents, so leaders were maintaining static recipient groups as a workaround, which went stale as soon as anyone joined or left. Each section now offers four groups that stay current automatically: Everyone, Parents, Leaders and Young Leaders. They are ordered section by section, so everything about one section sits together. A section with no Young Leaders does not offer that group. Young Leaders are targeted by the sections they volunteer at, and no one can appear in the recipient list twice.
Share Knowledge Base Documents With Young Leaders
Knowledge base files and folders gain a second sharing grant alongside "share with parents", this one for Young Leaders, with its own section targeting. It is deliberately separate rather than a reuse of the parent grant: a kit list shared with parents is not automatically right for the Young Leaders helping run the section, and a rota shared with Young Leaders is not for parents. A document can carry one grant, the other, both or neither. Young Leaders also gain the Knowledge Base page itself, which they previously had no route to.
Partial Group Data Deletion
A group admin could erase everything or nothing. The reset tool now offers category-scoped deletion, optionally narrowed to particular sections, with a count of exactly what each category covers shown before anything is committed and a CSV backup available first. The full reset remains as one choice on the opening step, behind the same two-step confirmation as before.
Grant a Place on a Full Event
Promoting someone from an event's waiting list once the event was full was a dead end for every role, including group admins. A leader can now grant a place over the cap deliberately and on the record, rather than being blocked by a limit they set themselves.
Keyboard Shortcuts Across the App
Toolbar controls and the page actions menu now carry keyboard shortcuts throughout, and empty states surface the shortcut for the action you would take next.
Improvements
Badges & records
- Badge management gains section-scoped columns, a sticky header, patrol images and a column per occurrence
- The By Person tab supports saved views, so a set of filters used every week is one click away
- Staged badges show sessions completed on the overview, and select-all moves into the table header with the stage rail aligned beside it
- The awaiting-award count now agrees with the list beneath it — one group saw 95 against a list of 43
- Badge detail links to the official page on scouts.org.uk, and its actions are folded into a single header menu
- Combined requirements are split into individually tickable criteria, and requirements that stopped mid-sentence at a colon now read in full
- Recalculating statuses can no longer regress a completed Chief Scout's Award or erase its completion date
- The v1 OSM importer has been retired along with 112 broken column mappings — those columns were silently importing nothing
- A raw OSM member export imports as-is rather than consuming the first member as a header row
- Groups missing an entire OSM sheet are detected rather than left quietly under-recorded
- The submit-evidence sheet no longer clips its content on mobile
- The select-all bar counts against the rows on screen rather than reporting "5 of 2 members selected"
- Badges can be filtered by section when attaching them to an event
Money, accounting & treasurers
- An unfinished bank import is now surfaced to the treasurer — 56 parsed sessions and roughly 1,200 rows were invisible
- A bank row promoted onto the wrong account has a route back to the Bank Inbox
- A plain matched pair can be unmatched from the interface, not only a transfer leg
- Accounts of type "Petty Cash" now set the cash flag, so five of six petty-cash accounts can be reconciled at all
- A claimant can attach a receipt after submitting an expense claim
- A negative amount in a CSV export is no longer converted to text by the spreadsheet-safety guard
- The payments summary cards become a fixed KPI strip, recurring payments sort alphabetically by default, and the fee-decisions card is redrawn as a compact notice band
- Duplicating an asset keeps it on the asset register
Events & RSVPs
- RSVP deadlines now match what the date implies: reminders run through the closing day rather than stopping the morning they matter most, extending a deadline re-arms the notification, and day boundaries are computed in UK time rather than UTC
- The Leader in Charge can update the RSVP for any member on their own event
- A leader from a guest group can see the cross-group event they accepted
- Young people's RSVPs are visible on a leaders-only event
- A lapsed place offer can be re-sent instead of dead-ending
Members, parents & the parent portal
- The parent area shows every section a child belongs to — a child moving on was hidden in their second section
- Files dropped onto the email composer are attached, with a prompt for where images should sit, instead of opening in a new tab
- Mail-merge variables resolve for waiting-list recipients
- The branded email header logo no longer renders full-width in some mail clients
- Linking siblings can search the waiting list as well as current members
- Leaders are warned about outstanding money before archiving a member
- A recurring payment plan can be renamed
- The patrol organiser no longer hides a member whose team reference had gone stale
- A card left mid-edit on one tab no longer greys out the edit control on every other tab
- Parents asking a question are directed to the parent section of the knowledge base
Hall hire
- A required question no longer blocks an internal booking
- Access, invoice and receipt emails are sent to hirers
- Block bookings are supported
Access, layout & everyday polish
- Feature flags resolve server-side, so an ad blocker can no longer hide every beta feature from a group that has them enabled
- Trustee section grants are cleared correctly, and an admin can see which sections they lead rather than only "All sections"
- The team poster no longer prints board members twice or counts trustee access grants as section teams
- Dialogs no longer scroll their own footer out of reach, and the member picker regains its space
- Pagination states how much of the list is in view
- The mobile navigation sheet no longer crops its chevrons on narrow screens
- Reports use the calendar dates selected rather than shifting them by a timezone
- The risk assessment wizard is split into clearer steps with footer shortcuts
- Support chat no longer renders a tombstone for a deleted message
- A further sweep of sortable table headers onto the shared control, so sorting behaves identically everywhere
14 September 2026 Release Notes
The Beta Programme emptied out last week; this week it has something in it again, and it is the biggest thing we have built. Scoutworks now has an AI layer of its own — and rather than tying you to whichever provider we happened to pick, a group can bring its own key from OpenAI, Anthropic, Google or xAI and pay for its own usage. On top of it sit two features rolling out to beta groups now: planning a term's programme, where you say which badges you are working towards and get a filled-in set of weeks to edit; and a writing assistant in the email composer that will draft, shorten, re-tone, polish or simply read back an email before you send it to a hundred parents. Alongside the AI work, nine long-standing backlog items shipped together: care plans for young people who need a bit more thought, an asset register your trustees can actually see, historic accounting years you can fill from a bank statement, trustee duties as a proper task board, camp budgets that price adults and Young Leaders separately, and parent invitations built into the member importers. The rulebook is finally readable on a phone, light mode has been rebuilt from a proper colour study, and there is a new page that finds badge progress inflated by duplicate records and helps you fix it. Plus a very large sweep across badges, accounting, email and access control.
New Features
AI Arrives — and You Can Bring Your Own Key
Scoutworks has quietly used AI for one thing for a while: drafting risk assessments. That has now been rebuilt as a proper foundation underneath the whole app, and the first thing it makes possible is choice. A group admin can go to Settings → Integrations and connect their own AI provider — OpenAI, Anthropic, Google or xAI — choosing the model and paying for their own usage. The key is verified with a live test before it is saved, encrypted at rest, and never shown back to anyone; if it stops working you are told, and we never quietly fall back to our key and bill it to everyone else. Groups who do not want to think about any of that get a monthly allowance on our own key instead, with the counter visible so nothing is a surprise. This is rolling out to groups in the Beta Programme rather than switched on everywhere, because we would rather find the rough edges with a few hundred people than a few thousand.
Plan a Term's Programme With AI
The Programme Planner knows which badges your section is working towards and which weeks are empty. Plan with AI fills them in: a title, some notes and a set of activities for each week, every one tagged against a requirement from the badges you actually chose. Anything the model invents outside those badges is thrown away before it reaches you, and weeks you have already pinned are left exactly as they are. What comes back is a draft in the planner like any other — the coverage rail, the capacity check and the forecast all update, and nothing goes to parents until you publish it yourself. It is a starting point for the evening you are staring at an empty term, not a decision made on your behalf. Rolling out to Beta Programme groups.
A Writing Assistant in the Email Composer
Writing to a hundred parents is the task volunteers most often put off, so there is now help sitting in the email toolbar on every email you send — not just event announcements. An Assist menu offers to write a draft from a sentence of description, polish what you have, shorten it, warm it up or make it more formal, or simply check it before sending and hand back notes without touching a word. Results go straight into the editor, so one undo puts your exact words back; there is no diff to squint at and no extra step to accept. Your merge fields are protected: if a rewrite loses a name placeholder it is rejected and retried, and if it happens twice you are told plainly rather than being handed a broken email. Recipient details are never sent to the AI. The composer itself has been redesigned around it — one accent colour instead of four competing bands, one status strip instead of three, and keyboard shortcuts throughout.
Care Plans and Special Considerations
Some young people need a bit more thought than a medical form has room for — a school support plan, a behaviour plan, an arrangement agreed with a parent about how a difficult moment is handled. There is now a proper home for that. Care plans sit on the member record in seven types, with review dates and a choice of who can see each one, and safeguarding plans are always restricted to admins with no option to widen them. The sensitive text is encrypted at rest and every view is recorded, not just every edit. Where it matters is the event: a leader taking a group away sees an Additional needs panel on the RSVP tab that they can print and take with them. Parents can see their child's plan in the portal, upload a document, and use a Tell us about a support need option to start one themselves.
An Asset Register Your Trustees Can See
Trustees carry a Charity Commission duty to know what the charity owns, which is difficult when the equipment list lives on a page their role cannot open. Equipment now has an asset register: a financial view over the kit you already track, with a charity accounting category, what it cost and when it was bought, supplier, warranty, depreciation with a schedule, and a disposal workflow that keeps an audit trail rather than deleting the row. Purchases and disposals can be linked to the transactions in your books. There are two exports ready to hand to somebody — the register itself and an insurance schedule. It has its own page on the trustee navigation, read-only, so the people who need it can actually reach it. Editing is limited to quartermasters, treasurers and admins.
Historic Accounting Years
A group moving to Scoutworks mid-life has years of accounts behind it, and until now there was nowhere to put them. Accounting settings has an Accounting years panel: add a previous year, give it an opening balance, and choose how to fill it — import a bank statement, enter the totals only, or leave it empty for now. Scoutworks checks that each year's closing balance chains into the next and tells you when it does not. The year card reads left to right as the arithmetic — opening balance, income, expenses, closing — with each figure labelled rather than left as a run of bare money. Years cannot overlap, and the wizard now simply disables every day already covered by another year rather than letting you pick a clash and then explaining it. Closed years are genuinely closed: a transaction, an expense settlement or a bank import dated inside one is refused rather than quietly reopening the books. The bank import wizard has grown up alongside it — it skips title and total rows, copes with pound signs, thousands separators and bracketed negatives, and has a new step for matching categories as they come in.
Trustee Duties Become a Proper Board
Trustee duties and task boards have been two separate things that described the same work. Each group now has a single trustee board, kept in step with your trustee and admin roles automatically, where a duty and its task are two views of one item — complete the card and the duty completes, and the other way round. A trustee who holds no other role sees only the boards they belong to, so giving somebody the trustee role no longer opens the whole group's task boards to them.
Camp Budgets That Price Adults and Young Leaders Properly
Camp costing divided everything by heads, which quietly overcharged the young people whenever a campsite charged less for leaders — or nothing at all. A per-person cost line can now carry separate Youth, Adult and Young Leader rates. Leader and Young Leader prices are worked out from their own rate rather than an average, with the young people's price left as the balancing figure, so the numbers reconcile the way a treasurer expects. The report shows the rate you entered, not just the cost per head. Existing budgets are completely unchanged unless you switch pricing by role on.
The Rulebook, Readable on a Phone
A leader wrote in at the start of the month to say the Policy, Organisation and Rules view could not be used on a phone — which is exactly where you need it, standing in a hall mid-conversation. Three things were wrong: the chapter index stacked above the rule and pushed the text most of a screen down, tapping a rule appeared to do nothing because the page was still scrolled to the index, and the nineteen rules containing tables set the width of the whole page so the text ran off the side. The index now opens as its own sheet from the bottom of the screen, with the search box inside it, and closes when you pick a rule — so the rule you asked for is the first thing you see. Tables scroll on their own rather than dragging the rule with them.
A Calmer Light Mode
Light mode had grown three different families of grey over two years — one for the sidebar, one for the page, another for borders — which is why surfaces that should have sat clearly in front of one another looked flat and depended on shadows to separate at all. It has been rebuilt from a proper colour study onto a single family, with each layer a real step lighter than the one behind it: sidebar, then page, then cards. Body text sits more comfortably against a card, muted text is more legible than before rather than less, and shadows are lighter now that they are not doing the structural work on their own.
Find Badge Progress That Doesn't Add Up
Some badge requirements ask for a number of different things — six different water activities, four separate nights away — and Scoutworks had no way to know whether two records were different or the same thing entered twice. Occurrences now carry the activity they were, so a requirement can genuinely require variety, and the leader is told when it cannot tell ("we can't tell which activity two of these were") rather than silently counting them. For progress already inflated by an earlier import there is a new page under Badges that finds it: four patterns ranked by how confident we are, each listing the exact records behind it, so you can classify, merge or remove them. Nothing is deleted without a record of who did it and why, and no badge already awarded is ever taken back.
Invite Parents While You Import Members
Both member importers now ask, before they run, whether to send parent invitations straight away or hold them for later — and the completion screen tells you how many went out and how many are waiting, with a link to go and send them. Previously importing members and inviting their parents were two separate jobs and the second was easy to forget.
Young Leader Modules B to K, Findable at Last
Modules B to K have always existed on the Belt Buckle badge, but the badge picker on an event only searched badge names — so a leader typing "Module D" found nothing and reasonably concluded it was missing. The picker now searches requirement text too and tells you when that is why something matched, and the two Young Leader badges now read as Module A and Modules B–K rather than leaving you to guess.
Improvements
Badges & records
- Badge history imported from OSM now includes badges earned in a member's previous sections
- Five more Cubs activity badges have their OSM requirement columns mapped, and OSM completion dates are stored as the date on the record rather than the moment of import
- Requirement rows written under an old, since-corrected OSM column mapping are now detected rather than outliving the fix
- Staged badges no longer offer a stage that a later one has already superseded — on the award list or in the By Person matrix
- A member's badge records now show in every group they belong to, not only the one the badge was awarded in
- Awarding a badge stores the date the leader actually picked
- The Membership Badge stock family is kept whole
- Uploading image evidence from the youth portal no longer errors on the requirement pin, evidence notes are no longer silently dropped, and the youth view says why Send is unavailable instead of calling a part-finished badge 'not started'
- The leader evidence email no longer greets anyone as 'null null'
- Parents can see the individual activities behind a counted requirement
- A requirement asking for a number of occurrences is now decided by the tally of those occurrences
- Requirement text reads 'Complete 1 night away' rather than an internal field name
- A one-off backfill for Time on the Water records predating the original tracking fix
Money, accounting & treasurers
- The unreconciled count now agrees with the ledger it sits above, and transfers are included in the ledger export
- Account-to-account transfers appear in the transaction table, and a transfer pair recorded in error can now be undone
- A transaction matched as part of a split can be unmatched — previously there was no way back at all, affecting 61 records across 7 groups
- Treasurers can create and manage budgets
- A failed Direct Debit is now visible, and collectable
- Missed subscription payments show even when a Direct Debit was never set up in the first place
- The member payment history sheet lists every parent, not just one
- The Catch-up and Status columns on recurring payments no longer read as duplicates of each other
- Closing an accounting period is now a sheet rather than a cramped dialog
Email & communications
- Every batch send now writes a row to the communications ledger, so bulk emails appear in your group's email log alongside everything else
- The in-app composer records who each email actually went to — around 2,300 sends a week were previously unattributable
- A scheduled send no longer writes a duplicate record per recipient, and resending a parent invitation no longer rotates a password-set token it never sends
- Waiting list invitation emails now actually ask the parent to complete their details
- Keyboard shortcuts for folders, settings and composing
Members, parents & the waiting list
- Every advanced filter on the waiting list is now multi-select, and Withdrawn has been added to the status filter
- Merging two parent accounts now moves their waiting list applications across instead of refusing the merge
- A sibling already in the group is matched even when they are linked to a different parent account than the one applying
- Care plans can have a document attached while you are writing them, rather than only after saving, and adding one is recorded on the young person's timeline — by type only, never the title, since a title is often the diagnosis
- Permission forms are issued when an event is published, not while it is still a draft
- The Who's coming list refreshes after you add an invitee
- Catch-up payment notifications point at a page that exists
Safety, privacy & access
- Deleting an account for GDPR erasure now anonymises the person in place, which means the request can finally complete — 41 database relationships had been blocking it — while every audit and safety trail it touches stays intact
- Payment changes and risk assessment detail and PDF routes now enforce section access, not just group access
- Recalculating badge eligibility is scoped to the caller's own group; it previously ran across every group on the system for an admin of any single one
- The three badge roster views are now scoped correctly for leaders who only hold certain sections
- The badge member list makes its section scope visible, and lets you change it
- Error responses no longer forward internal detail to the browser, including on oversized uploads
- A parent saving their own details no longer calls an endpoint meant for public token access
Maps, layout & everyday polish
- Trustee Insights maps work again, and every postcode sector stays visible on the member location map
- Page-level notices are now a single region at the top of the page rather than a stack of banners pushing the content down
- One consistent statistic card across the app, one error state, and one set of breadcrumbs across the parent portal
- Empty states now teach the keyboard shortcut for the thing you would do next
- What's New cards no longer paint blurred as you scroll
- Typed text is readable in the address autocomplete
- Rules in the POR that link elsewhere now send you to scouts.org.uk rather than a page that does not exist here
- The Young Leader empty state no longer implies the Award needs an account
- Parents asking a question from a parent-only account are steered to their group rather than to us
- Three recurring production errors traced and fixed
7 September 2026 Release Notes
The headline this week is that the Beta Programme is over — all eleven features that were behind an opt-in switch are now simply part of Scoutworks for every group. The youth portal, dark mode, the route planner, live tracking, the programme planner, task boards, the event medication log, the hut display, Google Drive attachments, asset timelines and promoting a young person to a leadership role: no toggle, no waiting list, just there. Alongside it, parents get a running balance and a printable statement of everything they have paid; the phone gets navigation designed for a phone rather than the desktop menu turned sideways; and a term's worth of draft events can have their dates shifted in one action instead of one evening. Nine long-standing backlog requests landed together — a place to record medication you may give even when everything else is declined, a reason recorded against an archived member, removing a receipt from an expense claim, leaders adding Youth Voice suggestions on a section's behalf, hiding the badges your nation does not use, and more. Plus preferred names on the register, locking a place once a parent has accepted it, your hall's risk assessment attached to the hire listing, a Subject Access Request tracker with the statutory deadline worked out for you, photo galleries for hire listings with a preview that finally shows what hirers will see, and a substantial sweep across badges, the transition planner and money.
New Features
The Beta Programme Is Over — Everything Is Live for Everyone
Eleven features have spent months behind the Beta Programme opt-in, available only to groups who went looking for the switch. They are all now simply part of Scoutworks, for every group, with nothing to turn on: the youth portal (including Youth Voice and its moderation), dark mode, the route planner, live tracking, the programme planner, task boards, the event medication log, the hut display, Google Drive attachments, asset timelines, and promoting a young person into a leadership role. If your group never opted in, expect to find rather a lot that is new — the route planner and the programme planner in particular are substantial pieces of work that have been quietly maturing. The Beta Programme itself has not gone away; it is simply empty, ready for whatever is next.
Parents Can See What They Owe — and Download a Statement
Parents could see individual payment requests but never the whole picture, which meant the answer to 'how much do I actually owe you?' involved adding up a screen by hand. My Finances now opens with a Current Balance card: everything outstanding, broken down by what is pending, what is being processed and what has failed, with a total — and an 'all paid up' state when there is nothing owing. A failed collection still counts as owed, because it is. Alongside it, a new Statement tab lists every settled payment across one-off requests and subscriptions — date, child, group, description, amount — totalled by calendar year with a year picker, and downloadable as a spreadsheet. It is the thing to reach for at the end of the year for Gift Aid or a tax return. Both views are read-only; nothing here can change what is owed.
A Menu Built for a Phone
The mobile menu was the desktop sidebar turned sideways — a narrow column that fitted ten of a leader's twenty destinations, with no swipe, no Escape and nothing to stop the page behind it scrolling. It has been rebuilt as a proper bottom sheet that uses the full width of the screen: areas that own sub-pages take a full row with a real tap target beside them, everything else pairs two to a row, and on a normal phone all twenty destinations now fit with no scrolling at all. Your account moved from a cramped popover to its own page that slides in, so Android's Back button and Escape step back rather than closing the whole thing. Sub-pages like the Waiting List, Transition Planner and Risk Management are reachable on a phone again — nine of them had no route to them at all from the old menu.
Shift a Whole Term's Dates in One Go
Moving a term's programme by a week meant opening every event and changing it individually, which leaders told us plainly 'takes ages'. Select the draft events in the Events list and shift them all by a number of days or weeks, forwards or backwards, in one action. You see an old-to-new preview before you commit. It applies to draft events only — published events carry RSVPs, notifications and payment schedules, and moving those in bulk needs more care than this — so if your selection includes published or archived events the dialog says so plainly rather than quietly skipping them. A 7pm meeting moved across the end of British Summer Time stays at 7pm.
Medication You May Give, Even When Everything Else Is Declined
The permissions list is a series of yes-or-no questions about medicines the group keeps, and a parent who declines every one of them leaves a record that says, in effect, 'give this child nothing'. That is wrong for the child who carries their own inhaler or EpiPen. There is now a free-text note — 'Other medication or treatment we may give' — that a parent or a leader can fill in, and it travels everywhere it needs to: the member's record, the camp register on screen and in print, the medication log, the consent register, the leader-in-charge camp report and the exports.
Preferred Names on the Register
Leaders take the register by calling names out, and a register that says Albert for a child everyone knows as Bertie slows the hall down and reads wrong to parents. Members now carry an optional preferred name, shown wherever the child is named and searchable alongside the legal one — so looking up either 'Bertie' or 'Albert' finds them. Where it matters that both are visible, the legal name appears in brackets.
Lock a Place Once a Parent Has Accepted It
Leaders often extend or reopen an RSVP deadline to fit in extra places or late invitations — and in that window a parent could withdraw a child from a place that had already been counted, after transport, catering and ratios were planned around it. A new per-event setting, next to the RSVP deadline, locks accepted responses: a parent who has accepted can no longer change their own answer and is told to contact a leader instead. Leaders and admins are unaffected and can still change anything. It is off by default, and it only ever binds the parent's own self-service — not the leader acting on their behalf.
Your Hall's Risk Assessment, Attached to the Hire Listing
Hirers and inspectors ask for the risk assessment covering the space, and for most groups that document lives on paper or in another system. You can now link an existing risk assessment to a hire asset — the hall, the field, the minibus — from the asset's Details tab, sitting beside its terms and conditions. Deliberately, there is no second place to write one: you author it in Risk Management exactly as you would any other, and the hire side just holds the link. That means the review-date workflow comes along for free, so an overdue premises assessment shows red on the hire listing without anyone having to remember. Several assets can share one assessment. It is not published to the public hire portal, since assessments can carry internal notes about previous incidents.
Subject Access Requests, Tracked to the Deadline
When someone asks what personal data you hold about them, UK GDPR gives you one calendar month to answer — and a request that arrives by email to a volunteer is easily lost. Settings → Governance now has a Subject Access Requests panel for group admins: log the request and the statutory deadline is worked out for you, with a countdown that turns to a warning as it approaches and red once it has passed. Track the status, who owns it and any notes. There is also a one-click export that collates what Scoutworks holds about the person — profile, membership, event attendance, badges, consent responses, leader notes and a financial summary — so nobody has to go hunting through the app by hand. It covers the highest-value categories rather than literally every record; accident reports are excluded for now and need their own pass.
Photo Galleries for Hire Listings, and a Preview That Tells the Truth
A leader spent an evening composing a cover photo against the admin banner, then found the customer-facing page cropped it completely differently. She asked for a preview button; the cause turned out to be structural. The admin banner was drawing the image in a shape neither customer page used, so a composition tuned to it was guaranteed to be wrong. Three things ship. Every cover image now has a focal point you drag once, and every surface reframes around it — no more decapitated minibuses. A live preview shows the whole photo beside miniatures of each real customer view, with the bands that get cropped away dimmed, so you can see what is lost before you commit. And hire assets now have a proper photo gallery, so the group who composited three minibus photos into one collage in another tool can just upload three photos. Promoting a gallery photo to the cover moves the old cover into the gallery rather than discarding it.
Badges Awaiting Award: Real Artwork, and a List You Can Print
A group admin reported that Badges Awaiting Award 'looked broken' on a phone — and it was: the header, a three-line description, a four-control toolbar and a footer left the list itself clipped to nothing on a small screen. It is now a sheet that fills the screen, with the sort and filter controls collapsed behind one Filter and sort toggle. Two things were asked for on top. The cards now show real badge artwork rather than a generic icon. And a Print list button produces a tick-list PDF of exactly what is on screen — in whichever grouping you chose, respecting the section filter, with the badge shopping list appended — for the leader handing badges out at the meeting with paper in hand.
Hide the Badges Your Nation Does Not Use
The badge catalogue carries every badge from all four nations, so an English group scrolls past 46 Welsh, Scottish and Northern Irish badges they will never award. Settings → Group → Badge catalogue now has three switches to hide each nation's badges, and it guesses sensibly from your postcode the first time — an unambiguously English area starts with all three hidden, a border area hides nothing. Hiding applies everywhere: the catalogue, the matrix, the badge wall, stock lists and exports. A badge somebody in your group already holds always stays visible, so nothing disappears from a young person's record.
Improvements
Badges & records
- The Badge Shopping List — which badges you are short of and how many to order — is now a proper entry on the Reports tab as well as the Stock page, with filters for stock location and age group
- Un-awarding a badge no longer wipes the progress underneath it; the status is recalculated from what is actually recorded instead of being forced back to complete
- Requirements nobody is tracking no longer count as complete on partially-tracked badges, whether the badge is in progress or already awarded
- A recalculation could wipe the Chief Scout's Awards; it no longer does
- More of the OSM import repair: staged levels are dated to the level OSM says was reached, levels derived with no date at all are still promoted, a dropped column is now mapped, and 'Completed' is honoured everywhere
- Dates on badges awarded by an earlier import have been corrected retrospectively
- My Outdoors requirement 1 is split into individually tickable activities, and all six Disability Awareness requirements are now modelled properly
- The Grid view toggle in Badge Management no longer looks broken on a phone
Members & the waiting list
- Archiving a member now records who did it, when, and an optional reason — visible on the archived members list and in the member's history, and cleared on restore
- Members who belong to more than one section now show correctly to leaders on the Members page, and are included once in every section they belong to when you email
- The Section filter on the members list is now multi-select
- A restored member appears immediately, without a hard refresh
- The waiting list can record a national referral as the source, with a 'Where applications come from' breakdown on the Capacity Planning insights tab
- New waiting list notifications for a received application and for an offer being accepted, declined, deferred or withdrawn — on by default for group admins and the assignee, and switchable per person under Profile → Notifications
Money & treasurers
- SumUp card-reader transaction reports import through the bank import wizard as a ninth supported format, with no manual column editing
- A receipt can be removed from an expense claim by the claimant while it is draft or pending, and by an approver until settlement — never after; the removal is recorded on the claim's Activity tab so the evidence trail survives
- A refund issued directly in GoCardless now reaches Scoutworks
- The collection-day sweep can see paused subscriptions again
- The Owed tile no longer charges for a failed payment that was subsequently recovered
- Reconnecting GoCardless no longer sends the page into a render loop
Events, programme & the transition planner
- A programme plan can carry a default location and switches to invite the section's leadership team and its Young Leaders, set once and applied to every event the plan generates — without ever duplicating an invitation, resetting an RSVP or removing a leader you added by hand
- A substantial correction to capacity planning: the planner applied every future departure up front, so a full colony with a lot of Beavers ageing out over two years read as having 35 free places immediately and was filled from the waiting list. Seating is now worked out date by date, so a place has to actually exist on the day somebody arrives — the plan table and the horizon chart now agree
- The Transition Planner no longer offers young people who are already in the plan or mid-transition
- Adding somebody to the plan by hand is now clearly signposted as the route for moves the planner does not suggest — a sideways move within the same age group, or a move before ageing out
- The Roster tab and the Plan tab no longer disagree about whether a young person is staying: overdue and undated moves were invisible to the roster
- An RSVP closing date is treated as the end of that day, not the start of it
- The calendar no longer skips a month when you page forward from the 31st
- Attendance counts weekly meetings only, and never administrative events
Email, support & the youth portal
- A new All Trustees recipient group in the email composer, available to leaders and admins and hidden for groups with no trustees
- Recipient group chips stay available when sending across multiple sections
- Every system email now carries its group, so it reaches the group's email log
- Leaders can add a Youth Voice suggestion on behalf of a section, optionally attributed to a young person — for the idea raised out loud at the meeting that nobody typed in
- Reporting a bug from chat now asks which record it is about, and explains how tracking works
- The support triage greeting is readable, audible, and worth the wait
Safety, privacy & everyday polish
- Security: removing a leader from a section's team roster now actually revokes their access to that section's young people. It previously only removed them from the card, leaving them able to read personal, medical and dietary details indefinitely
- Corrected a misleading line on the volunteer profile: a leader's emergency, medical and dietary details also appear on the leader-in-charge report, which any leader or admin can download — not only to the leader in charge on the roster
- A parent following an invitation from their group can no longer be walked into creating and paying for a Scout group of their own by accident — the second time this has happened, so the fix is structural rather than another warning notice
- A new Poppy and Scouts Uniform Badge 2026 in the badge catalogue
- Route planner: grid references are no longer offered for points outside Great Britain, checkpoint type and notes show on the route card, and exporting a route map waits for the map to finish drawing
- Status colours that were only ever designed for light mode are now dark-mode aware
- A browser with storage disabled no longer crashes the app
- Archived children no longer appear in a parent's My Children list
- The live tracking board's mobile controls collapse into a single docked bar
- The magic-link message now matches the button actually on the login page
- Dismissing a single notification twice no longer errors
1 September 2026 Release Notes
The headline this week is mileage. Volunteers can now claim the miles they drive as a line on an ordinary expense claim, at whatever rate your group has agreed, with the journey recorded and the amount worked out for them — so the last paper form comes off the treasurer's kitchen table. Alongside it, hall and equipment hire learns to charge less for longer bookings and can finally hold a day rate and a night rate on the same row without one cancelling the other; events can record the visitors, helpers and prospective families who turn up but are not on the roster; and accident reports gain two things safety officers have asked for repeatedly — somewhere to write down what the group learned and changed as a result, and the ability to name a parent helper who was present, marked as a witness rather than as someone who was hurt. The Scout Association's safety and insurance wording now ships as a standard block instead of being retyped into two hundred event descriptions, equipment bookings can be cancelled or reduced right up to the day they start, and you can link a badge requirement to an upcoming meeting from the badge itself. Plus a substantial round of Transition Planner repairs — including young people who had gone overdue and become invisible to the plan, and an accidental move that a nightly job would have quietly reinstated — a badge import overhaul, and an error sweep that fixed a login crash on Safari.
New Features
Claim Your Mileage Without a Paper Form
Volunteers drive to camps, to district meetings, to the cash and carry — and until now claiming that back meant a paper form handed to the treasurer, which is exactly the sort of thing groups told us they wanted to stop doing. Mileage is now simply another kind of line on an ordinary expense claim: pick Mileage, enter where you travelled from and to, say how many miles and whether it was a return trip, and the amount is worked out for you at your group's rate. You never type the amount, so a claim cannot quietly be for more than the miles justify. Group admins set the rate under Mileage Rates in expense settings, along with an optional extra for carrying passengers; new groups start at the HMRC approved rate of 55p a mile, and if you choose to pay above it the settings say plainly what that means. A claim already paid is never re-priced when you change the rate later — every line remembers what it was paid at. The claim also carries the postcodes for each end of the journey, which is what makes it a record HMRC would recognise, and both you and your approver see a gentle note if the miles look off — a return journey entered as one-way, or 400 typed where 40 was meant. It is only ever a note; it never stops a claim going through.
Charge Less for Longer Hires — and a Day Rate and a Night Rate Together
Two things groups kept asking for on hall and equipment hire, and they turned out to be the same problem. You can now build a price that changes with the length of the booking — one to two days at one rate, three to six at another, a week and over at a third — set separately for members and for outside hirers, so a weekend camp and a fortnight are not priced identically. The quote your hirer sees names the band that was applied and the effective rate per day, so nobody has to take the total on trust. Separately, a day rate and a night rate can now sit on the same pricing row. Previously entering one wiped the other, which made a hall that charges by the day and a field that charges by the night impossible to describe together. A same-day booking is charged on the day rate and an overnight booking on the night rate, never both. One deliberate change of behaviour worth knowing: day pricing now bills the calendar days a booking touches, so Friday evening to Sunday morning is three days — which is what the wording always said.
Record the Visitors and Guests Who Come to an Event
A camp is rarely just the roster. There is the parent who came to help on Saturday, the climbing instructor, the family thinking of joining who came along to see what it is like. None of them are members, so until now there was nowhere to put them and they lived in somebody's notebook. A Visitors & Guests card now sits on the Attendance tab of an event: add a name, say what kind of guest they are — visitor, helper, prospective member, instructor or other — and add a note if it helps. It is a proper list rather than a free-text box, so a headcount can actually count them. Parents do not see it.
Write Down What You Learned From an Incident
An accident report records what happened. What it could not record was what the group decided to do differently afterwards — which is the part that stops it happening again. Accident reports now carry a Learning & Actions block, and it deliberately sits outside the review process rather than on the reporting form. The reason is that the form cannot be edited once submitted, and the lesson from an incident is almost never understood in the ten minutes after it happens; a field on the form would have been blank on nearly every real report and impossible to fill in later. So it stays editable after a report has been reviewed or closed, and writing a lesson down does not count as reviewing the report — your name is not stamped on a review you did not do.
Name a Parent Helper on an Accident Report
The Adults step of the accident report wizard says it covers leaders, group admins, helpers and visiting adults — but it only ever listed people holding a volunteer role, so a parent who came along to help could not be recorded at all. Helpers now appear from the event's own helper list, and both those who offered and those who accepted are included, because an incident record has to reflect who was actually there rather than who was administratively confirmed. Each adult is also now marked as either affected or a witness. A parent standing nearby is usually a witness, and filing them under a heading that reads 'who was affected' is the wrong thing to have on a safety record kept for twenty years.
The Safety Statement, Written Once
Groups have been retyping the same paragraph of Scout Association safety and insurance wording into every event description, because Scoutworks did not carry it. It now ships as a standard block that appears on the event's About card for leaders and in the event details parents see, without anyone typing it. It is on by default for every event and every group, because a safety statement should not need opting into, and you can turn it off for a single event or for the whole group. If your group has agreed its own amended wording, put that in Settings → Governance and you will see a preview of exactly what parents will read. Leaving the box empty means the standard national wording, not no statement at all.
Cancel or Reduce an Equipment Booking Before It Starts
Cancelling an equipment booking only worked while it was still waiting to be approved, and only for the person who made it. Once a quartermaster had said yes, the kit stayed reserved until the date passed, even if the trip was called off — which meant the catalogue reported four tents as spoken for when nobody was going anywhere. A booking can now be cancelled at any point before the date it is needed, by the person who booked it or by a quartermaster, because the person who needs to free the kit is often not the person who asked for it. You can also simply reduce it: if you only need two tents now rather than four, amend the quantity instead of cancelling and rebooking and losing your place in the queue. An approved booking can only be reduced, never quietly increased.
Link a Badge Requirement to a Meeting From the Badge Itself
You could already open an event and choose which badge requirements it covers. The other direction — standing on a badge and asking which meeting is going to cover this — had no route at all. An Add to an event button now sits on the badge, opening a panel where you tick the requirements and pick an upcoming event. Only future events are offered, because linking a requirement to a meeting that has already happened records progress for nobody. It adds to whatever the event already covers rather than replacing it.
Email Everyone You Have Ticked
Emailing the parents of a set of young people worked in a couple of places and not in others, with a slightly different behaviour in each. It is now one action, and it has been added where it was most obviously missing: badge records. Filter to everyone who has not finished a badge, tick them, and email their parents in one go. A parent with two children in your selection still gets one email rather than two.
Improvements
Transition planner
- Young people whose move date has already passed now appear in the plan again — previously they could be neither found in the plan nor added back to it
- Undoing a section move by editing the young person's record now genuinely undoes it, rather than leaving a move armed to re-apply itself weeks later
- The planner no longer re-proposes a move that is already in progress
- Opening an applicant from the plan now loads their details instead of showing 'we could not load their contact details'
- Send offers now works when the start date you have chosen is in the future
- A departed applicant no longer leaves a stale position sitting on the waiting list
Badges & records
- A significant repair to the OSM import: activity counts were being multiplied by the number of times the requirement asked for, so a single recorded activity could show a requirement as complete
- The OSM import was also giving every one of a member's badges the same award date, and had no mapping for Swimmer and Air Activities staged badges, so those stage awards were silently dropped
- OSM award dates now land on the right day rather than a day early over British Summer Time
- Leaders can log occurrence activities for the My Adventure badge
- Awarding a badge from a member's record no longer errors when the badge has no levels
- The Badge Progress Detail report shows the requirement text rather than an internal reference
- Re-downloading a badge report on the Reports tab now gives you the report you generated
- Young Leader Award empty states now point to the right place
Money & treasurers
- A settled refund could hit the books twice — reducing income correctly and then also posting an expense for the same refund, inflating expenditure. Refund deductions are no longer double-posted
Hire, equipment & waiting lists
- A pending hire booking can be confirmed again
- Leaders no longer hit a permissions error simply loading the hire settings
- Leaders can assign waiting list applications — the only waiting-list action that had been restricted to group admins, despite the button being offered to everyone
Route planner, members & everyday polish
- Hover any point on a route to see its six-figure OS grid reference, and copy it with a tap from the checkpoint list
- Fixed a login crash on Safari — the recovery that already worked for Chrome users had never been reaching Safari users
- The team directory no longer fails to load for a whole group because of one malformed record
- The Specific events filter on the members list now applies when the attendance status is set to all
- The admin impersonation banner is now a compact chip in the header, so it no longer covers the menu button on a phone
- Dropdowns inside dialogs are now readable by screen readers
- Groups queued for deletion are now actually deleted by the nightly job, meeting the retention promise
24 August 2026 Release Notes
The headline this week is the Transition Planner — capacity planning rebuilt around one idea: agreeing a move should not move the child. Every agreed move now carries its own date, sits in a plan you can review and change, and only takes effect when that date arrives. There is one mode instead of two, no setup wizard, and leaders get access alongside admins. The plan's header now names the handful of decisions actually holding things up rather than listing eighty-eight names, and the Roster tab finally answers a date — 'who will be in which section on 1 September?' — as a link you can send to a co-leader. Elsewhere, Live Tracking alerts you when a team has gone quiet, bank imports show what makes a row look like a duplicate and let you decide, tasks can carry files, links and Google Drive documents, hire assets can carry a full T&Cs PDF that is acknowledged at booking, and every file uploaded to Scoutworks is now virus-checked before it is stored. Plus badge, event, treasurer and everyday fixes — including two badge bugs that were quietly losing records.
New Features
One Plan for Moving Young People Up
Capacity planning has been rebuilt as the Transition Planner, and the change that matters most is this: agreeing a move no longer moves the child. One leader told us she tried it once, watched a young person move sections on the spot, and was too nervous to touch it again — so every agreed move now carries its own movement date, sits in a plan you can review and change, and only takes effect when that date arrives. Gone are the two planning modes and the setup wizard: you land on one plan that works from first load, showing the young people ageing out inside your chosen horizon and the waiting-list applicants who fit the places opening up, and you can add anyone the suggestions missed. Each move runs Suggested, then Agreed, then Moved; you can set a group-wide default date such as 1 September and override it for a single child with a reason; and you can pin a decision so regenerating the plan can never overwrite it. Leaders now get access too — they see the whole group's plan and act on their own sections — and there is a drag-and-drop board, bulk actions across sections, a per-section capacity chart, and a preview of every email before it goes out.
A Plan Header That Tells You What to Fix
The panel at the top of the plan used to report six lists of names. On a real group that read as eighty-eight young people behind three coloured pills — when behind those eighty-eight there were only three actual decisions to make: one missing Explorer section, and two sections that were full. It now shows one row per decision, worst first, each ending in the lever that moves it, and it ranks by what you can act on rather than by how many names are involved — a section that does not exist outranks a section that is merely full. Tap a row and the names open in a full-height panel instead of a letterbox showing ten of forty-one, and a new filter narrows the plan table to exactly the young people that one problem is holding up, including those with nowhere to go at all. Notes and blockers are now properly separate, so something you simply need to know is no longer dressed up as something you must fix today.
Ask the Roster a Date
The Roster tab could only ever show you today, which meant it could not answer the question the whole plan exists for: who will be in which section on 1 September? It now takes a date, and because that date lives in the web address, you can send the view to a co-leader and they will see exactly what you see. A young person mid-move is counted in both their old and new section and flagged as settling in, so nobody quietly disappears from a headcount, and the labels and colours now match the Plan tab word for word instead of saying the same thing three different ways. It looks forwards only — we would rather refuse a past date than invent a history the records do not hold.
Alerts When a Team Goes Quiet
When you set up a Live Tracking session you tell it how long a team may go without checking in before it counts as overdue — but until now nothing on the leader's board actually told you when that happened. A new amber banner sits alongside the red help banner and lists every team past its interval, most overdue first, with how late each one is and when it was last seen; tap a team and the map flies to their last known position. Teams already asking for help are left out of it, so nobody is alerted twice for the same team. The most important change is the quietest: a team that had never checked in at all could not previously be flagged — arguably the state you would most want to know about — and the clock now starts when the session starts.
Bank Imports That Show Their Working
A treasurer told us his bank import was rejecting two rows as duplicates that plainly were not, and he was right. One had collided with an unrelated five-pound credit that happened to land the same day; the other was the bank side of an expense claim, which meant that claim could never be reconciled against it. Duplicate detection now grades each collision instead of assuming the worst, and shows you what actually matched: an exact match on date, amount and description defaults to skipping, a probable match against an earlier import of the same statement also defaults to skipping, and anything that merely shares a date and an amount now defaults to importing. Nothing is dropped silently any more — every flagged row appears with its reason and the row it collided with, and you decide.
Attach Files, Links and Documents to Tasks
A task can now carry attachments in three forms: labelled web links, so a grant form or an equipment wish list sits with the job it belongs to rather than in somebody's inbox; files uploaded straight from your device; and Google Drive documents picked through the same chooser used elsewhere in Scoutworks. Each link gets its own label, so a list of attachments reads as a list of things rather than a wall of web addresses. Attachments respect the board they live on — if a task board is restricted to certain people, its attachments are exactly as invisible to everyone else as the tasks themselves, with no admin override.
Terms and Conditions for Hall and Equipment Hire
Alongside the short terms you can already type onto a hire asset, you can now attach a full terms and conditions PDF. Anyone booking that asset can download it from the asset page and from the booking form, and they are asked to tick to confirm they have read it — a tick box that appears only when there is actually a document to read, so assets using plain text, or nothing at all, are unchanged. Crucially, the booking records which version of the document was agreed to and when, as a snapshot rather than a live link. If you replace the PDF next season, every booking already made still shows the terms that were genuinely accepted at the time.
Record an RSVP on Another Adult's Behalf
Leaders tell each other whether they are coming to things in the corridor, in a WhatsApp group, or over a cup of tea at the end of a meeting — and then somebody has to get that into the system. Group admins and the leader in charge of an event can now record another adult's RSVP directly on the Who's Coming tab, rather than chasing everyone to log in and click for themselves. The row is clearly marked as recorded by you rather than by them, and the moment that person answers for themselves their reply takes over, so an on-behalf entry never masquerades as their own word.
Every Uploaded File Is Now Virus-Checked
Every file uploaded to Scoutworks — a photo, a consent form, a receipt, a badge import spreadsheet — is now scanned for viruses before it is stored, and anything that fails the scan is never served to anyone. Behind that, the upload plumbing has been consolidated so there is one answer to how large a file may be on each part of the system, and one path that every upload travels through, which means the scanner cannot be walked around by a corner of the app that forgot about it. You should not notice any of this beyond clearer messages when a file is too big, which is rather the point.
Know Which Emails Adding a Parent Will Send
Adding a parent with an email address has always emailed them straight away, and nothing on the screen said so — the one tick box you could see governed a different email entirely, so unticking it looked like it stopped the parent being contacted, when it did not. Both places where you add a parent now show a plain 'what we will email' summary, listing every message that saving will send, before you save. You can also choose not to invite a parent yet and send the invitation later from their record, which is what you want when you are entering a term's worth of new families in one sitting and would rather they all heard from you on the same day.
Improvements
Badges & records
- Nights away recorded through Record Occurrence now count toward the badge — 158 existing records across 146 members and 13 groups have been corrected
- Fixed an OSM badge import that could write one member's badges onto another when several category files were imported in one session, and repaired the affected records
- The OSM importer has been redesigned around what is blocking your import, rather than the order the data happened to arrive in
- Badge permissions now check the sections a leader actually looks after, not just their group
Transition planner
- A group that has never planned before now gets suggestions on first load, instead of being told nobody is due to move
- Filter the plan by movement date, so you can work through one moving-up weekend at a time
- Removed the 'families split up' warning, which flagged siblings who were never going to move together anyway
- The section-move email no longer promises a first meeting date that may not happen
- Calmed the amber 'Send offers' warning box, which read as an error when it was only a prompt
Events & registers
- A cancelled RSVP now overrides a leader's earlier register tick, so members who pulled out stop taking up places on camp lists, catering and kit lists
- Select all and Clear all when choosing which sections an event is for
- Re-downloading an Event Financial Report now gives you the PDF you generated, rather than re-running the report on screen
- The recipe list in the camp catering planner now scrolls properly on touch screens
Money & treasurers
- A treasurer can now re-categorise a line on an approved expense claim — which is exactly when a miscoding tends to get spotted
- A catch-up payment now records the held credit it spends, so a retry collects the right amount
- Subscription suggestion amounts now show in pounds rather than pence
- Finance payment screens have been tidied to match the rest of the app, with the Catch-up column redesigned
- Medical permission labels in Add Member no longer truncate to 'Antihist…'
Email, members & everyday polish
- Email a whole section's leaders in one go, with new 'Section Leaders' groups in the composer
- You can now schedule an email for later the same day
- A new group's automated emails no longer reach parents who were never invited to it
- Filter the members list by Young Leaders, or exclude them
- Sections can now appear in capacity planning while staying hidden from the public waiting-list form, and the other way round
- Removed the Young Leader dashboard card, superseded by the Getting Started checklist
- Support chat replies now read as plain text, and no longer ask twice whether you want to escalate
- Spreadsheet exports across every report are protected against formula injection
17 August 2026 Release Notes
This was a week about seeing into subscriptions. The headline is a new Payment Activity log: a dedicated tab on Finance that records every change a leader makes to a member's recurring payment — who paused, skipped, resumed, cancelled, credited or rescheduled it, and when — so a subscription that changed unexpectedly finally has a trail you can follow. Around it, subscriptions now explain themselves: a pause names exactly which charges it covers and when payments restart, a pending collection-day change shows on the member's row so you never wonder whether the button worked, and you can credit a held payment right where you are, with a plain-English note of what will happen before you confirm. Catch-up retries now show the real amount they will collect rather than a stale figure, you can drag the sidebar to any width, event notification emails finally name the group and section they are about, and a locked capacity plan can be reopened without scrapping it. Plus a long list of treasurer, badge, email and everyday improvements.
New Features
See Every Change to a Member's Subscription
Finance gains a new Activity tab that keeps a running record of every change a leader makes to a member's recurring payment — pausing or skipping payments, resuming, cancelling, marking a cycle paid by hand, crediting a payment, or moving a collection day — with each row naming who did it and when. If a subscription was paused and nobody was sure who did it, there is finally a trail to look at. You can filter by member, section, action or date, and search by member, the person who acted, or the payment name. It records from this release onwards, building the history from here rather than reconstructing the past.
Subscriptions That Explain Themselves
Paused and rescheduled subscriptions no longer leave leaders guessing. A pause now spells out each charge it covers and names when the pause ends and payments restart, instead of a bare 'Skipped' beside a date. A pending collection-day change now appears right on the member's row with a plain note — 'we'll move this to the 15th once the payment on 3 September has cleared' — so nobody clicks the button twice thinking nothing happened. And when you credit a held payment, you can now do it without leaving the page you are on, with the panel telling you whose money it is, where it came from, and exactly what will happen before you confirm.
Catch-up Charges You Can Trust Before You Click
When a catch-up payment fails and you go to retry it, the amount you see is now the amount it will actually collect — taking account of any credit the group already holds — rather than a stale historical figure that could be double what a family really owes. And once a catch-up has settled, you can now see exactly which periods it covered, so it is always clear what has and has not been paid.
Resize Your Sidebar
The navigation sidebar is no longer stuck at one width. Drag its edge to make it as wide or as narrow as you like, drag it all the way in to collapse it to icons, and double-click to snap back to the default. Your choice is remembered for next time.
Clearer Event Notification Emails
'Added to an event' emails now tell you at a glance whether they are even meant for you. The subject leads with the group and section — for example '1st Bromley Scout Group · Beavers · New event: Sleepover' — and the details now spell out the event type, group and section. That matters for leaders who help across more than one section or group and used to get near-identical emails they could not tell apart.
Reopen a Locked Capacity Plan
A confirmed capacity plan can now be unlocked back to a draft if you spot a single wrong move, instead of cancelling and rebuilding the whole thing — and because no offers have gone out at that stage, unlocking sends no emails to families. You can also skip the offer emails entirely when you are handling moves in person, recording each family's answer directly on the row.
Improvements
Treasurers & payments
- Treasurers can now see every event and all of the group's payments, not just their own sections
- A treasurer's finance access is properly removed when they step down from the role
- A same-day catch-up tie now breaks toward spendable credit, so nobody is over-charged
- 'Ask the parent to re-approve' is now a button you can act on directly, not a dead end
- A settled payment no longer blocks merging two duplicate parent records
- Added a date-range filter to the bank inbox event list
- The collection-health card now says whether it is showing a rate or a count
- A paused subscription now stays within its pause window, and shows that clearly on the grid
Events, badges & registers
- Awarding a badge no longer quietly fails when a supporting record is missing
- Undo a manual sign-off of a badge requirement, with activity logged inline on the Adventure badge
- Registers now print the members who are attending by default, with a full roll call on request
- An event's RSVP status now reads from the current field, so it is always accurate
Email, members & everyday polish
- Bounced emails are now findable, and we no longer report undeliverable mail as sent
- A group's saved email recipient list is kept exactly as you set it
- Saving an unrelated change no longer reshuffles a member's primary section
- Bug-report screenshots now capture exactly what you were looking at
- Waiting-list import now accepts OSM and other common CSV column headings
- Editing a custom hire question now keeps its answer type
- Public booking day options now list Monday first
10 August 2026 Release Notes
The headline this week is an embeddable calendar: you can now drop your group's live calendar straight onto your own website, choosing exactly which layers to publish — meetings and events, hall and equipment hire, or just when your spaces and kit are free — and leaders can finally see hall lettings alongside everything else in the calendars they already use. There's also a new Payments tab on each member's page that puts their whole money story — every past and upcoming payment — on a single timeline, with today as the dividing line, so reconciling against a bank statement no longer means hopping between screens. A new booking timeline (rolling out to groups) lays equipment, hire and events on one horizontal chart so you can spot clashes and free capacity at a glance, you can now award a handful of badges to adult volunteers, and every team, patrol and six gets a real page of its own. Plus a long list of finance, events, calendar and everyday improvements.
New Features
Put Your Group's Calendar on Your Own Website
You can now embed your group's live calendar directly on your own website. Copy the snippet from the calendar's 'Embed on your website' option and your published events appear on your site and keep themselves up to date — no logins, no Scoutworks branding, just your calendar. You choose exactly what to show with three independent layers: meetings and events, hall and equipment hire, or none of the events at all if you simply want to publish when your spaces and kit are free as an availability calendar. Alongside this, leaders and admins can now see hall lettings right inside the calendars they already use, with a long-term let drawn as one continuous bar rather than a row of repeated entries. It's live now.
A Member's Whole Payment Story, on One Screen
Each member's page gains a new Payments tab that brings everything about their money into a single list, in date order, with today as the dividing line — scheduled and upcoming charges above, everything already collected below. No more switching between screens or squinting at a narrow pop-up to piece together what has been paid and what is still to come. It shows every one of a member's subscriptions, one-off charges and event payments together, flags any held credit or catch-up amounts, and is available to leaders and admins now.
See Everything You've Booked on One Timeline
A new booking timeline lays your equipment, your hall and space hire, and your events onto one horizontal chart, so you can see at a glance what is booked out when, where two things clash, and where you have free capacity. Ask 'is the minibus free that camp weekend?' and get the answer by flicking on a single layer. Zoom by week, month or quarter, filter by category or location, spot clashes ringed in red, and switch on empty rows to see exactly what is free. It's rolling out to groups now.
Award Badges to Adult Volunteers
Leaders can now award a small, chosen set of badges — the Membership Award, the group name tape, the Union Flag, Kandersteg, and any of your group's own custom badges — to adult volunteers, not just young people, with your badge stock updating automatically as you do. Any adult in a leader, admin or trustee role can receive one, whether or not they also have a member record. It's live now.
A Real Home for Every Team, Patrol and Six
The Teams, Patrols and Sixes area has been rebuilt around the thing a leader actually thinks about — a single team. Instead of picking a section from a dropdown and seeing every team at once, you now get an index of all your teams grouped by section, and each team has its own page for its scoreboard and members. As part of the move, teams that members had been assigned to but that were missing from the organiser board have been recovered, so some sections will see teams and members appear that were there all along but previously hidden.
A 'Don't Charge' That Actually Sticks
When you cancel an event or subscription payment, you can now choose to stop that member being charged again — a 'don't charge' that sticks rather than quietly coming back the next time the payment rules run. Single cancellations pre-tick this when it makes sense; bulk cancellations leave it off by default so you never lose a whole cohort you meant to re-bill at a corrected amount; and the whole thing now respects section boundaries, so a leader can only act on their own members.
Improvements
Finance & payments
- Search for a member directly in the payments grid, instead of scrolling to find them
- The failed-payments count now only counts payments you can still do something about
- Catch-up charges are recalculated correctly, taking account of credit already held so nobody is over-charged
- Refunds are now recorded as a proper contra entry rather than a cost, keeping your accounts tidy
- A member you have excluded from a payment rule is never charged by the automatic run
- Recreate an accounting category you had previously deleted
- Settling an expense claim line now asks for a bank account first
- Gift Aid exports now claim across your whole books rather than only the reconciled rows
- The member payments summary is now readable on a phone
Events, calendar & programme
- Weeks now start on Monday everywhere, from a single setting
- Managers can record the leader-in-charge's own RSVP
- Attending members are listed first when you record medication
- Guest-group leaders can give their own members medication on a joint camp
- The attendance register now defaults to the members who said they were coming
- 'Mark all present' now clearly looks and behaves like a button
- Young leaders are no longer counted in an event's adult total
- Creating a kit-list template now asks for an event type first
Members & everyday polish
- Membership badges now show their full official requirements
- Fixed member team assignments being silently dropped when editing a member
- Permanently remove a suspended member when you need to
- Dates now read in UK format, and a single-day range reads once rather than twice
- The signature pad no longer traps scrolling or wipes itself on mobile
- A calmer session-timeout message, with the broken close button removed
- Animations now respect your device's 'reduce motion' setting
- Reporting a bug now opens a live conversation with the team that you can follow through to resolution
3 August 2026 Release Notes
The headline this week is a brand-new Help & Support experience: instead of a menu of options, tapping 'Help & support' now opens a single panel where you can chat live with the team, report a bug as a friendly step-by-step conversation, and see all your past reports as tidy threads. Leaders also get a much clearer picture of attendance, with the old monthly chart replaced by a session-by-session register that finally tells apart a member who is drifting away from one who has never been regular. Waiting-list triage moves out of a cramped pop-up into a proper workspace where you can work through applicants side by side and accept a whole batch at once, and Capacity Planning has been redesigned around one clear set of words and controls you can act on in place. Plus a long list of finance, payments, events and waiting-list improvements.
New Features
A New Home for Help & Support
Help & support has been completely rethought. Instead of choosing from a menu, tapping 'Help & support' now opens a single panel where you can chat live with the Scoutworks team, report a bug, browse the knowledge base and share feature ideas — all without leaving the page you were on. Reporting a bug is now a friendly, step-by-step conversation that asks one question at a time and attaches a screenshot for you, and 'My reports' shows your past reports as threads you can reply to, with a notification when the team gets back to you. It is live now for everyone.
See Attendance at a Glance
The group Attendance tab now shows a session-by-session register in place of the old monthly chart. A single percentage could never tell apart a young person who has missed the last few weeks in a row from one who has simply always been irregular — so the register lays out every session, highlights who is currently drifting, and adds a short summary for each section. Members you have explicitly marked absent now count properly, and sessions from before a young person joined no longer count against them, so the figures finally match what leaders see on the ground.
A Calmer Way to Triage Your Waiting List
Working through your waiting list is no longer squeezed into a pop-up. Triage now opens as a full workspace page with three clear columns — the batch of applicants, the child's details, and your decision — read left to right in the order you make them. Applicants are grouped by what they need from you (needs you, ready to accept, done), you can accept a whole batch at once with a confirmation listing every name and destination, and if a section still needs setting up you can finish that right there instead of being sent away. You can even share a link that opens straight to a particular applicant.
Capacity Planning, Redesigned
Capacity Planning has had a full redesign around one simple idea: one clear set of words for every status, with colour used to show the state of a section rather than where it sits in a workflow. Every fact on a row is now something you can act on — pick the decision or destination you want directly, rather than digging through a menu — capacity bars behave consistently everywhere you see them, and you can export projected rosters and waiting-list reports straight from the Reports tab.
Improvements
Finance & payments
- Move an existing member's collection day yourself, without cancelling and re-creating their plan
- Credit a payment you have already recorded against a specific cycle, instead of recording it twice
- Catch-up arrears now count money already collected on a member's other subscription, so nobody is over-charged after a duplicate is cancelled
- A catch-up charge can never exceed the amount the consent dialog quoted the parent
- The member payment history now shows every one of a member's subscriptions, not just one
- Direct Debits are now set up from the plan's collection day, so pending members collect on the right date
- A rescheduled plan no longer quietly drifts to a different day from the one you chose
- Tidier, safer Gift Aid CSV exports that no longer mangle descriptions
Events & waiting lists
- Parents are now emailed and notified the moment their child comes off an event waiting list and gains a place
- One-click RSVP from an event email now respects each section's capacity limit
- Fixed the event waiting-list message to parents, which could show the wrong wording and the wrong position
Members & polish
- Polished the Members pages — a more responsive Parents tab, clearer layout and sticky columns
- 'Clear all' on filters now also clears the default section chip
- Beta programme settings gain 'learn more' links and a per-feature way to send feedback
27 July 2026 Release Notes
The big one this week is the Programme Planner: pick a badge for your section — say 'Cubs earn Chef this term' — and Scoutworks lays out a full term of weekly meetings, suggests real Scout activities for each requirement, and publishes the lot to your calendar as ready-to-run events. It is rolling out to beta groups now. You can also browse a directory of 110 real UK Scout and Guide campsites on a searchable map, subscribe your whole group calendar to Google, Apple or Outlook, shape fundraising campaigns after they launch, book identical kit by the handful instead of one item at a time, see exactly who added every transaction in your accounts, and tidily merge duplicate parent records left behind by an import. And if you have ever wanted to show Scoutworks to someone, there is now a fully interactive live demo, pre-loaded with real data and refreshed every Monday. Plus a long list of finance, badge, member-import and sign-in improvements.
New Features
Plan a Whole Term Around a Badge
The new Programme Planner turns a badge goal into a ready-made term. Pick a section and a badge — for example 'Cubs earn Chef this term' — and Scoutworks lays out a week-by-week plan with one slot per requirement, then suggests real Scout activities that cover each one. Accept, swap or search for alternatives, drop in your own group's activities, and watch a live badge-coverage panel fill up as you go. When you are happy, publish the term straight to your calendar as draft events with the activities and badge requirements already attached — so your usual RSVP, register and award-at-register flows just work. Rolling out to beta groups now.
Find a Campsite: the UK Scout & Guide Directory
A brand-new campsite directory brings together 110 real, verified Scout and Guide sites from across England, Scotland, Wales and Northern Ireland — each checked against its official page. Search by name, town or county, filter by nation, type and facilities, and switch between a sortable table and an interactive map to find somewhere near you. Tap any site for full details and a link to its own website. Find it under the Knowledge Base. Always confirm the details with the site before you book.
Subscribe to Your Group's Calendar
Leaders and admins can now subscribe to a live feed of the whole group's published events in Google Calendar, Apple Calendar or Outlook — so every camp, meeting and outing appears alongside the rest of your life and stays up to date automatically. Find it under Events → Event Actions → Subscribe to Calendar. You can roll the link at any time to revoke old access, and it sits neatly beside the personal calendar feed parents already get for their own children.
Shape Your Fundraising Campaigns
Fundraising campaigns are now far more flexible. You can edit the suggested donation amounts and the target after a campaign has launched — not just at the start — choose exactly which amount is highlighted as 'Popular', and add a short line to each amount so donors can see what their gift pays for (for example '£25 – Name on a seat plaque'). Existing campaigns and their donation pages carry on looking exactly as they did.
Book Equipment by the Handful
Kit you hold lots of — hi-vis vests, mess tins, roll mats — can now be grouped into a single item and booked by quantity. Instead of 50 separate rows for 50 vests, you get one tidy line you can expand, and asking for 'four of them' on an event now actually reserves four. Create a group while adding or duplicating equipment, or by selecting existing rows in bulk, and ungroup again whenever you like. Booking clashes are clearer too, naming the exact event and section that already has the item.
See Who Added Every Transaction
Your accounts now show their own history. Open any transaction in the ledger and a new Activity section tells you who added it and when, who reconciled it, and the full trail of changes since. Automatic entries from the bank and payment providers are labelled clearly, so a treasurer can always answer 'where did this come from?' without leaving Scoutworks.
Merge Duplicate Parents
If an import left a parent with two records — one per child — you can now merge them in a couple of taps from Tools → Duplicate Parents. Their children come together under one record and any missing contact details are filled in from the other. Imports are smarter now too, so a parent with more than one child in your group is far less likely to be split in two in the first place.
Try Scoutworks: a Live Demo
Curious what Scoutworks can do before you sign up? There is now a fully interactive live demo, pre-loaded with a realistic group's worth of data — members, sections, events, finances and badges — so you can click around and try every feature for yourself, no account needed. It resets automatically every Monday, so it is always clean and ready for the next person to explore.
Open the live demo →More for Leaders
- Export your members for OSM straight from the Members reports page, and pick exactly which members to include
- Export a Badge Progress Detail report — right down to individual requirements — for the members you choose
- Get an email the moment an expense claim is settled, with the approver and payer kept in the loop
- Add sibling and volunteer details on the embedded district waiting-list form
- Corrected requirements for the Beavers Global Issues badge
Improvements
Finance & payments
- See your available GoCardless balance in the refund dialog before you submit, so a refund can't bounce for lack of funds
- Reconcile a manual refund made from your bank against the exact payment it relates to
- Recurring payments like subs no longer break when a member moves between sections
- Removed the payment-failed banner that could linger after everything was already sorted
Members, badges & imports
- The OSM importer no longer closes when you dismiss a warning, and keeps your selection if you miss a checkbox
- Corrected OSM badge mappings for Explorers so the right badges are matched on import
- Fixed phased event sign-up so wave priority is properly enforced, and a blank wave-1 opening date can no longer break an event
Events, email & sign-in
- A cleaner sign-in screen, with Google and Microsoft laid out as clear tiles above the email box
- Your group's branding now shows in the email template preview, so what you see is what parents get
- Follow-ups to last week's Route Planner: rename routes, import an existing GPX track, and link a route to an event
- Tidied focus outlines and notification cards, plus a batch of smaller fixes across events, equipment and mobile
20 July 2026 Release Notes
A big week for the outdoors: you can now plan walks and hikes on a map with checkpoints, grid references and a printable route card, follow your teams live on an expedition as they check in from their phones, and lay out a whole campsite — tents, shelters and facilities — on a true-to-scale map. You can also search the full Scout rulebook (POR) right inside Scoutworks, log and reunite lost property, sign in with your Microsoft account, and set the sections your pages open on. Parents get a clear guide to where each of their child’s badges is sewn, email templates are now editable, and there’s a long list of finance, badge and reliability improvements.
New Features
Plan Walks & Hikes on a Map
A new Route Planner lets leaders plot a walk or hike on a topographic, satellite or street map — drawing the route, dropping typed checkpoints (start, finish, water, hazard and more) and getting live distance, climb and estimated walking time as you go. Each route builds a DofE-style route card with grid references, bearings and escape-route notes for every leg, and you can export it as a GPX file, a printable A4/A3 card or an image. Rolling out to groups now.
Follow Your Teams Live with Live Tracking
Live Tracking lets you keep an eye on teams out on an expedition in real time. Create a session, add your teams and hand each one a join code or QR card. Young people — who don’t need a Scoutworks account — open a single public page, enter their code and tap Check in; their location appears on your live map as a coloured trail, with a clear ‘needs help’ alert, stale-team warnings and a fullscreen mode for a hall display.
Lay Out Your Campsite
The new Campsite Planner lets you design a site plan on a real map at true scale — a 3m × 4m tent is drawn as an actual 3m × 4m shape that stays the right size at every zoom. Drag and rotate tents, shelters and facilities from a 33-item Scout catalogue over satellite, street or terrain maps, then export a printable PDF, an image or a kit list. Link a plan to an event to keep everything together.
Search the Scout Rulebook (POR)
You can now search the full Scout Association Policy, Organisation & Rules — all 167 rules — without leaving Scoutworks. Find it from the global search (press ⌘K) or the new Policy (POR) page under the Knowledge Base. Every rule shows when it was last updated and links straight to the official source.
Reunite Lost Property
Every hut has its pile of unclaimed hoodies and water bottles. The new Lost Property board turns the ‘whose is this?’ WhatsApp photos into a simple flow: a leader snaps and logs an item, parents spot it from home and tap ‘This is ours’, and you hand it back at the next meeting. A one-click end-of-term clearout donates whatever is left over. Rolling out to groups now.
Sign In with Microsoft
You can now sign in to Scoutworks with your Microsoft account — a personal account or a work or school one — in a single tap, with no new password to remember. It sits alongside the Google and email sign-in options, and you can link both Google and Microsoft to the same account from Profile → Connections and use whichever you prefer. Your group’s two-step verification still applies, so nothing about your security changes.
Default Section Filters
If you look after more than one section, you can now choose which section — or sections — every page opens on. Set your defaults once under Profile → Personalise and pages like Members, Events, Team, Parents and your finance lists will start focused on just those sections, with ‘all sections’ always one click away. Any saved views you have already set up still take priority.
Where Your Badges Go
Parents get a new ‘Where badges go’ guide for each child: the official section diagram with numbered zones, their child’s awarded badges sorted into the right area, and a printable checklist to sew from. No more guessing which sleeve a badge belongs on.
Edit Your Email Templates
Email templates can now be edited directly. Open a saved template, choose ‘Edit template’, make your changes and save — no more copying the text into a brand-new template and deleting the old one.
More Tools for Leaders
- A faster OSM badge import — drop all your export files in at once, preview exactly what will change, then confirm in a single step (rolling out to groups)
- Admins can now ban or unban an account, blocking sign-in and ending any active sessions
- Automated reminders now chase up subscriptions where the mandate is active but the payment has not been approved
- Two new badges in the catalogue: the ScoutsCymru Cennin Pedr Award and the Group Name Tape
- Add a set quantity to equipment items, print an event packing list as a PDF, and submit an expense claim straight from an event
Improvements
Finance & payments
- Fixed Direct Debit income being silently lost when no primary bank account was set
- Fixed several refund issues — duplicate notifications, bounced refunds and unclear error messages
- Stopped moving a member between sections from creating a duplicate subscription
- Search the ledger by transaction amount, with clearer Source filters and ready-made saved views on the accounting pages
- Mark a bank account as a cash account so it reconciles correctly
District & waiting list
- Shorter district waiting-list portal links, with a QR code you can print or share
- Clearer charity-registration wording, with a declaration surfaced to your district
Email, mobile & polish
- A pulsing blue dot now highlights brand-new features in the sidebar
- Mobile time pickers now use a consistent scroll-wheel drawer
- Profile edit forms open in tidy slide-up sheets
- Fixed email editor text being hard to read in dark mode, and made long email threads scrollable on desktop
- Young Leaders’ own email addresses are now included as section recipients
- Added subtle success animations and fixed a batch of smaller user-reported issues across events, payments, equipment and mobile layouts
13 July 2026 Release Notes
The headline this week is Dark Mode — a softer, easier-on-the-eyes look for the whole app that follows your device or switches on with a single tap, now rolling out to groups. You can also sign in with your Google account with no new password to remember, and make Scoutworks your own with a fully customisable sidebar you can reorder and rename. Recurring payments like subs are now proper plans that keep everyone on the same collection day, a new Badge Requirement Finder tells you which badges an activity counts towards, and there is a whole set of camp-ready tools: an attendee register with medical and dietary details, camp menus you can share with parents, kit-list notes on your printouts and printable photo cards for door signs. Add what3words locations, click-to-WhatsApp contacts, nation awards for Wales, Scotland and Northern Ireland, and a long list of finance, mobile and reliability improvements.
New Features
Dark Mode
Scoutworks now has a full dark theme — a softer, lower-glare look for the whole app that is much kinder on the eyes for late-night planning. Switch it on with a Sun/Moon button in the top bar, or set it to ‘system’ and let it follow your phone or computer automatically, switching to dark in the evening and back to light in the morning. Your choice is remembered and follows you across your devices. Rolling out to groups now.
Sign In with Google
No more remembering another password. You can now sign in to Scoutworks with your existing Google account in a single tap. It works for everyone, and your usual email-and-password and magic-link sign-in options remain available if you prefer them.
Make It Yours: A Customisable Sidebar
Every leader and admin can now arrange the main menu to suit the way they work. Turn on ‘Customise sidebar’ and drag pages into the order you want, move them between groups, and rename or create your own sections. It only changes your own view — never anyone else’s — and no page can ever be hidden, so nothing goes missing. Prefer the original layout? It stays put until you decide to change it.
Edit Your Recurring Payments
You can now edit a recurring payment — like subs — directly. A new View / Edit sheet lets you open a recurring payment and change its details in one place, including the day of the month it collects on. Change the collection day once and it updates for everyone on that payment, so members stay on the same date instead of drifting apart. You can also save filtered views of your one-time and recurring payments to jump straight back to the list you care about.
Find Badges by Activity: the Badge Requirement Finder
Did something fun on the night and not sure what it counts towards? A new Badge Requirement Finder on the Tools page lets you pick a section and simply type what you did — for example ‘baked a cake’ — and it shows you the badge requirements that activity could work towards, and the badges they belong to. It is a quick way to make sure good sessions get the recognition they deserve.
Camp-Ready Tools
A set of improvements to make running camps and trips easier from planning to the front door:
- Turn the ‘Who’s coming’ tab into a camp roll — filter attendees by RSVP status and flip to a consolidated table showing medical and dietary needs at a glance
- Link a camp menu to an event and publish it to the parent portal so families know what is being served
- Add kit-list notes that show to parents and on the printed kit list
- Print member photo cards as a PDF for camp door signs and name badges
Pinpoint Locations with what3words
Scoutworks now integrates with what3words to pinpoint any spot down to a three-metre square. When you place a pin on the map picker — for a venue, a camp site or a trip meeting point — its what3words address is generated automatically, no typing required. Share those three simple words with parents and helpers so everyone can find the exact place, even a field gate or a car-park corner that has no street address.
More Ways to Plan & Connect
- Tap a contact’s phone number to open a WhatsApp chat straight away
- If you help at more than one group, Scoutworks now opens on your preferred group automatically
- New nation awards for ScoutsCymru, Scouts Scotland and Scouts NI
- New events now default their end date to the start date, saving a step
Improvements
Tidier screens and mobile touches
- The Profile page is now grouped into clear, tabbed sections
- Date, time and other pickers now slide up in a tidy bottom drawer on mobile
- Saved views added to the one-time and recurring payments tabs
- Waiting list entries now show how many invites have been sent and when they were last invited, and hide the preferred-days question when the meeting day is obvious
Finance, hire and stock
- Bulk-edit which section or budget a batch of transactions belongs to from one sheet
- Booking confirmation emails for hall hire now include a calendar (.ics) invite
- Clearer, plain-English minimum booking notice on hire pages
- Mark uniform items as ‘not stocked’ to stop unnecessary low-stock warnings
Reliability & polish
- You are now asked to confirm before bulk-marking a whole list as present
- Fixed the parent-portal consent form showing every activity instead of the leader’s chosen subset
- Fixed the Email Logs delivery rate always showing 0%
- Sharpened dark-mode legibility for the Scoutworks wordmark, signatures and toolbars
- Fixed a batch of smaller user-reported issues across events, payments, email and mobile layouts
6 July 2026 Release Notes
The headline this week is a brand-new Getting Started hub that guides every role — leaders, treasurers, trustees, parents and volunteers — from first login to a fully set-up group, now rolling out to groups. Alongside it, a new OSM Migration Hub makes switching from Online Scout Manager simple and safe, with step-by-step guides and a check that everything came across. There is also live weather forecasts on every event, patrol scoreboards you can show on your hut TV, an in-app event programme planner, quick actions from a new Ctrl/⌘+K command palette, Google Workspace document attachments, custom patrol colours and icons, and a long list of finance, email, badge and reliability improvements.
New Features
A New Getting Started Hub
Setting up your group just got a lot friendlier. The new Getting Started hub gives every role — group admins, district admins, treasurers, trustees, parents, volunteers and young leaders — its own guided path from first login to a fully set-up group. A readiness dashboard shows what is done and what is still outstanding, sets up the right tasks for you automatically, and offers on-demand ‘show me how’ tours of the key pages. It replaces the old quick-start checklist. Rolling out to groups now.
Switching from OSM? The New Migration Hub
Thinking of moving over from Online Scout Manager? A new step-by-step Migration Hub walks you through bringing your members, badges and waiting list across with nothing lost. It includes clear instructions for getting your data out of OSM, a verification step that checks what has come across section by section, and ready-to-send email templates to keep parents informed along the way. Rolling out to groups now.
Switching from OSM? →Weather Forecasts on Events
Every event with a saved location now shows a live weather forecast — temperature, wind, rain chance, UV, sunset time and air quality — right on the event page. Planning an evening hike? You will get a ‘pack head torches’ nudge when it finishes after dark, and a sun-protection prompt on hot, high-UV days. Linked risk assessments can pull the same forecast straight into the weather conditions field.
Patrol Scoreboards
Keep score for your patrols, sixes or lodges with a new rolling scoreboard. Award points during or after events, see team totals and top scouts over the term, year or all time, and show a live scoreboard on your hut TV. All the patrol tools now live together on a dedicated Patrols page. Rolling out to groups now.
Plan Your Event Programme In-App
A new activity-timeline planner lets you build out the programme for an event or camp, session by session, right inside Scoutworks — no more juggling separate documents.
Quick Actions with Ctrl / ⌘ + K
The global search bar is now a full command palette. Press Ctrl (or ⌘) + K from anywhere to jump straight into creating a member, event, payment request, email or transaction and much more, take tonight’s attendance, switch group, or run a data health check — all without hunting through menus.
Attach Google Workspace Docs
Link live Google Docs, Sheets and Slides straight from your Google Drive using the familiar Google file picker.
Better Reports: Inventory PDF, Board Finance & Member Photos
- Export your equipment inventory as a PDF
- Filter financial reports by quarter for board and trustee reporting
- Member photos now appear in the Leader-in-Charge (LiC) event report alongside allergy and medical information
Make It Yours: Custom Colours & Icons
- Give your lodges, sixes and patrols their own colours
- Choose custom icons for budget categories
- Pick from a much bigger icon library across the app
Membership & Waiting List

- Set custom priority labels for your waiting list
- The public waiting list now shows the age range each section supports
- Optional pronouns on profiles, shown on the Team page

Badge Enhancements
- Add badge evidence inline with a guided sign-off wizard
- See the full history of when a badge was earned in a member’s Badges tab
- Badge icons now link straight to the badge detail page
- Event attendees are pre-selected when you award badges
Email & Payments
- Automated emails now come from ‘Your Group via Scoutworks’ instead of a bare ‘Noreply’

- Export a full receipts pack (ZIP) for any date range from Accounting
- Gift Aid ‘declaration needed’ now shows on the individual member rows where you can act on it

29 June 2026 Release Notes
The biggest news this week is the Youth Portal — for the first time, Scouts and Explorers get their own safe, parent-controlled space in Scoutworks, called 'My Scouting', where they can see their badge progress, follow their own journey, and have a say in what their section does. Alongside it: a new camp budget and pricing calculator that works out a fair price per person as you type, new group task boards, and a much simpler way to get a TV showing your hut display — just type a short code into your phone. You can now sign in without a password using a passkey, leaders can log medication and first aid as it happens on camp, and there are new volunteer insights, an at-a-glance view of emergency-contact coverage, an Events tab on every member, and refreshed badges for 2026. Add a long list of finance, event, email and reliability fixes — including the phone Back button now closing pop-ups properly instead of jumping you out of the app — and it is a big week.
New Features
The Youth Portal — 'My Scouting' for Young People
The biggest addition this week: Scouts and Explorers can now sign in to their very own space in Scoutworks, called 'My Scouting'. Parents set up and control the login, and young people get a safe, age-appropriate view of their own Scouting world — their badge progress and what to work on next, a personal home page with their attendance streak, milestones and recognitions, and Youth Voice, where they can suggest activities and vote on ideas for their section (leaders approve suggestions first). Leaders can also send surveys straight to young members to answer right there in the portal. It has been built safeguarding-first: there is no private messaging between young people and no leaderboards, and parents can enable, reset or switch off their child's access at any time. Rolling out to groups now.
Task Boards for Your Group
Keep track of who is doing what with brand-new task boards. Organise jobs as a board of cards you move between columns, or switch to a table view with filters to see everything at a glance. Assign a task to someone and they are notified automatically. Boards can stay open to all leaders and admins, or be limited to just the people you invite — handy for trustee-only or section-specific planning.
Camp Budget & Pricing Calculator
Planning a camp or trip no longer means juggling a spreadsheet. A new budget calculator on the Tools page lets you enter who is coming and all your expected costs, then works out a fair price per person live as you type. Decide how much adults and young leaders contribute, see your predicted surplus against a contingency target, and compare different pricing approaches side by side. Save budgets as reusable templates, pull headcount and food costs straight from an event or camp menu, and export to print or PDF.
Pair a TV to Your Hut Display
Getting a wall-mounted TV showing your hut display is now as easy as setting up a streaming app. Open the display page on the TV and it shows a short code; type that code into Settings on your phone and the screen connects itself — no fiddly long web address to copy with a remote. It even remembers the connection and comes back automatically after the TV is switched off and on again. The public wall dashboard has also had a refresh with a cleaner, higher-contrast layout.
Passwordless Sign-In with Passkeys
You can now sign in with a passkey — your fingerprint, your face, or a security key — instead of typing a password. It is faster, much harder for scammers to phish, and can satisfy your group's two-factor requirement in a single tap. Add, rename and remove passkeys whenever you like from your account settings, and keep more than one as a backup. Passwords and magic links remain available, so nothing is taken away.
Medication & First-Aid Log for Camps and Events
Leaders on camps and outings can now log each dose of medication or piece of first aid as it happens, instead of scribbling on paper. The log lives on the event page and shows each child's recorded medical information and parental consent right where you need it, so doses are given safely. Everything is kept as a clear, time-stamped record, and you can save a child's regular medication ahead of time to make logging quicker.
Manage Your Reimbursement Bank Details
You can now view and update the bank details used to reimburse your expense claims from your profile at any time — not only while submitting a claim. Details are shown safely masked, so a typo can no longer quietly ride along on every payment. Treasurers also now see the claimant's bank details right at the point of paying a reimbursement.
A Clearer View of Emergency-Contact Coverage
The Members insights tab now shows at a glance how many young people have at least two different contactable people on file, so there is always a backup if one person can't be reached in an emergency. Each section that flags missing details now links straight to the Data Verification tool, so you can chase up the gaps in one place.
New Volunteer Insights and a Home for Surveys
The Adults insights tab gains an Adult Engagement view — leader turnout, two-deep coverage and how active your volunteer base is — plus an Adult Ratio section comparing each section's adult-to-young-person numbers against UK Scouts guidelines. Surveys now have their own top-level page rather than being tucked away inside Insights, making them easier to find.
Events Tab on Member Profiles
Each member's detail page now has its own Events tab, so you can see everything a young person has been invited to and how they responded, all in one place.
Refreshed Badges for 2026
Scoutworks now reflects the Scout Association's June 2026 badge updates and the relaunched 2026 Explorer programme, so the badges you award stay in step with the latest requirements.
More Risk Register Categories
The risk register now includes Safeguarding and Reputational categories, making it easier to record and review the full range of risks when planning an event or activity.
Know When a Direct Debit Payment Fails
When a parent's Direct Debit payment fails, the group's admins and treasurers are now notified straight away, so you can follow it up quickly instead of finding out weeks later when the money never arrived.
Flag Explorer Units and Exempt Charities
You can now mark Explorer units and exempt charities as such, so they are no longer incorrectly flagged as needing to register with the Charity Commission. The charity reminders now reflect your group's real situation.
Data Verification Now Has Its Own Page
The Data Verification tool — where you chase up missing parent, consent and medical details — has graduated from a pop-up to its own full page, giving you more room to work through gaps and a link you can return to directly.
Improvements
The Back Button Now Behaves on Your Phone
When you are using Scoutworks on your phone, the Back button now closes whatever pop-up or panel is open — stepping back through them one at a time — instead of jumping you straight out of the app. Any 'discard changes?' prompts still appear as you would expect.
Calmer Member-Removal Screens
The screens for archiving or removing a member have been redesigned to be calmer and clearer. Archiving — which is safe and easily reversed — no longer looks like an alarming permanent delete, and red is now reserved only for the truly permanent action, so it is harder to click the wrong thing.
Events & RSVP Fixes
- Switching to the 'Past' view on the events list now correctly shows your past events.
- Leaders in Charge can now RSVP to an event even when they have not been added separately to the attending leaders.
- Downloading the RSVP list as a spreadsheet no longer shows everyone as 'No Response'.
- The 'Turn on RSVPs' button on the payments empty state now takes you straight to the RSVP tab.
- Young leaders are no longer double-counted in adult attendance when an event is duplicated.
- Tapping an event-type tile on the dashboard now jumps you to a matching, pre-filtered events list.
- The event summary card on the calendar now links straight through to the full event details.
Email & Messaging Fixes
- Replies to emails sent by leaders and admins now route back correctly, because every leader and admin now has a Scoutworks reply address.
- Personalised greetings such as the member's first name now fill in correctly in emails to parents and leaders.
- The meeting day is now capitalised properly in place-offer emails.
- If an invitation or waiting-list offer email fails to send, you are now told straight away instead of it failing silently.
Members & Records Fixes
- You can now select more than one disability on the census tab.
- Leaders can no longer accidentally edit the email address of an account-owning parent.
- Group Insights now shows the real name of an inactive section instead of 'Unknown Section'.
Payments & Badge Fixes
- A Direct Debit 'active' email is no longer sent again when a mandate is simply re-activated.
- Transactions on linked events are now counted correctly in the budget sheet.
- Members who move section now correctly receive their top award from their earned-badge history.
- Occurrence badges now add up both relevant columns when importing from OSM.
Badges, Tools & Waiting List
- Badges Awaiting Award can now be grouped by person, so you can see everything one young person is due in one place.
- The weekly badge shopping-list email no longer includes badges that do not need to be bought.
- You can now edit the application date on a waiting-list entry.
Faster, More Reliable App
Loading is now quicker and steadier across the parent and admin areas, and the Android app no longer shows a misleading 'older version' warning after an update. We also fixed a memory issue in the email composer and a rare loading loop on the triage screen.
22 June 2026 Release Notes
This week is all about keeping accounts safe and giving leaders more control over money and events. You can now protect your group with two-factor authentication — a second check at sign-in using an authenticator app, an emailed code or a one-time backup code — and group admins can make it mandatory for everyone. Adults can log and export their volunteering hours, treasurers get finer control over Gift Aid on recurring payments and can mark a subscription cycle as paid by hand when a parent pays in cash, and creating an event is now a single, streamlined form instead of a long questionnaire. There is also a clearer view of paused subscriptions, a full RSVP history for every member, a way to move money between budgets, a gentle nudge when a parent mistypes their email at sign-up, and the ability to fix a bounced invitation email without contacting support. Add a stack of finance, event and reliability fixes — including faster, more reliable loading on iPhones and iPads — and it is a big week.
New Features
Two-Factor Authentication (2FA)
You can now add a second layer of security to your account. Alongside your password, sign-in can ask for a one-time code from an authenticator app, a code sent to your email, or a single-use backup code you have saved. Set it up in a few taps from your profile, choose to trust a device so you are not asked every time, and turn it off again yourself whenever you like. Group admins can go further and require two-factor authentication for everyone in their group — a sensible step for the people handling members' personal data and the group's money.
Log and Export Adult Volunteering Hours
Adults can now record the hours they give to the group, and leaders can see the totals roll up inside the Adults insights tab. It is a simple way to recognise volunteers, support award nominations, and answer questions from your district or trustees — and the whole lot exports for your records.
More Control Over Gift Aid on Recurring Payments
You can now switch Gift Aid on or off for an existing recurring payment (it applies to future collections), and ask a parent for a Gift Aid declaration on its own, without waiting for a payment to be approved. If a parent completes their declaration after their subscription was already set up, it now applies to their future payments automatically — so you no longer miss out on Gift Aid you were entitled to claim.
Mark a Recurring Payment as Paid by Hand
When a parent pays a term or month in cash, by cheque or by bank transfer — perhaps before a Direct Debit is even set up — you can now mark that individual cycle as paid. Scoutworks records the payment, makes sure the Direct Debit does not also collect it, and leaves the rest of the schedule untouched so it picks up again next time. The payments grid clearly shows which cycles were paid by hand and which were collected automatically.
Streamlined Event Creation
Creating an event used to mean working through a long form with dozens of fields before you could save anything. Now you start with a single, tidy form that asks only the essentials — what, who and when — and creates the event straight away. You then add badges, payments, consent, kit and the rest from the event's own page, in your own time. Duplicating an existing event now has its own dedicated, lightweight flow too.
See a Member's Full RSVP History
Every event RSVP now keeps a complete history: who responded, when, and every change along the way — including whether it was the parent or a leader replying on their behalf. Open it from a history button next to any member on the RSVP tab. No more guessing who said yes, or when an answer changed.
A Clearer Picture of Paused Subscriptions
When you pause a parent's Direct Debit subscription, Scoutworks now shows exactly which collections are being skipped and the date payments will resume — right on the payment timeline and the status badge — instead of simply saying 'Paused' with no further detail.
Move Money Between Budgets
Treasurers can now reallocate funds from one budget to another in a couple of clicks, so your budgets stay accurate as plans change through the year — no more deleting and rebuilding to shift money around.
Decide Which Sections Count Toward Waiting List and Capacity
Group admins can now switch off any section's involvement in the waiting list and capacity planning, while keeping it fully active in Members and Teams. It is ideal for Young Leader or Explorer sections at groups that do not run their own unit, which used to clutter waiting-list and capacity figures with noise.
A Friendly Nudge for Mistyped Emails
When a parent signs up or is added with a likely email typo — a misspelled provider like 'gmial.com' or an address ending in '.con' — Scoutworks now gently suggests the correction before the form is submitted. It is only ever a suggestion and never blocks anyone, but it heads off the bounced invitations and chasing that a single wrong letter used to cause.
Fix a Bounced Invitation Email Yourself
If someone was invited with a mistyped email address and has never managed to log in, admins can now correct that address directly and resend the invitation — for parents, waiting-list families, leaders, young leaders and trustees alike. No need to contact support to put it right.
Multi-Session Badge Requirements
Badge requirements that need to be met several times — for example, attending a number of separate sessions — can now be tracked properly, counting each occurrence towards the total rather than ticking off in one go.
Improvements
Faster, More Reliable on iPhone and iPad
We fixed an issue that could cause the app to reload itself over and over on iOS after an update, and tidied up how the app refreshes in the background so it no longer flickers or briefly logs you out when a new version is released. Day-to-day use on iPhones and iPads should feel noticeably smoother.
Delete an Expense Claim
Treasurers and admins can now delete an expense claim that was raised in error, rather than leaving it cluttering the list.
A Confirmation When You Report a Problem
When you submit a bug report or support request through the in-app widget, you now get an email confirming we have received it — so you know it landed and is not lost.
Quicker Access to Reports You Just Made
Recently generated reports now have a download button right on their card, so you can grab the file again without regenerating it.
Import Unity Bank Statements
Bank statement imports now handle Unity Bank's CSV format, including files that arrive without column headings, so reconciliation is one step smoother for groups that bank with them.
Better Badge Filtering and Sorting
The badges screens now let you filter by several badges and events at once and sort people by date of birth, making it far easier to find exactly the group of young people you are looking at.
A Long List of Fixes
- The Dashboard and Triage Waiting List screens no longer freeze or crash for some groups.
- Bulk 'Message Parents' on the waiting list now reaches everyone you selected, not just some of them.
- Bank balances on reports are now correct — transactions before your opening date are no longer dropped.
- The board pack preview now shows the right bank balance instead of a figure 100 times too small.
- All payment records now appear on an event's payments tab.
- Pending and tentative leaders now show on the attendance register.
- The Badges tab on an event is now visible to all leaders, not just admins.
- An event's end time now always shows when you are editing it.
- The waiting list can be sorted by age, and its priority tiers now show the correct labels.
- The badge series overview can now be sorted by age and other fields.
- Searching for a group when sharing a member now returns results.
- The section picker dropdown now stays on screen on smaller displays.
- Wide tables now keep a horizontal scrollbar in view so you can always scroll across.
- Email template previews now render headings and text alignment correctly.
- Banners and images in composed emails now line up properly.
- The spend-over-time chart now respects each budget's own date range.
15 June 2026 Release Notes
This week brings district-wide reach and a much clearer picture of your subscriptions. District teams can now send a single broadcast email to parents, waiting-list families and volunteers across their groups, narrowed by area, distance and age — with a live recipient count and a full preview before anything sends. Treasurers and leaders get a new at-a-glance grid showing exactly who has paid their subscription and who has not, period by period, plus bulk actions to chase everyone who still needs to set up or approve a payment. Event details now open as a full, organised page instead of a cramped pop-up, trustees get their own Charity Commission monitoring page, and there is a new financial-year Event Summary report. The in-app support widget grows up too, with file attachments and proper back-and-forth replies. Add to that a quieter inbox — RSVP and payment emails now roll into your Monday digest — email order-confirmations you can drop straight onto an expense, and a long list of finance and reliability fixes.
New Features
District Broadcast Email
District teams can now send a single email to families across all of their groups that have opted in to district data sharing. Choose who hears from you — members' parents, waiting-list families, volunteers, or any combination — then narrow the list by postcode area, distance from a location, and age group. You see a live count of who will receive it (and a sample) plus a full preview of the email before it goes, and every recipient gets their own unsubscribe link.
See Who Has Paid at a Glance with the Payments Grid
Recurring payments now have a grid view: members down the side, every scheduled collection across the top, and a clear status in each cell — paid, not yet paid, scheduled, paused, refunded, or simply not due yet. It is the quickest way to spot who is behind on their subs across the whole term. Switch between the familiar list and the new grid with a single toggle, and click any cell to drill into that member's payment history.
Chase Unpaid Subscriptions in Bulk
Tick the members you want to chase on the Recurring Payments screen, and now you can actually do something with the selection: email the selected parents, resend the Direct Debit setup link to everyone whose mandate is still not set up, or send an approval reminder — all in one go. Each action shows you a preview and a recipient count before it sends.
More Than One Subscription per Member
A young person can now be on more than one recurring payment at the same time — useful when, for example, regular subs run alongside a separate instalment plan. Leaders can set these up and manage them side by side.
Event Details Now Open as a Full Page
Opening an event no longer squeezes everything into a pop-up. Event details now have their own full page with clearly organised tabs — RSVP, attendance, adults, payments, finance, risk, consent, badges, invitations, kit list, equipment, files and sharing — so there is room to breathe and you can link straight to the tab you need. Publishing, archiving and the rest of an event's lifecycle are tidier too.
Two-Way Support Conversations with Attachments
The in-app help widget has had a big upgrade. It now opens as a full-height panel with plenty of room, lets you attach several photos or documents to a bug report (and to your replies), and — most importantly — lets you carry on a proper back-and-forth conversation with our team rather than sending a one-way message. Your replies appear straight away under My Reports.
Charity Register Monitoring for Trustees
Trustees now have their own Compliance page showing their group's official Charity Commission record — trustees, finances, filing history, governance and registration details — all in one place, with alerts when something important changes on the public register. It is a simple way for the people responsible for the charity to keep an eye on its governance, and district teams get the same richer record in their own monitoring view.
Event Summary Financial-Year Report
Treasurers can now download an Event Summary report that lists every event in an accounting period on a single page, each with its income, expenditure and net, plus a running total — available as both PDF and CSV. It is the financial-year companion to the existing single-event report, and the figures reconcile with it.
Use Email Order Confirmations as Receipts
Lots of online orders — the Scout Shop included — send the receipt in the body of an email rather than as a separate attachment. You can now save that email and drag it straight onto an expense claim or transaction as the receipt, with no more printing to PDF or screenshotting. Both .eml and .msg email files are accepted.
One Place to Add People to Your Team
Inviting someone new and promoting an existing young person to a role now live behind a single Add user button. Pick what you want to do from one clear starting point and the right form opens — no more guessing which of two buttons to use.
Improvements
A Quieter Inbox
Leaders and admins were getting an email for every single RSVP change and every confirmed payment. Those now roll into your Monday weekly digest instead — which gains a new 'Money in this week' summary showing payments received and anything that needs attention — while you still get the instant in-app and push notifications. Far less inbox noise, with none of the visibility lost.
Polished Dashboards
The parent, group and district dashboards have had their polished glass styling restored for a cleaner, more consistent look.
Keyboard Shortcuts on Buttons
Action buttons in dialogs and side panels now show their keyboard shortcut, so you can move faster without reaching for the mouse.
Sensible Event End Dates
When you create an event, its end date now defaults to the start date rather than today's date — one less thing to correct.
A Long List of Fixes
- The Trustee Report now shows your bank balance correctly (it was previously showing a figure 100 times too small).
- The Trustee Report viewer can now be closed properly on iPhones and iPads.
- Leaders can RSVP to an event again even when an old deadline has passed.
- Cubs 'Our Skills' badge progress now shows correctly on the badges-by-person view.
- Importing badge stock now actually updates your stock levels.
- Bank accounts load reliably on the Finance settings page.
- Parents can complete a payment without first making a Gift Aid declaration.
- Adding a second parent to a member no longer removes the first.
- The Young Leader badge is no longer awarded for completing Module A on its own.
- Pause-confirmation emails now show the real next collection date.
- The in-app support button now sits clear of the home bar on iPhones.
- Each of the three member reports now downloads as its own distinct CSV.
- Catch-up payments no longer re-bill periods that were already collected.
- Budget dates no longer drift by an hour during British Summer Time.
- Personalised email greetings using a child's name now work in every type of email.
8 June 2026 Release Notes
Camp season is here, and this release is built for it. A brand-new Camp Menu & Shopping List Planner lets you plan every meal across a camp and turns it into a costed, categorised shopping list that scales to your headcount and cross-checks every dish against your attendees' real allergies and dietary needs. A new Patrol, Six and Lodge Organiser gives you a drag-and-drop board for sorting young people into their small groups and assigning roles, with print-ready handouts. Leaders can now build a Group Resources hub on the parent dashboard — a welcome message, handy links (including WhatsApp join QR codes) and pinned documents — and everyone on your team can fine-tune exactly which emails they receive from a new Email Preferences centre. On the money side, cash, cheque and waived payments now appear properly in payment history, you can send parents a one-click reminder to approve a recurring payment (with an email preview first), issue refunds without leaving the app, and import historic GoCardless payouts. Plus a calmer signup page, a clearer calendar that shows multi-day events on every day, and a long list of finance and reliability fixes.
New Features
Camp Menu & Shopping List Planner
Planning the food for a camp just got a lot easier. Lay out every meal across your camp on a simple day-by-day grid, and Scoutworks turns it into a categorised shopping list that is automatically scaled to your headcount, rounded to sensible pack sizes and costed using up-to-date UK prices. Best of all, every meal is checked against the allergies and dietary needs of the children actually coming — so if a dish clashes with a nut allergy, you will see exactly who it affects before you cook it. It comes with a starter library of UK camp staples and classic camp recipes, and exports to PDF or spreadsheet to take shopping.
Patrol, Six and Lodge Organiser
A new visual tool for sorting your section into its small groups — Lodges, Sixes, Patrols or Teams. Drag young people between groups, create and rename groups, and assign roles like Sixer, Seconder or Patrol Leader from a simple menu. An auto-balance option evens out group sizes for you, and a print option produces a clean handout to pin up at the meeting place. Changes save as you go, and you can undo a move if you change your mind. This one is rolling out first to groups in our Beta Programme.
Group Resources on the Parent Dashboard
Leaders can now set up a Group Resources card that parents see right on their dashboard. Add a short welcome or information message, up to ten handy links — your group website, kit lists, Gift Aid forms, and WhatsApp group links even get a QR code parents can scan — and pin up to three important documents. Section leaders can add links just for their own section. If you do not set anything up, parents simply do not see the card.
Cash, Cheque and Waived Payments Now Show in Payment History
Payments collected in cash, by cheque or by bank transfer — and payments you have marked as 'Not Required' — now appear in payment history alongside Direct Debit payments. Previously, if money did not flow through GoCardless it was invisible here, and a member who had paid cash showed 'No payments yet'. Now every payment is accounted for, with the method shown, and you can filter by Paid Manually or Not Required.
Remind Parents to Approve a Recurring Payment
When a parent has set up a recurring payment but not yet approved it, you can now send them a friendly reminder with one click — individually or in bulk. Before it sends, you will see a preview of exactly the email the parent will receive and how many people it is going to.
Choose Which Emails You Receive
Everyone on your team can now manage exactly which Scoutworks emails they get, from a new Email Preferences section in their Profile. Turn off the categories you do not need while keeping the ones you do — and essential messages like sign-in, safeguarding and payment alerts always come through. Some updates can be switched to a single weekly digest or kept as in-app notifications only.
Issue Refunds Without Leaving the App
You can now issue a refund directly from payment history, without bouncing out to GoCardless to do it. The refund is recorded against the original payment, so your history stays complete.
Add Photos to Uniform Items
Uniform items can now carry a photo, just like equipment — so it is clear at a glance which necker, badge or kit item you are looking at when issuing or returning it.
Import Past GoCardless Payouts
Treasurers can now bring historic GoCardless payouts into Scoutworks, complete with a breakdown of platform fees, so your financial records reflect the full picture from before you started tracking payouts in the app.
Improvements
Multi-Day Events Show on Every Day
The calendar now shows a multi-day event — a weekend camp, say — on every day it runs, not just the first, and the calendar dots are colour-coded so you can tell event types apart at a glance.
Emailing Past-Event Attendees Now Reaches Everyone
Sending an email to everyone who attended a past event now reaches the whole list, instead of stopping after the first person.
Editing Email Drafts Fixed
Reopening a saved email draft now brings back your formatting correctly, so drafts no longer look broken when you go back to edit them.
A Calmer, Clearer Signup Page
The signup page has been refreshed to be calmer and clearer: one obvious next step at a time, honest wording about the free trial and exactly when (and whether) you will be charged, and friendlier ways back in if you already have an account — including a forgot-password link and an easy way to fix a mistyped email.
Consistent Tab Menus Across the App
Tabbed menus throughout Scoutworks now share one consistent design that tucks any overflowing tabs into a tidy 'More' menu, instead of wrapping or scrolling awkwardly — a particular help on phones.
Clearer Payment History and Catch-Up Payments
The member payment history sheet is now organised into tabs, and catch-up payments get their own column on the recurring payments table, so it is obvious at a glance what is a regular charge and what is catching up.
A Few More Fixes
- Your group's Financial Position now shows correctly in pounds.
- Payment processing fees are no longer mis-counted as income.
- GoCardless payment descriptions now include the event name, so charges are easier to recognise on a bank statement.
- Split transactions, budget figures and bank reconciliation totals across the accounting tools are now accurate and consistent.
- Young Leaders no longer appear twice on the event attendance register.
- Email logs now explain in plain English why a message was skipped.
- Parents can now be linked across groups from the member detail page.
- The Tools page cards load in cleanly with even heights, instead of flashing as the page settles.
1 June 2026 Release Notes
A big week for events, finance and team admin. Events get a dedicated In Touch home-contact view for the named adult who holds comms in an emergency, recurring setup so you can stand up a whole year of committee meetings in one go, and the option to invite specific named volunteers and young people to admin events instead of a whole section. Treasurers get Budget Variance and Receipts & Payments reports as PDFs, can add receipts when reconciling transactions, and see subs split fairly across sections when a young person moves mid-month. Group admins can now suspend and reinstate a volunteer's access without losing their record, parents have a self-serve way to change the email on their account, and the members list gains a density toggle, quick filter chips and a filter-aware CSV export. Capacity planning gains a proper Send Offers step and a moving-on overlap so young people can spend a few weeks in both sections. Plus a long list of mobile and reliability fixes across the waiting list, ledger, sign-offs and badge awards.
New Features
In Touch Home Contact for Every Event
Scout activities need an In Touch person — the adult NOT at the event who holds the roster and contact details and is the central comms point if something goes wrong. You can now name an In Touch person on any event, and that leader gets a clean, mobile-first emergency view tailored for the job: attendee roster, live head-count, on-site leader mobile numbers, leader-in-charge contact, parent emergency numbers, itinerary, and the UKHQ 24-hour escalation panel — and nothing else. Medical, dietary, finance and badge data are deliberately kept out. The named leader gets an email with a deep link to the view, and a new 'In Touch' filter on the events page lists every event they are the home contact for, including across sections.
Set Up a Whole Year of Admin Meetings in One Go
Admin events — trustee meetings, committee meetings, exec and working groups — can now be set up as a recurring series in the same way Programme events have always been. Pick a weekly pattern or hand-pick the dates, set start and end times, and Scoutworks creates each occurrence as its own event with its own RSVPs while keeping them linked as a series. Invitees get one summary email for the whole series rather than one email per meeting.
Invite Specific People to Admin Events
When you create an admin event you no longer have to invite an entire audience. A new 'Who is invited?' toggle lets you either pick a broad audience as before, or hand-pick named adults — including trustees — and named young people. So a board meeting can go to just the trustees, a working group to its named volunteers, and an AGM can include the specific young people who sit on the Group Scout Council.
Suspend and Reinstate Volunteer Access
Group admins can now suspend a volunteer's access without removing them from the team. This is the clean way to handle a step-back, a formal safeguarding suspension, or a leader who is simply on a break — access is cut immediately but the record, history and future event slots stay intact. Suspended volunteers are flagged with a clear badge throughout the app, no longer count toward adult-to-young-person ratios, and one click reinstates them with their previous role and access restored. No emails are sent on suspension or reinstatement, so the action stays discreet.
Parents Can Change Their Own Email Address
Parents — and leaders and admins too — can now change the email address on their own Scoutworks account from the Profile page. The flow asks for the current password, sends a verification link to the new address, and sends a separate security notice to the old one so the change cannot happen quietly behind anyone's back. Leaders also no longer accidentally change a parent's email out from under them: once a parent has claimed their account, the email field is read-only from leader screens, and adding a parent whose email is already in use elsewhere opens a clear permission-check dialog rather than failing with a confusing error.
Equipment and Uniform Tab on Every Member
Each member profile now has a single Equipment & Uniform tab where leaders can see at a glance what kit a young person or volunteer holds. The uniform section lists items issued (necker, sash, group-issued kit) with size, issue date and return status, and flags outstanding loaners as overdue. The equipment section lists items currently on loan with a Mark Returned action, plus a collapsible history of past loans and the condition they came back in. Quick actions to issue uniform or check equipment back in live right there on the tab.
Members List — Density, Quick Filters and Filtered CSV
The members list gains three list-ergonomic wins. A density toggle (Compact / Comfortable / Cosy) lets you fit more on screen or give the list more breathing room, and your choice is remembered across sessions. New section and role quick-filter chips sit above the list with live counts, so you can narrow to 'Cubs Sixers' or 'Beaver members' in a single click. And the Member Actions menu now has an 'Export filtered list' option — the CSV honours your current filter and search, so the spreadsheet matches exactly what you see on screen.
Personal Challenge Awards — Properly Recorded
The Personal Challenge Award (Beavers, Cubs and Scouts) used to give leaders just two tick-boxes, with no way to record what each child's chosen challenge actually was. Each of the two requirement slots now becomes a small structured record — who chose it (young person or leader), the challenge text, the date agreed and an optional reflection — while the existing sign-off checkbox stays exactly as it is today. Entering the challenge and the date automatically moves the requirement to 'in progress', and parents see the recorded details read-only in their own badge view.
PDFs for Budget Variance and Receipts & Payments
Two more finance reports — Budget Variance and Receipts & Payments — can now be exported as a PDF as well as a CSV, joining Financial Overview and Restricted Funds. The PDFs share the same trustee-friendly layout (group header, summary block, bordered tables, generated date and page numbers), so a treasurer can drop the whole pack into a trustees folder and it reads uniformly.
Add Receipts When Reconciling Transactions
Treasurers can now attach a receipt straight from the bank reconciliation screen, in the moment they are matching a transaction — no need to bounce out to the original entry and back. Receipts captured this way show up exactly as they would if you had attached them at point of entry.
Event Finance Report Lives on the Reports Hub
The per-event finance report — income, expenses, deposits, balance — now has its own card on the Reports hub with a preview and a one-click PDF export, instead of being buried inside an individual event. Treasurers can find the figures they need without first hunting down the right event page.
Subs Split Fairly Across Sections at Mid-Month Moves
When a young person moves between sections part-way through a charge month (twelve days in Beavers, eighteen days in Cubs, say) the Subs Distribution report used to dump the whole month's payment onto one section. The report now splits each payment across the sections the member actually occupied that month, weighted by days, and rounded to the penny so per-section totals still tie back exactly to what was paid.
Capacity Planning — Proper Offer and Acceptance Step
Capacity planning gains a real Send Offers step, so families on the waiting list are offered a place and respond before anyone is enrolled. After you lock the plan, a new Send Offers button opens a confirmation dialog showing the families about to be contacted and a configurable offer-expiry window; once sent, the offers go out as emails for the family to accept or decline. Action Moves then only enrols members who have accepted — declined, expired or undecided offers are skipped automatically.
Moving-On Overlap — Gradual Section Transitions
When a young person moves up from one section to the next, you can now give them a moving-on period during which they stay in both sections for a few weeks at the same time, so the move feels gradual rather than abrupt. They count toward both sections' rosters and adult-to-young-person ratios for the duration, then the move completes automatically on the end date — or a leader can finish it early from a new Moving On panel on the Planning tab. Set the default overlap duration once in the Moving-On Period settings.
A Better Bug Report Form
When something goes wrong, the improved Send Feedback dialog walks reporters through a friendlier, more guided flow that captures the right context first time — what they were trying to do, what happened instead, what device they were on. Security-related findings get their own clearly labelled lane so we can act on them faster.
Beta Features Promoted to General Release
A handful of features that have lived behind the Beta Programme toggle have now graduated to general release, so they are on by default for every group — no need to opt in.
Improvements
Waiting List Page Works on Phones
The Waiting List Management page no longer crashes when opened on a phone — it now renders as cleanly on a mobile screen as it does on a desktop.
Sign-Off Cards Show Every Logged Occurrence
Event badge sign-off cards now list every occurrence a young person attended toward a badge requirement, instead of collapsing them down to one and hiding the rest. Leaders can see the full activity history at a glance when deciding what to award.
Inline Edit and Delete for Nights Away
On a member's History tab, leaders can now edit or delete a Nights Away (or Hikes Away / Time on Water) entry inline rather than reopening the originating event. Mistyped a number of nights? Fix it in two clicks.
Higher Bulk Badge-Award Cap for Camp Sign-Offs
When signing off badges for a whole camp at once, the cap on how many badges you can award in a single bulk action has been raised so a full week of camp activities goes through in one go rather than several.
Multiple Activities Per Event
You can now log several different occurrence activities against a single event — useful for camps and longer programmes where one outing covers more than one badge requirement.
Saving an Event Is More Forgiving
Saving an event no longer fails when the chosen In Touch person has since become inactive (you are simply asked to pick someone else), and the cross-group confirmation dialog now renders properly from the server response rather than silently failing.
Ledger Receipt Sort Surfaces Missing Receipts
The accounting ledger now ranks the receipt-status sort so transactions still missing a receipt rise to the top, instead of being mixed in with attached ones. Easier to spot what still needs chasing.
Stranded Subscription Approvals Recovered
Subscription approvals that had got stuck mid-flow are now picked up automatically, and the catch-up payment copy parents see has been rewritten to be clearer about what is being collected and why.
Categorisation Counts Treat Split Parents Fairly
The 'uncategorised' counts on the finance dashboard no longer include split-parent records that were already attributed elsewhere, so the figures match what you see in the detailed lists.
A Few More Fixes
- The accounting ledger's sideways scroll is restored on desktop.
- Background scrolling no longer gets stuck after closing a Sheet overlay.
- Personalisation variables in custom emails no longer wipe out attached files.
- Reconcile and Transactions buttons on the finance dashboard now route to the right pages.
- Event UI no longer 403s for volunteers whose role is not the leader-in-charge.
25 May 2026 Release Notes
A packed week for treasurers and badge work. The new Uniform module (beta) gives quartermasters a proper way to track uniform stock and issue items to named young people and volunteers. Treasurers get a Subs Distribution report and can now cancel an individual upcoming Direct Debit payment without leaving Scoutworks. Push notifications mean a finished report can reach you even when the app is closed, parents get clearer Direct Debit and payment emails, and a new Tools page plus in-app Email Logs make admin work easier to find. Plus shareable badge pages, smarter member-list sorting, and a long list of fixes across notifications, badges, finance and the hire calendar.
New Features
Uniform Management — Track and Issue Uniform (Beta)
Quartermasters and leaders now have a dedicated home for uniform, kept separate from the equipment you lend out and expect back. Build a catalogue of uniform items with size and colour variants, keep track of how much stock you hold centrally or per section, and issue an item to a named young person or adult volunteer. Mark items returned when they come back into stock, or written off when they don't. Every item keeps a full history of who had what, and each member's profile gains a Uniform tab showing what they currently hold. Available in beta — turn it on in Settings — Beta Programme.
Hear About Finished Reports Even When the App Is Closed
Scoutworks can now send notifications to your phone or computer, so a long-running report or an important update reaches you even when the app is closed or your screen is locked. Switch it on per device under Profile — Push Notifications. If a notification arrives while you have switched to another tab, it now replays when you come back rather than being lost, and clicking a report notification takes you straight to the right reports tab.
Cancel an Upcoming Direct Debit Payment Yourself
Leaders can now see and cancel an individual upcoming Direct Debit payment straight from a member's Payment History — no more logging into the GoCardless dashboard to stop a catch-up that duplicates a month already paid, or an erroneous one-off. A new "Scheduled & upcoming" section lists every payment still to come for that member, with a Cancel button on the ones that can still be stopped. Payments already on their way to the bank show a "Refund once paid" note instead, so it is always clear what you can and cannot change.
Subs Distribution Report for Treasurers
A new report on the Finance Reports tab gives treasurers a month-by-month, section-by-section breakdown of subscriptions: what you expected to collect, what actually landed, and the shortfall between the two. It is the snapshot treasurers were building by hand to work out how to move money between section accounts and to chase missed payments — now one click and a CSV download.
Risk Assessment Reviews Made Simple
Reviewing a risk assessment is now a clear, one-step action rather than a hunt through Edit mode. A Review button appears on the assessment itself and on each row of the Risk Management page, and you can finally mark an assessment as reviewed without being forced to set another future review date — so a one-off review no longer bounces straight back into the "needs review" pile.
Clearer Direct Debit and Payment Emails for Parents
Parents now hear from Scoutworks at the moments that matter most in the Direct Debit journey. A confirmation email goes out as soon as a Direct Debit is set up, bridging the few days before the bank confirms the mandate. If a payment fails because of insufficient funds, parents get a clear note with the date of the next attempt so they can top up in time. And a tidy receipt is sent whenever a subscription payment goes through.
A New Tools Page for Admins
The data-housekeeping utilities — Data Cleanup, Duplicate Detection and Data Verification — have come out of a buried menu and into a dedicated Tools section in the main navigation for leaders and admins. Each one now has its own page you can bookmark and link to directly.
Email Logs — See Every Email Your Group Has Sent
Leaders and admins can now answer "did that email actually go out?" for themselves. A new Email Logs page under Settings keeps a searchable record of the emails your group has sent, who received them and whether they were delivered. Leaders see the emails relevant to their own sections; admins see everything. Member profiles also gain a gentle "Delivery issues" flag if recent emails to that family have bounced, so you can catch a wrong address before it becomes a problem.
Badge Pages You Can Link To and Share
Each badge now opens as its own page rather than a pop-up window, so leaders and parents can bookmark it, share a direct link, or refresh the page without losing their place. Selecting members on a badge page brings up a floating actions bar with clearly labelled buttons — Award, Mark Completed, Complete Requirement, Record and Unaward — that works neatly on a phone as well as a desktop.
Sort and Group Your Members List Your Way
The members list gets a more powerful sort tool. Sort by several things at once — "by gender, then by age" for tent allocation, or "section, then name" for a roster — and choose to group the list by Patrol, Six, Lodge or Drey. When you do, members cluster under their group with Patrol Leaders and Assistants first and then by age, the same way OSM orders them. Most leaders will just tap one option; the multi-level sort is tucked behind a quiet "Add another sort" link for when you need it.
Improvements
Fewer, More Relevant Notifications
We have done a thorough sweep of every notification and email that goes to leaders, so you only hear about things in your own sections. A Cubs leader will no longer get notifications about a Beavers-only camp, payment reversals for sections they do not run, or surveys aimed at another section. Cross-group event notifications are scoped the same way, and anyone who wears more than one hat — leader and parent, say — no longer receives the same alert twice.
Trustee and Treasurer Roles Kept Separate
Being a trustee no longer automatically grants treasurer access. Trustee is a governance role and treasurer is a finance role, and the two are now treated separately throughout Scoutworks. If a trustee also needs to run finance reports or reconcile the bank, an admin can grant that to them individually under Settings — Treasurers.
Budget "Spent" Now Includes Approved Claims
When you open a budget, the list of transactions now includes expense claims that have been approved but not yet paid out, each marked with an "Approved" badge. The detailed list now adds up to the headline "Spent" figure shown above it, instead of appearing to miss money that has in fact been committed.
Wide Tables Stay Easy to Scroll
On the accounting ledger and the badge matrix, the sideways scrollbar now stays pinned to the bottom of the visible area instead of dropping far below the fold. You can pan across to find a hidden column without first scrolling all the way to the bottom of a long table.
Nights Away and Other Staged Badges Show the Right Status
Cumulative badges such as Nights Away, Hikes Away and Time on Water now take their status straight from a member's actual logged progress. Young people who had earned enough nights but were still showing as "Not Started" — and so were missing from the list of badges due to be awarded — now appear correctly.
Beta Features Stay Switched On
We have fixed the frustrating issue where beta features would quietly become unavailable even though the Beta Programme toggle still showed as on, leaving you to switch it off and on again to bring them back. Beta features now stay reliably enabled once you turn them on.
Attaching a Receipt Counts as a Change
When a treasurer adds a receipt to an existing transaction, the Save button now correctly switches to "Save changes" — previously it stayed on "No changes" and you had to edit an unrelated field to force it. Anything you had started typing before attaching the receipt is kept, too.
The Verification Buttons Always Work Now
Parents working through the My Children verification flow could reach a step — Permissions, Medical or Address — where the green "Looks Good" or "Save Changes" button simply did nothing, with no explanation. Each step is now checked on its own, so you can move through the whole flow without getting silently stuck.
Hire Booking Calendar Now Enforces Your Rules
On the public hire booking page, the calendar now greys out and disables any date that breaks an asset's rules — so if you only take bookings that start on a Tuesday, hirers can only pick a Tuesday. A short hint above the calendar spells the rules out in plain English, and if a booking is still rejected the hirer is told exactly which rule it broke rather than seeing a generic error.
Clearer, Fairer Photo Consent Wording
The photo consent statement parents see has been reworded to match current Scout Association and GDPR guidance. Rather than stating flatly that withdrawing consent can undo nothing, it now commits the group to making every reasonable effort to stop further use of previously published photos, while being honest that some already-printed materials may not be recoverable.
Gift Aid — Easier to Declare and Quicker to Find
Two Gift Aid fixes for parents. The declaration form now accepts addresses that browser autofill splits in unusual ways — a bare house number on the first line no longer blocks the Create Declaration button. And the "Add Gift Aid declaration" link in request emails now opens the Gift Aid page directly, rather than dropping parents on the general finance page where the Gift Aid tab is easy to miss.
More Room to Browse Badges
On the badges page, the summary cards that are only useful to leaders are now hidden from parents — giving parents more of the screen to scroll through and view their own child's badges.
The Waiting List Works Properly on a Phone
The Waiting List page has been redesigned for mobile. Instead of a wide table that cut children's names off, each application now appears as a clear card showing the child's name, status and a countdown for offered places, and the status pipeline scrolls neatly across the screen with all of its labels intact.
A Few More Fixes
- Trustee pages such as Trustee Insights load correctly again, after a recent change had stopped them opening.
- The Consent register report no longer fails with an error when you run it from the Members page.
18 May 2026 Release Notes
The biggest release of the year so far. The brand-new Hire module turns your hall, campsite, minibus or kit into a proper public booking system — branded portal, custom questions, deposits and bank-to-bank payments all included. Gift Aid gets a dedicated tracker for treasurers and a self-service tab for parents, charity registration with Charity Commission lookup is now built in, trustees get a full Meetings page with minutes, parents get a redesigned My Children page, the group dashboard is flatter and easier to scan, and address forms across the whole app now autocomplete UK addresses as you type. Plus a Reports tab on five more pages and a long list of fixes across reconciliation, badges, finance and events.
New Features
The Hire Module — Rent Out Your Hall, Campsite or Kit (Beta)
Scout groups can now run a proper public booking system for their halls, campsites, activity centres, minibuses and equipment — without leaving Scoutworks and without any back-and-forth emails. Publish a branded portal with photos, live availability and pricing for each asset; set rich rules for minimum hire, advance notice, day-of-week restrictions and capacity; build a custom question list per asset (dietary needs, drive licence numbers, group size); and choose whether a request is auto-confirmed, sent for manual review or held as a quote. Booking an entire building automatically blocks every room inside it, so you can never double-book by accident. Hirers pay deposits and balances directly into your bank account via open banking — no card surcharges and no chasing. Confirmation, reminder, balance-due and post-stay emails fire automatically, and every paid booking lands in your accounts as an income transaction. Closes a long-standing parity gap with OSM's Venue Booking module. Available in beta — turn it on in Settings — Beta Programme.
Gift Aid Declaration Tracker + HMRC Claim Export
A proper home for Gift Aid. Treasurers get a new tab inside Accounting that lists every family with their current declaration status, lifetime claimable total and current tax-year figure, with one-click invites for families who haven't signed up yet and a low-coverage warning that shows roughly how much you're leaving on the table. Parents get their own Gift Aid tab in Parent Finance: declare or update for each group, see a five-year tax-year breakdown of what they've given (with copy-to-clipboard for HMRC self-assessment), and cancel a declaration with the right HMRC-required reason if their tax circumstances change. A new section on the Insights page rolls everything up for the wider committee, and the existing HMRC R68 export still does the heavy lifting at claim time. Treasurers can also now manually attest Gift Aid eligibility on individual transactions for one-off donations.
Charity Registration with Commission Register Lookup
Groups and districts can now record their charity registration details directly in settings, with a built-in lookup against the Charity Commission Register for England & Wales — type a name or number and Scoutworks fills the rest in for you. Once configured, your charity number and registered status appear automatically in the footer of every branded email you send to parents and members, so your communications meet the Commission's public benefit requirements without any manual copy-paste.
Trustee Meetings — Minutes & Files in One Place
Executive committees and group trustees now have a dedicated Meetings page under Trustee Insights. Schedule trustee meetings, attach typed minutes and supporting files, and keep the full record in one place rather than spread across Google Drive and email. Permissions are tight by design — trustees can read and write minutes and files on governance-scoped events but nothing else.
My Children Page — Redesigned for Parents
The Parent — My Children page has been rebuilt around tabs and focused edit sheets. Each child gets a dedicated panel with quick-action cards for identity, emergency contacts, medical & dietary info, permissions and the linked parents on file — so the things you actually look at week-to-week are right there. Editing is split into four focused sheets (Details, Emergency, Medical, Permissions) that each save independently, and a clearer profile-completion indicator tells you exactly what's missing. The page now distinguishes between "no medical info yet confirmed" and "none reported" so leaders know which children still need a review. Works smoothly across phone and desktop.
Group Dashboard — Flatter, Faster to Scan
The group dashboard has been flattened into focused cards: summary tiles at the top, upcoming events, a split calendar view and a single Actions Required panel that surfaces what genuinely needs your attention today. A new Subscribe button lets anyone copy a personal iCal feed for the group or a single section into Apple Calendar, Google Calendar or Outlook. The parent dashboard has been aligned to the same layout so the experience matches whichever role you're wearing that evening.
A Reports Tab on Five More Pages
The unified Reports pattern that landed on Events and Accounting last month now reaches Members, Badges, Equipment, Fundraising and Trustee. Every export, register and PDF has been pulled out of action menus and modal hiding-spots and gathered into one Reports tab per page — with a pinnable favourites zone and a "Recently generated" list so you can grab last week's roster export without rebuilding it. Highlights include the member roster, emergency contact directory and consent register on Members; seven badge reports consolidated into one place; an equipment condition report and checkout history on Equipment; campaign donations on Fundraising; and the trustee board pack on Trustee.
UK Address Autocomplete Across the App
Every address field across Scoutworks — Add Member, Member edit, Waiting List, parent profile and Complete Your Info — now suggests real UK addresses as you type, powered by open UK postcode data that we host ourselves. Pick a suggestion and the postcode, street, town and county fill in automatically; a small "Address verified" badge appears in the section header so you know the data's clean. Manual entry still works exactly as before, so nothing breaks if you ever need it.
Time-Based Budget Burn View
Budgets with a time period set (an annual energy budget, a term-long programme budget) now show an expected-position line alongside actual spend, so you can tell at a glance whether 50% used by mid-September is on track or running hot. A new burn-down chart makes the pacing obvious, and clear signals appear when actual spend drifts ahead of where you'd expect to be.
Filter Members by Event Attendance
A new filter on the Members page lets you find everyone who attended, missed or didn't respond to a specific event. Useful for chasing missing parents after camp sign-up, working out who needs a catch-up after a skills night, or just understanding programme reach across the term.
Add Leaders to Incident & Accident Reports
Incident and accident reports can now include leaders and admins as affected persons, not just young people — covering the real-world cases where a leader gets the bee sting or twisted ankle. The whole accident report flow has also been rebuilt as a guided step-by-step wizard so nothing important gets missed.
Senior Sixer Role for Cubs
Cubs sections can now mark a member as Senior Sixer, sitting alongside the existing Sixer and Seconder roles. Shows up in member lists, exports and the section roster.
Improvements
Click a Bank Inbox Row to Reconcile It
Rows in the Bank Inbox now open the Match panel when you click them — no need to hunt for the actions menu. Keyboard users can tab to a row and press Enter or Space to do the same thing. Clicking the select checkbox or the actions menu still does what you'd expect rather than firing the match panel underneath.
Mixed-Type Reconciliation Matching
Reconciliation can now match a single bank line against multiple ledger entries of different types — for example a single GoCardless payout against a payment, a fee and a refund — while still guarding against accidentally combining same-type entries that should have stayed separate. Payout deposits are also now auto-suggested with the right split, so most weeks reconciliation is one confirm click.
CSV Export for a Single Budget
Treasurers can now export the transactions behind any single budget straight to CSV from the budget detail view — useful for sharing a budget breakdown with a section leader or attaching to a committee paper.
A Trustee "Action Required" Panel
Trustee Insights now opens with a panel that surfaces what genuinely needs the committee's attention this month — overdue risk reviews, conflict declarations due, duties unticked — so meetings start with the right list rather than a scroll through every tab.
Recurring Payments Need-Approval Filter
A new "Approval Required" filter on the Recurring Payments tab makes it easy to find the subscriptions still waiting for a treasurer sign-off, rather than scrolling past everything that's already approved.
Number Inputs Don't Change on Mouse Wheel
Scrolling over a number input — the amount on a transaction, the count on a kit list — no longer accidentally bumps the value up or down. A small thing that's caused more than its share of "where did that £10 come from?" moments.
Stable Calendar Height Across Months
The month calendar no longer jumps in height when you flip between a four-row month and a six-row one, so the rest of the page stays put as you scroll through the year.
Service Worker Updates Ask Before Reloading
When a new version of Scoutworks deploys while you're mid-task, the app now asks before reloading rather than refreshing under your fingers. If you're halfway through composing an email or filling in a sign-up form, you'll get the chance to finish first.
Better Badge Sign-Off at Events
A small cluster of badge fixes: the sign-off picker on an event now filters by badge section so you only see the badges relevant to the young people present, the underlying badge description is shown when reviewing sign-offs, members who belong to more than one section are now picked up correctly, and the occurrence dialogs that were hidden behind the Add Badge Requirements modal are visible again.
Catch-Up Period Anchored on First Charge Date
When a member joins partway through a billing period, the catch-up calculation now anchors on the first charge date rather than the calendar period start — so a parent never gets surprised by an oversized first invoice.
Kit List Prints Cleanly from the Parent Modal
When parents open a kit list from the event modal and print it, the list now paginates cleanly across pages rather than chopping items in half.
"Awarded" Final Status Honoured on OSM Import
Importing badge progress from OSM now correctly preserves the Awarded status on badges that were already presented, so members don't lose their existing awards when their data is pulled in.
Event Deep-Links Stay in the URL
When you open an event by sharing a link, the event ID now stays in the page URL until you actually close the dialog — so refreshing or bookmarking does what you'd expect.
Equipment Page Has a Proper Empty State
Groups that haven't added any equipment yet now see a friendly empty state with a clear "Add your first item" call to action, rather than a blank table.
Direct Debit Email Links Resolve Correctly
The "Set up Direct Debit" call-to-action in subscription emails now lands on the right page rather than a 404, and the Approve Recurring Payment dialog shows the correct payment interval (monthly, term, annual) rather than always defaulting to monthly.
Select Text in the Mobile Email Viewer
On a phone you can now select and copy text out of an email — a parent's reply, a quoted message, a date — just like on desktop.
Cost Per Person Sticks on Programme Meetings
Setting a per-person cost on a regular programme meeting now persists correctly when the event is edited or duplicated, rather than quietly reverting to zero.
Data Verification — All Sections, Tidier Layout
The Data Verification sheet now shows every section your group has configured rather than a subset, and uses a cleaner flex layout that scales properly on narrower screens.
Help Centre Link from the Support Widget
The Knowledge Base button inside the in-app support widget now opens the public Help Centre at scoutworks.app/kb, so you can browse articles without losing your place.
Section Picker Works Inside Event Dialogs
A pair of fixes for the section picker dropdown: it now appears reliably inside event dialogs (it had been hidden behind the dialog overlay), and the dropdown reliably positions itself inside the viewport rather than getting clipped near the screen edge.
11 May 2026 Release Notes
A big week for treasurers and trustees: a brand-new Bank Inbox makes reconciliation feel like email triage, the Trustee Governance Toolkit ships in beta with a strategic risk register and live compliance score, and one budget can now span several linked events. Payment pauses get privacy controls, weekly digest opt-out lands in beta as part of communication settings, accounting periods accept custom close dates, and we've cleared a stack of fixes across badges, mobile, and parent communications.
New Features
Bank Inbox — A New Way to Reconcile
Reconciliation has been rebuilt around an inbox. Imported bank lines now land in a dedicated Bank Inbox tab inside Accounting, where each row shows a clear status (Needs action, Suggested, Parked, Ignored) and the count badge tells you exactly how many lines still need your attention. For every row you can Match against an existing ledger entry, Create a new transaction, Transfer between accounts, or Park with a free-text note for later. The transfer panel has been completely reworked into a searchable list that puts amount-matched suggestions at the top and lets you browse all eligible entries across every account. Imports no longer auto-reconcile silently — everything passes through the inbox so nothing gets lost.
Trustee Governance Toolkit (Beta)
Three new tools land together for executive committees and group trustees, designed to make Charity Commission compliance feel like part of the job rather than an end-of-year scramble. The Strategic Risk Register lets you log group-level risks on a 5×5 likelihood × impact heatmap, with review-due reminders, full revision history, and optional AI suggestions to get you started. Trustee Duties seeds the six standard UK statutory duties for your group automatically and offers a monthly timeline plus a private iCal feed — subscribe in Apple Calendar, Google Calendar or Outlook and every deadline appears in your personal calendar, with one-click token rotation if you ever need to revoke the link. The Conflict of Interest Register is immutable by design — every declaration is preserved, and changes happen via a supersede flow so the audit trail is complete. A new Compliance Health Score widget on the Trustee Insights overview tab combines risk currency, duty completion and conflict declarations into a single 0–100 score. The existing "Risk & Safety" tab has been renamed to "Event Risk & Safety" so the new strategic register stands apart. Available in beta — turn it on in Settings — Beta Programme.
Link One Budget to Several Events
Budgets can now span multiple events — perfect for multi-part programmes like a term of weekly meetings or a camp that runs across two weekends. Pick the events you want covered with checkboxes when creating or editing a budget, and a new per-event spend breakdown shows you exactly where the money is going. Existing single-event budgets keep working unchanged. The transactions dialog now shows a "Spend by event" view when a budget spans more than one event, and the event finance report rolls everything up with a combined headline.
Pause Payments with Privacy Controls
Pausing a member's Direct Debit subscription is now far more flexible. Choose a fixed pause of 1, 2, 3, 6 or 12 months, or pause indefinitely until further notice. Record the reason from a short list of presets (illness, financial support, gap year, other) — and when you pick "Financial support" the parent notification email is automatically suppressed, so sensitive circumstances stay private. The reason appears on paused member cards so the next leader to pick up the file knows the context. Works for both single and batch pauses.
Custom Accounting Close Dates
When closing an accounting period you can now choose a custom close date rather than being forced onto the period end. Useful for groups that need to align with HQ deadlines, AGM dates or the financial year ending on a specific Sunday. The Close Period dialog now defaults to the period end, validates that the date isn't before the period start or in the future, and uses your chosen date to both end the closing period and start the next one. Accounting year setup also has a clearer day-month-year prompt with inline validation, and start dates are now enforced to be within 365 days so you can't accidentally create future-dated periods.
Opt Out of Weekly Digest Emails (Beta)
Leaders and admins can now switch off the weekly digest emails (badges due, upcoming events, birthdays) from Profile — Email Preferences. Parents still receive their badge digests as before — the unsubscribe link is in the footer if they want to opt out. Available in beta — turn it on in Settings — Beta Programme.
Improvements
Send Parent Invites to up to 1,000 Parents at a Time
The bulk parent invitation flow has been rebuilt end-to-end. The cap has been raised from 50 to 1,000 recipients per send, the "Send All" reminder button now uses the bulk pipeline so it can't be silently rate-limited, and when the system does need to slow you down briefly you'll see exactly how long to wait rather than a generic error. Sending to 99 parents on Direct Debit setup reminders now just works.
Award Badges from Your Phone
The "Badges Awaiting Award" modal on the dashboard has been reworked for mobile. The badge list now flexes to the available height instead of forcing a fixed size that pushed the Cancel and Award buttons off-screen, and the buttons themselves stack full-width on a phone so they're comfortable to tap. The desktop layout is unchanged.
Staged Activity Badges Count Toward Chief Scout Awards
Staged activity badges (the ones with stages like Hikes 1–5 or Nights Away) earned at one section now correctly count toward Chief Scout Award progress when a member moves up — for example a staged badge earned at Cubs continues to count toward the Chief Scout Gold Award at Scouts. Both the auto-award and the badge management progress views reflect the fix straight away. No data backfill required.
Numbered-Series Badge Counts Update Correctly
Badges that count occurrences — Teamwork, Time on the Water, Nights Away and similar — now record the underlying event correctly when a leader signs members off at an event or approves evidence. Counts in the badge management UI update immediately, the event-linking dialog now shows occurrence requirements alongside the standard checkboxes, and we've run a backfill so any approvals captured before this fix are also up to date.
Online Payments Reflect a Member's Current Section
The Online Payments and Recurring Payments tabs now display each member under their current section, even if their subscription was originally set up when they were in a different one. The section filter also now narrows the visible members properly within each group, rather than just hiding groups with no matches.
Direct Debit Setup Status — Clearer for Leaders and Parents
Two confusing edge cases around Direct Debit setup are fixed. Leaders looking at a member with a "pending customer" subscription will now see the right setup stage even when the parent has done part of the flow under a different account. Parents with an active mandate no longer see a "not set up" banner just because a newer (and still in-progress) mandate appeared after it. The "in progress" window has also been extended from 24 hours to 7 days to cover BACS settlement timing.
District Metrics Load Automatically
When district admins first land on the Dashboard or Insights page, metrics now generate themselves in the background and appear as soon as they're ready — no more amber "Metrics not yet generated" banner with a manual button to click.
Copy and Paste Works on Email Pages
The compose and email-history pages no longer hijack Ctrl/Cmd+C, so you can copy a subject line, an email body or a parent's address out of an email page like you'd expect.
Events Now Show the Right Date for Parents
Fixed a regression where a handful of events were showing their correct date in the leader view but landing on the wrong day (the same incorrect day for several events) in the parent view. The underlying corrupt end-date values have been repaired and the calendar code now guards against an end date earlier than the start.
4 May 2026 Release Notes
Parents get private personal calendar feeds for each of their children's sections, a new Team directory and event Adults tab make day-of leader info easy to find, treasurers can attach receipts and invoices to transactions, kit lists go out of beta, plus a brand-new event type for AGMs and training, an adult-to-young-person ratio checker, in-app replies on support tickets, and a round of refinements across payments, badges, and member admin.
New Features
Personal Calendar Feeds for Parents
Each parent now gets their own private calendar feed URL covering only their children's sections. Add it once to Apple Calendar, Google Calendar or Outlook and every event for your child lands in your phone's calendar automatically — find it under Settings — Calendar. Crucially, the feed is tied to active membership: when a parent leaves the group, their URL stops working straight away. This was a long-standing security request from leaders, who couldn't fully revoke the old shared calendar links once they'd been distributed. Parents can also rotate their own URL with one click if it ever ends up somewhere it shouldn't, and the old link stops working immediately.
Team Directory & Adults Tab on Events
A new “Team” area in the sidebar lists every leader, admin, young leader and trustee in your group, with grid and table views, search and filtering. Each person now has their own profile page. On every event, a new Adults tab shows everyone supporting on the day — leaders, parent helpers, walk-ins — and the leader in charge can tap through to emergency, medical and dietary info without hunting for the activity report PDF.
Receipts & Invoices on Transactions
Treasurers can now attach receipts and invoices directly to any transaction. Drag and drop a PDF or photo straight onto an expense, or stage them while creating a new transaction — every uploaded file shows who added it and when, so end-of-year independent examination becomes much simpler. The transaction list shows a paperclip icon on rows with receipts, an amber “No receipt” badge on expenses without one, and an “X of Y with receipts” coverage metric in the filter bar.
Leader & Admin Events
A new event type covers AGMs, training nights, committee meetings and parent forums — events that don't belong on the young members' calendar. Pick who can see and RSVP: leaders only, leaders and parents, or parents only. Admin events have their own Minutes tab with a built-in editor and PDF export. Available in beta — turn it on in Settings — Beta Programme.
Kit Lists — Now Available to Everyone
Structured kit lists are out of beta. Every group now has access to the full kit list builder on camps, activities, trips and meetings, with no flag to flip. The old free-text kit list field is retired in favour of the structured version.
Adult to Young Person Ratio Checker
Every event now shows a live adult-to-young-person ratio readout based on Scout Association POR rules. The card breaks the count down per section, flags tentative parent helpers you can chase with one click, and adapts to whether the event is at your meeting place, away for the day or nights away. Risk assessments auto-fill participant and leader counts from the same source. Advisory only — the leader in charge always remains the final authority.
Risk Assessment Evidence — Three Ways
Risk assessments now support three kinds of evidence on every event: build a structured RA in-app, upload an existing PDF or Word doc, or record an attestation that it's held elsewhere (with a note saying where). A new audit-ready evidence pack export bundles every risk assessment in a date range into a single ZIP, with an index spreadsheet and per-event folders, emailed to you when it's ready. Risk assessments remain non-blocking — this is about evidence and audit, not stopping events running.
Event-Level Expense Approvers
When you create an event, you can now nominate a specific person to approve expense claims tagged to that event. Claims with multiple lines split correctly so different approvers handle their own lines. If the nominated approver submits their own claim against the event, it auto-approves at submission — no more bouncing receipts back to themselves.
Reply to Support Tickets In-App
When the developer replies to one of your bug reports or support tickets, the reply now appears in a comment thread inside the ticket itself — no email round-trips needed. You'll get a notification when there's a new reply waiting.
Rename Default Finance Categories
You can now rename any of the default finance categories — for example “Subs” to “Membership Fees” or “Camps” to “Camps/Trips” — to match how your group already talks about money. Existing transactions stay attributed correctly. A new “Membership Fees” expense category also ships as default to track capitation paid up to HQ.
What's New Panel — Refreshed
The What's New announcements panel now shows per-announcement icons and a product-area category (Communications, Events, Members, Finance, Reports, Admin) so you can scan recent updates at a glance. Beta features are clearly tagged.
Improvements
Bulk Parent Reminders for Larger Groups
Sending a payment reminder or invitation to a large group of parents — for example all 99 young people who haven't set up Direct Debit yet — now works whatever the group size. The previous 50-recipient limit has been lifted.
Awarded Status on Badge Imports
When importing badges from OSM, you can now choose whether the imported badges should land as Completed (the default) or as Awarded — useful for catching up on historical records where badges have already been physically presented. Notification emails stay suppressed throughout the importer either way.
Badge Stock Improvements
Awarding a badge now deducts stock immediately and the new count appears without a refresh. Group Stock for consolidated membership badges is exposed properly across the badge views, badge stock imports no longer create duplicates, and a new low-stock view makes it easier to spot what to order before you run out.
Recurring Payments Filter
The status filter on the Recurring Payments table now actually narrows the visible rows. Previously the filter was applied but the rows didn't change.
Phased Signup Auto-Opens
When you publish an event with phased signup, wave 1 now opens automatically rather than needing a separate manual step after publishing.
Direct Debit Setup Stage
Progress through the Direct Debit setup process now shows correctly when a single parent mandate covers multiple subscriptions, so leaders can see exactly where each family is up to.
Camp Payments Visible to Admin-Parents
One-time camp payments now appear correctly to admins who are also parents in the same group, so people in dual roles no longer miss payments because of overlapping accounts.
RSVP Notifications — Tightened Up
RSVP emails for selective events now only go to invited members, not the whole section. RSVP-change notifications for parents are also scoped to the child's own section, cutting down on irrelevant pings.
Members Sorted by Age — Oldest First
The Members page now sorts by age oldest-first by default, matching how most leaders think about moving children through sections.
User Actions Menu in Settings
The actions menu on the Users table in Settings now stays visible after you click into a row, so follow-up actions like “edit” or “resend invite” are one click away rather than three.
Editing Parents from Member Profiles
The Edit button is now available on parent rows in the member profile view. Conflicts where a parent's email address is already in use elsewhere are surfaced with a clear message rather than silently failing.
Archived Members & Event Capacity
Archived members no longer count against event capacity, so capacity caps reflect the active membership only.
Counterparty Kept on Edit
Reopening the Edit Transaction dialog now keeps the counterparty (who paid or was paid) populated. Previously it would clear and need re-entering.
Friendlier Error Messages
A handful of unexpected errors that previously broke whole pages now appear as a polite toast at the bottom of the screen, with extra guards so the rest of the page keeps working.
Heat Map Visibility for Rural Groups
The minimum-datapoints threshold has been lifted from the member distribution and waiting-list heat maps. Rural districts where each postcode might only have one or two families now show real activity instead of an “insufficient data” greyed-out view.
27 April 2026 Release Notes
Badge evidence review completely redesigned with per-requirement feedback and parent resubmission, equipment now supports photos and documents, a new Parent Rota report lands in the Adults tab, Direct Debit catch-up handles late mandates automatically, plus a refreshed email page, member filtering by lodge/six/patrol, and dozens of fixes across payments, imports, and badges.
New Features
Badge Evidence Review — Redesigned
The badge evidence review process has been rebuilt from the ground up. Leaders now review evidence requirement by requirement rather than as a single block — making it easy to approve some requirements while asking for more detail on others. Parents can resubmit evidence for specific requirements without starting from scratch, and a new autosave and draft-resume system means partially completed submissions are never lost. The parent dashboard now surfaces evidence cards showing what's in progress and what needs attention, so nothing slips through the cracks.
Equipment Photos & Documents
Equipment items now have a dedicated Photos & Documents tab. Upload a cover photo that appears in the equipment list, plus attach receipts, manuals, PAT test certificates, gas safety certs, service records, and any other files directly to the equipment record. No more hunting through WhatsApp or email for that tent receipt from last year.
Parent Rota Report
A new Parent Rota report appears in the Adults insights tab, showing which parents are helping out and how often. Useful for making sure the same few volunteers aren't carrying the load every week and for having evidence-based conversations about shared responsibility.
Direct Debit Catch-Up
When a parent's Direct Debit mandate activates later than expected, Scoutworks now automatically catches up any missed subscription payments. Previously, late mandate activation could leave a gap in the payment schedule that had to be resolved manually.
Parent Section-Move Email
Parents now receive an email notification when their child is moved between sections. The email explains what's happened and which section their child is now in, reducing confusion and leader admin.
Resend Invitations
Admins can now resend pending invitations for all adult user types — leaders, committee members, helpers, and parents — as well as pending district group invitations. Handy when an invitation email goes to spam or someone forgets to accept.
Filter Members by Lodge, Six, or Patrol
The Members page now includes a filter for lodges, sixes, and patrols. You can quickly see just the members in a particular sub-group while still being able to sort by age or other columns. Requested via the feedback board.
Data Verification Campaigns
Leaders can now launch verification campaigns directly from the Data Verification sheet, sending parents a request to confirm or update their details. A faster way to keep member records accurate without chasing people individually.
Improvements
Email Page Redesigned
The email page has a new three-panel layout that gives the compose area much more room — particularly on shorter screens where the old design barely left space to write. Sent emails now render with their full branding (header, logo, signature bar) instead of plain text, so you can see exactly what the recipient received.
Direct Debit Banner & Emails Refreshed
The Direct Debit setup banner for parents has been redesigned for clarity, and the mandate-active confirmation email has a cleaner look. Mandate stage tracking now surfaces progress through the setup process so leaders can see where each parent is up to.
Badges by Person — Smarter Layout
Core Badges of the same type are now clustered together in the grid rather than scattered. Joining In Award badges sort numerically. These tweaks make the Badges by Person view easier to scan at a glance, especially for sections with large badge programmes.
Multi-Select Payment Filters
Payment status filters now support multi-select, so you can view "Pending" and "Overdue" payments at the same time without toggling back and forth. The recurring payments filter also works properly now and includes a new "Pending Setup" status.
Payment Accuracy
Arrears calculations now use the first scheduled charge date rather than the subscription start date, fixing cases where arrears appeared inflated. Subscription intervals display accurately, and the payment search now correctly narrows results to matching members.
Waiting List — Current Age Band
The waiting list triage view now shows each child's current age band rather than their next one, making capacity decisions more straightforward. The table also scrolls horizontally on mobile so nothing is cut off.
File Imports More Robust
Large .xlsx files that previously failed to upload now import correctly. Bank statement imports handle blank CSV headers gracefully, the OSM import no longer crashes on the final step, and badge-stock CSV imports process each row independently so one bad row doesn't block the rest.
Bug Reporter Works in Dialogs
The in-app bug reporter can now be triggered while a dialog or sheet is open, capturing the exact context of what you're seeing. Previously you had to close everything first, losing the very thing you wanted to report.
Custom Badges Scoped to Sections
Custom badges now appear only in the sections they're assigned to, rather than showing up everywhere. If you created a custom badge for Scouts, it no longer clutters the Beavers badge list.
UI Polish
Close buttons on the What's New sheet and payment history sheet are now properly visible. The Badges Awaiting Award info box wraps correctly. The sidebar has a cleaner layout with less visual noise. Logged-in users who joined before the invitation system are no longer mislabelled as "Pending invite". The event Invitations tab now clearly explains why the list is empty (no invitations sent vs. no responses yet).
20 April 2026 Release Notes
Claims & Payments rebuilt from scratch with multi-line claims and supplier direct-pay, a platform-wide Saved Views system replacing browser-only filters, duplicate member prevention across every creation path, group search exclusion, and Badges by Person sorting by age — plus smarter member imports, transfer undo fixes, and a batch of UI polish.
New Features
Claims & Payments — Complete Rebuild
The former Expenses module has been rebuilt from the ground up and renamed to Claims & Payments. The big change: leaders can now submit a single claim containing multiple line items — mixing "reimburse me" receipts with "pay supplier directly" invoices in one go. Previously, a leader submitting 30 camp receipts had to create 30 separate submissions, generating 30 notifications and 30 review cycles for the treasurer. Now it's one submission. Each line item carries its own categorisation (category, event, budget, section, restricted fund), its own attachments, and progresses through its own approval lifecycle independently — so the treasurer can approve some lines and query others without holding up the whole claim. For supplier payments, leaders pick from a new group-scoped supplier directory (or add a new one inline), with sort code, account number, and payment reference auto-populated. Due dates on supplier lines surface urgency badges in the treasurer's queue, and overdue nudge emails fire automatically. The treasurer's mobile view has full parity with desktop, including swipe-to-approve and reject. All existing expense claims were migrated cleanly to single-line submissions as part of the release.
Saved Views
Filter and sort preferences across Scoutworks were previously stored in the browser — meaning they were lost whenever a leader switched device, cleared their browser, or used a different computer. This has been replaced with a full Saved Views system backed by the server. Leaders can now save their current filter and sort state as a named view (for example "Members needing badge renewal"), switch between views via a quick-access pill bar, set a default view per page, and share views via URL. Views can be drag-reordered, pinned, and switched with keyboard shortcuts. The system ships with sensible default views per page and covers all fourteen filterable pages across the platform, including Members, Events, Badges, Badge Stock, Evidence Review, Expense Claims, Risk Management, and Equipment. Existing browser-stored preferences were migrated automatically on first load.
Duplicate Member Prevention
Scoutworks now detects and prevents duplicate member records across all creation paths — manual add, waiting list conversion, capacity planning execution, and badge import. Existing duplicates can be identified and flagged. This addresses a long-standing pain point where leaders ended up with split profiles, causing badge records and attendance to be scattered across two entries for the same young person.
Group Search Exclusion
Groups can now be excluded from search results across all group search endpoints. This is useful for test groups, groups not yet ready to accept members, and internal or admin groups that shouldn't appear in public-facing search.
Badges by Person — Sort by Age
Section leaders can now sort the Badges by Person view by member age, making it easier to see badge progress alongside where each young person is in their Scouting journey. This was requested by a user via the feedback board.
Improvements
Smarter Member Imports
When importing members from a CSV file or from OSM, Scoutworks now validates and normalises roles automatically. If your import file uses display names like "Patrol Leader" instead of the internal format, Scoutworks converts them for you. Roles that don't apply to the target section — for example, assigning "Patrol Leader" to a Beavers section — are flagged with a clear warning and skipped, rather than being saved as blank or invalid values. The member still imports; only the incompatible role is dropped.
Transfer Undo Now Works Reliably
Undoing a member transfer now properly reactivates the original section membership and resets all tracking fields. Previously, the undo could leave the member in a state where their original section record stayed inactive.
District Users Land on the Right Dashboard
Users whose only role is at district level are now taken straight to the district dashboard after logging in, instead of seeing an empty group dashboard.
Subscription Amounts Show in Pounds
Upcoming recurring payment amounts on the subscription management page now display correctly in pounds rather than showing raw pence values.
Badge Importer Matches Case-Insensitively
The staged activity badge importer now matches badge sheet names regardless of capitalisation, fixing an issue where badges like "Time on the Water" could fail to match their occurrences.
Stale Session Leaders Now Visible
Leaders who previously attended sessions but are no longer active now appear in the attendance list so they can be properly removed, rather than silently persisting.
Event Messaging Excludes Archived Members
The "Message Attendees" action on events no longer includes archived users in the recipient list, and the recipient filter now correctly matches attendance records.
Mobile Fixes
The waiting list table now scrolls horizontally on small screens instead of overflowing. The time picker also scrolls properly on mobile again.
UI Polish
- The yellow info box in the Badges Awaiting Award modal no longer clips its text.
- The What's New sheet now has a visible close button.
- A misleading email-change warning no longer appears when editing parent records that use placeholder addresses.
- Email addresses are normalised more consistently across login and sign-up.
13 April 2026 Release Notes
Email notification preferences so you control what Scoutworks sends you, NPS surveys to collect feedback from parents and members, a new read-only Trustee role for charity board members, a table view on the Events page, and a floating bulk actions bar — plus fixes for accounting categorisation, badge stock updates, and a smooth sign-up flow for leaders creating a new group.
New Features
Email Notification Preferences
Leaders and section helpers can now choose exactly which emails Scoutworks sends them. Head to your profile and look for the Email Preferences section to toggle categories on or off — events, badge updates, payments, group updates, and reminders are each controlled separately. Every notification email also includes a one-click unsubscribe link so you can opt out quickly without needing to log in. Parent-only accounts aren't affected and will continue to receive all communications as normal.
Feedback Surveys
You can now send short NPS-style feedback surveys to parents and members to find out how your group is doing. Create a survey in Insights → Surveys, choose your audience (parents, members, or both), set a send date, and Scoutworks handles the email invitations. Parents and members respond through a simple public link that doesn't require logging in — just a score and an optional comment. The results dashboard shows your NPS score, how scores break down across promoters, passives, and detractors, and all the written comments in one place. Surveys close automatically after the period you set, or you can close them manually and send a reminder to anyone who hasn't responded yet.
Trustee Role
Groups with a charity board or committee can now give trustees their own Scoutworks login with read-only access to the information they need for governance oversight. Trustees get a dedicated dashboard summarising member numbers, finances, and risk and compliance, with full access to the Insights and Finance views — but no ability to edit data or access operational areas like events or settings. The Trustee role can be assigned alongside a leader role, or on its own for a board member who isn't an active leader. From the trustee dashboard, board members can also download a Board Pack CSV — a tidy one-file summary ready for committee meetings.
Table View for Events
The Events page now has a table view option alongside card, calendar, and agenda views. Switch to table view when you want to scan a long list quickly or sort events by date, section, or status. You can customise which columns appear so the table shows only what matters to you.
Improvements
Bulk Actions on the Events Page
You can now select multiple events and act on them all at once using the floating actions bar that appears at the bottom of the screen — the same familiar pattern used on the Members and Badges pages. Bulk operations across the app are now consistent.
Accounting Fix: Transactions Now Categorise Correctly
Fixed an issue where some transactions in the Accounting view couldn't be categorised. The query now correctly filters to your group, so all transactions appear and can be assigned a category as expected.
Badge Stock Levels Save Correctly
Fixed a minor bug where editing badge stock quantities wasn't saving as expected. Stock level updates now apply reliably.
Sign-up Flow for Existing Users
Leaders who already have a Scoutworks account and want to set up a brand-new group were seeing a sign-in error on the sign-up page even when their password was correct. This is now fixed — Scoutworks recognises the valid login and lets you proceed to create your new group.
6 April 2026 Release Notes
Global search from anywhere with Cmd+K, branded email templates with live preview, targeted event invitations with capacity enforcement, interactive kit lists for camps, risk assessment CSV import and document view, a guided payment setup wizard, financial overview reports, standard patrol badges for Scouts sections, and an in-app "What's New" feed — plus a reorganised settings page, smarter bank imports, and a batch of bug fixes.
New Features
Global Search
You can now search across your entire group from anywhere in Scoutworks. Press Cmd+K on Mac (or Ctrl+K on Windows), or tap the search icon in the header, and a command palette opens instantly. Type a name, event, badge, or keyword and results appear as you type — members, events, badges, payments, documents, and more. Results are scoped to the sections and data your role has access to, so leaders see everything relevant to their group while section helpers see only their section. It's the fastest way to jump straight to the member, event, or record you're looking for without navigating through menus.
Branded Email Templates
Every email your group sends through Scoutworks now carries your group's branding — your logo in the header, your chosen accent colour, and your own footer text and links. Head to the new Email Branding page in Settings to upload your logo, pick a header style and colour mode (light or dark), and set the footer. When composing an email, a live branded preview shows you exactly what parents will see in their inbox — no more guessing. Leaders can also create a personal email signature on their profile page with their name, role, and phone number, which is automatically appended to emails they send. The branding is snapshotted when each email is sent, so changing your settings later won't alter previously sent messages.
Targeted Event Invitations
Not every event should be open to everyone. When creating or editing an event, you can now choose from three invitation modes: open (the default — everyone can RSVP), section-restricted (only members in the sections you select), or invite-only (only members you explicitly invite). For invite-only events, a new Invitations tab lets you pick members individually or in bulk, track who's been invited and who's responded, and send or revoke invitations. Parents only see events their children are invited to, so there's no confusion. Capacity limits are now enforced at RSVP time too — once an event is full, the "Yes" button is disabled and no one can over-book.
Kit Lists
Preparing for camp just got easier. Leaders can create reusable kit list templates — one for a weekend camp, another for a day hike, another for water activities — and attach them to any event. Scoutworks ships with sensible defaults out of the box, and you can customise them or build your own from scratch. Once a kit list is attached to an event, parents see an interactive packing checklist where they can tick off items as they pack their child's bag. Leaders get a progress dashboard showing exactly who's packed and who hasn't, which is invaluable the night before a camp. Kit lists can also be exported to PDF for printing and handing out at meetings.
Risk Assessment CSV Import
Groups migrating from other systems or working from existing spreadsheets can now bulk-import their entire risk assessment library in one go. Upload a CSV with your risk titles, descriptions, categories, likelihood, severity, and control measures, and Scoutworks creates them all at once — no need to type 50 or 100 entries one at a time through the creation dialog. You can also export your current library as CSV for backup or sharing with other groups.
Risk Assessment Document View
Risk assessments now have a dedicated read-only view that mirrors the familiar printed risk assessment form that leaders know from paper-based processes — header metadata at the top, environmental conditions, a structured risk register table with likelihood and severity, and a sign-off section at the bottom. Click any risk assessment row to open this view instead of the edit dialog, making it easy to review and share without accidentally changing anything. Editing is still one click away when you need it.
Standard Patrol Badges
Scouts sections now come with the standard UK patrol badges pre-loaded — Kestrel, Falcon, Eagle, Wolf, Stag, Panther, and the rest. They appear automatically in badge management, badge reports, and stock tracking just like any other core badge, so there's no manual setup needed. Groups can still create custom patrols alongside the standard ones if they use different names locally.
Payment Setup Wizard
Setting up online payments for your group is now a guided three-step experience. The wizard explains why Direct Debit works well for Scout groups, walks you through connecting your GoCardless account with a single click, and confirms when you're ready to start collecting payments. It replaces the previous setup page that left new groups staring at an empty Finance tab with no guidance. Non-admin leaders see a helpful info card explaining that an admin needs to complete the setup, so nobody hits a dead end.
Financial Overview Report
Treasurers can now generate a single report showing the current balance across every bank account — main account, cash account, and any others — with a clear breakdown of how that total is split between unrestricted and restricted funds. The report shows opening balances, period movements (income and expenditure), and closing balances, all calculated from your actual transaction records rather than stored snapshots, so the numbers are always accurate. If a restricted fund has been overspent, a warning appears. Export to PDF for committee meetings or CSV for your own records.
What's New Feed
A new "What's New" section in the sidebar keeps you informed about the latest Scoutworks features and improvements as they roll out. When there are announcements you haven't read, a badge shows the count so you know there's something new. Contextual tips also appear on relevant pages — for example, a callout on the Finance page when a new report is available — helping you discover features you might otherwise miss.
Manual Waiting List Entry
When a parent phones up or catches you at a meeting to ask about joining, you can now add their child to the waiting list directly from the admin UI — no need to send them to the public form or fill it out on their behalf. Click "Add Member" on the waiting list page, enter the child and parent details, and the entry appears immediately, tagged as a manual addition. The waiting list table now shows source badges so you can see at a glance which entries came from the public form, a CSV import, or manual entry.
Improvements
Settings Page Reorganised
The Settings page was getting crowded with lots of individual drop-down sections. It's now organised into tabbed groups — General, Finance, Notifications, and so on — so you can find what you need much faster. Each tab has its own URL, so bookmarks and shared links take you straight to the right section.
Smarter Bank Imports
NatWest Bankline CSV imports now correctly map Narrative #1 as the counterparty (who paid you or who you paid) and Narrative #2 as the description (what it was for). Starling imports pick up the reference field too. If you re-import the same CSV, Scoutworks backfills counterparty details on transactions that were imported before this change — without creating duplicates. The counterparty now appears in the transaction list, the edit dialog, and the reconciliation table, making it much easier to identify what each transaction was.
Unified Actions Required Card
The group dashboard now shows a single, compact Actions Required card that brings together everything that needs your attention — pending RSVPs, incident reports awaiting approval, consent forms to chase, upcoming birthdays, and members about to age out of their section. Items are colour-coded by urgency (red for overdue, amber for soon, blue for informational), and you can RSVP to events or expand birthday lists directly from the card without leaving the dashboard.
Nominated Incident Report Approver
Groups can now designate a specific person to review and approve incident reports, rather than every admin seeing them in their queue. This is useful for groups where one leader (such as a Group Scout Leader or safety officer) handles all incident follow-up. The setting works just like the existing expense approver — choose someone in Settings, and incident reports route to them. Admins always retain backup access if the designated approver is unavailable.
Email Deliverability
Behind-the-scenes improvements to how Scoutworks sends email — including tighter authentication metadata and sending practices — to reduce the chance of your group's emails landing in parents' spam folders.
Equipment Page on Mobile
The equipment details page is now fully responsive, so leaders checking stock levels, condition reports, or loan history on a phone or tablet get a properly laid-out view instead of a squashed desktop layout.
Bug Fixes
- Occurrence-based badges (Nights Away, Hikes Away, Time on Water) now appear correctly in the member badge report — previously only standard badge records were shown
- Badge stock levels can now be updated without errors
- Risk assessment settings are visible to all leaders with the correct permissions
- Parent payment profiles load correctly for all families
- Equipment requests now appear immediately in the table after submission without needing a page refresh
- Email footer now renders inside the content card for a cleaner layout
- Default Scoutworks logo appears correctly in branded emails when no custom logo has been uploaded
30 March 2026 Release Notes
Fundraising campaigns with QR codes, cross-group event sharing with badge awarding, a member history timeline, Explorer units at district level, a redesigned event insights panel, and the ability to edit payment auto rules — plus a raft of improvements and bug fixes.
New Features
Fundraising Campaigns
Run donation campaigns for your group with a public-hosted campaign page, shareable link, and QR code that parents and supporters can use to donate in minutes. Each campaign gets its own public page where donors can see progress and a donor wall. Payments use GoCardless Instant Bank Pay (open banking), so funds land in your group's account far faster than traditional card payments. All donations automatically appear in your accounting transactions ledger — no manual entry needed. Create a campaign via a guided wizard, set a fundraising goal, and track donations in real time. Donors can claim Gift Aid, and you can export donation records to a spreadsheet at any time.
Share Events Across Groups
Groups can now invite other Scout groups to join their events — perfect for district camps, joint activities, and cross-section nights. With just a couple of clicks, a shared event is live across multiple groups with no data copying or syncing required. Each group manages its own members' RSVPs and capacity independently, while the host group automatically has full visibility across all participants. Payment rules are created automatically and all payments route back to the host group's account, so there's no manual reconciliation. Attendance, leader, and charge reports are enhanced to cover all participating groups, and guest leaders can award badges to their own members at shared events.
Member History Timeline
Every member now has a History tab showing a timeline of key moments in their Scout journey — section moves, badge awards, camping nights, recognition received, consent changes, and more. Leaders can see the full picture at a glance, and it's all recorded automatically as things happen.
Badges by Person
A new "By Person" view in Badge Management lets leaders browse badges member-by-member. Expand any member's row to see all their badges, update statuses inline, and filter by section or badge progress. The existing "By Badge" view is still available via tabs.
Explorer Units at District Level
Explorer Scout sections have always been supported at group level in Scoutworks. They can now also be created and managed at district level, allowing a district to run a single shared Explorer unit rather than duplicating it across individual groups. Each district Explorer unit is a full group with its own members, events, and badge tracking, and its data rolls up into district-level reports automatically. Explorer units can also be shared with groups — for example, Young Leaders from an Explorer unit can be linked to a Beaver or Cub group they help with.
Redesigned Event Insights
The event insights panel has been redesigned with a compact dashboard showing four live stats — upcoming events, drafts, RSVPs awaited, and events in the next 30 days — alongside a colour-coded RSVP health bar. Attention items like approaching RSVP deadlines, low response rates, or missing risk assessors appear as clickable chips that jump straight to the relevant event.
Edit Payment Auto Rules
Leaders can now edit the underlying auto payment rule for a group — updating the amount, due date, or member list — so that future auto-generated payments reflect the change. Previously, edits only affected individual payment records and didn't carry forward.
Reset Group Data
Group admins can now reset their group back to a clean starting state from Settings → Danger Zone. Designed for groups that set up a test account and want to start fresh, the multi-step confirmation flow requires typing your group name before anything is deleted, and any active GoCardless subscriptions must be acknowledged first.
Beta Programme Opt-In
Groups can now opt into Scoutworks' beta programme from Settings. Beta groups get early access to new features before they roll out to everyone.
Improvements
Payment Status When Archiving or Moving Members
When you archive, delete, or transfer a member, Scoutworks now shows a summary of any active subscriptions and outstanding one-off payments. You can choose which subscriptions to cancel before completing the action — with sensible defaults already selected — so nothing is left running by accident.
Add Members to Existing Payment Groups
Leaders can now add more members to an existing one-time payment group after it's been created — useful for late joiners or members accidentally left off.
Email Both Parents for the Same Child
For families with two separate parent accounts, you can now add both parents to an email's recipient list at the same time. Previously, only one parent per child could be selected as a recipient.
Bulk Resend Parent Invitations
Leaders can now resend invitations to all parents with a "Pending" status in one action, rather than having to resend them one at a time. Particularly useful when a batch of invitations has expired.
Downgrade Incident Severity
When reviewing a major incident, leaders can now downgrade it to a lower severity level if it was originally logged incorrectly — without having to delete and re-enter the record.
Clearer Capacity Planning Steps
The "Lock & Confirm" and "Action Moves" steps in capacity planning have been relabelled to make it clearer that confirming a plan doesn't send emails or make irreversible changes. The step-by-step guide now better explains what each stage actually does.
"Volunteer" Instead of "Leader"
The role previously labelled "Leader" in team management is now called "Volunteer", better reflecting that treasurers, badge testers, committee members, and other helpers can all be added to your team.
Accurate Waiting List Capacity Planning
Capacity planning no longer over-allocates places when some waiting list members have already been offered or accepted a spot. The available count now correctly reflects these reserved places, preventing unintentional overbooking.
Bug Fixes
- Waiting list member birthdays can now be edited
- Event expected return date and time can now be saved correctly
- Split transaction fees and negative amounts now calculate correctly
- Updating a parent's email address when they have multiple children no longer causes errors
23 March 2026 Release Notes
Instalment payments for events, a streamlined payment creation flow, split bank transactions, simpler accounting imports, a weekly recognition system, waiting list upgrades, and a redesigned capacity planning workflow.
New Features
Instalment Payments for Events
Leaders can now set up automatic payment plans that split event fees into smaller instalments. Choose how many payments and when they're due — Scoutworks handles the rest, including cancelling pending instalments if a member's RSVP changes.
Streamlined Payment Creation
Creating payments is now faster with a single chooser screen showing four clear options: Automatic Event Payment, Manual Event Payment, General Payment, and Recurring Payment. The new Automatic Payment wizard guides you through event selection, RSVP setup, and payment configuration in one flow — with a fee estimate before you confirm.
Split Bank Transactions
Imported bank transactions can now be split into multiple line items, each assigned to a different category, fund, activity, or section. Financial reports automatically reflect the split amounts, so your category breakdowns and budget variance reports stay accurate.
Weekly Recognition Awards
A new recognition system lets leaders track awards like Cub of the Week. Set up custom recognition types per section, award them to members, and track fairness with a built-in heatmap. Parents see a trophy case and timeline on their dashboard.
Waiting List Parent Invitations
When importing a waiting list, parents now receive a welcome email inviting them to Scoutworks. Leaders can also send invitations individually or in bulk from the waiting list table, and parents complete their details through a guided wizard.
Member Payment History
Click any member's name in the payments table to see their full payment timeline — including total paid, pending, and failed amounts — in a slide-over panel.
Accounting Year Settings
Configure your group's financial year start date with a step-by-step wizard. Includes a handy shortcut for the common 1 September start.
Improvements
Skip Upcoming Payments
Pause 1–12 upcoming payments on any active subscription, with an estimated resume date shown. Batch skip is available for entire subscription groups, and parents are notified automatically.
Bulk Payment Actions
Select multiple pending payments and cancel, edit amounts, or mark them as paid in one go. Amount edits are tracked with a full audit trail.
Delete Unactioned Payments
Pending payment requests and subscriptions that haven't been actioned can now be permanently deleted — individually or in bulk — keeping your payment lists clean.
Subscription Setup After Adding Members
Setting up recurring subscriptions now happens as a separate step after adding or approving a member, so the member creation form stays simple and subscription options are easier to spot.
Simpler Bank Statement Imports
Importing bank statements now flows straight into matching and categorisation. Obvious matches are auto-verified, and groups without existing records can categorise transactions inline during import — no separate reconciliation step needed.
Flexible Transaction Categories
Transactions can now be posted to any category regardless of type, with a gentle warning for unusual combinations. This makes it much easier to record refunds, corrections, and contra entries without workarounds.
Capacity Planning Workflow Guide
The capacity planning overview now features a step-by-step progress card that walks leaders through the Plan, Review, Finalise, Apply, and Done stages with one clear action at each step.
Waiting List Offer Tracking
The waiting list details dialog now shows offer status with expiry countdowns, and a new column in the table gives leaders a quick overview of which offers are active, expired, or accepted.
Roll Back Enrolment
If a waiting list member was enrolled by mistake, leaders can roll back the enrolment in one step — returning them to the waiting list and cleaning up associated data.
Cleaner Waiting List View
Enrolled members are now hidden from the waiting list by default, so leaders can focus on applications that still need action. A filter toggle brings them back when needed. Imported members also get their own “Imported” status, making it easy to distinguish them from direct signups.
Mobile Capacity Planning
The rolling mode in capacity planning now uses a card layout on mobile, making it much easier to manage rosters on smaller screens.
Expense Claim Reliability
Fixed an issue where the expense claim dialog would close silently on failure. It now stays open so you can see what went wrong. Also added a 25 MB file size check for receipt uploads and reduced accidental pull-to-refresh on mobile.
Faster Badge Imports
Badge imports for large groups no longer time out, thanks to a performance fix for groups with many members.
Equipment Duplication
Duplicate equipment items with configurable quantities and naming styles — numbered, lettered, or custom suffixes — and optionally include child items.
16 March 2026 Release Notes
Export event reports as PDFs, track badge requirement updates with versioning, transfer funds between bank accounts, and enjoy more accurate badge progress tracking.
New Features
Event Report Exports
Leaders can now generate and download PDF and CSV reports directly from the Events page:
- Term Programme report — a printable overview of all group events for a date range, with section and date filters
- Attendance Summary report — per-member attendance counts across a chosen period, perfect for end-of-term reviews
- Parents can export their child's upcoming programme from the Parent Events page
Badge Requirements Versioning
When badge requirements are updated (e.g. the Chef badge moves from version 1 to version 2), Scoutworks now tracks both versions side by side. Badges with updated requirements show an "Updated" indicator, and members who started on the old version are handled separately so their progress isn't lost or mixed up with the new requirements.
Bank Account Transfers
Move money between your group's bank accounts with a new transfer feature. Linked transactions are created automatically on both sides, keeping your books balanced without manual double-entry.
Improvements
More Accurate Badge Progress
Fixed an issue where some badges could be marked as completed before all type-specific requirements were met. All badge completion checks now go through a single, thorough process — so badges are only completed when they're truly finished.
Badge Occurrence Editing
Leaders can now edit and delete individual occurrence records on badges, including bulk actions for managing multiple records at once.
Section Filtering for Badge Awards
The badge awarding modal now includes a section filter, making it quicker to find the right members when awarding badges after events.
Tighter Access Controls
- Equipment and waiting list setup pages are now restricted to group admins
- Finance pages show appropriate locked states for users without accounting permissions
Payment Processing Reliability
GoCardless integration now handles more edge cases including reinstated mandates, resumed subscriptions, and settled chargebacks. Payout routing across groups is more reliable, and transactions are automatically categorised for budget reports.
Parent Invitation Improvements
Better validation messages when sending bulk parent invitations, along with improved form loading states and pagination across the platform.
9 March 2026 Release Notes
Use Scoutworks offline without losing your work, get help directly inside the app, save and reuse meeting locations across events, and manage your waiting list with new defer and withdraw options for parents.
New Features
Works Offline
Scoutworks now detects when you lose internet and shows a clear banner so you know what's happening. Your session stays active while you're offline — no unexpected logouts or lost work. When you reconnect, everything picks back up automatically.
Get Help Without Leaving the App
A new support button lets you report bugs or ask questions right from Scoutworks. Screenshots and diagnostics are captured automatically so the team can help faster. You can track your submitted requests and see when they're resolved from a new "My Reports" view.
Meeting Locations
Save your regular meeting places — scout hut, campsite, community hall — with addresses and map links, then pick them from a dropdown when creating events. Parents see the location with a "Get Directions" link on event details.
Waiting List: Defer, Withdraw & Interest Checks
Parents on the waiting list can now defer their place to a later date or withdraw their application themselves through secure email links. Leaders can send interest checks in bulk to confirm families still want their spot, and set section capacity limits that auto-close the list when full. Parents who are only on the waiting list see a simpler dashboard focused on their status.
Stronger Payment Processing
GoCardless integration now handles more real-world payment scenarios including reinstated mandates, resumed subscriptions, and settled chargebacks. Payouts are routed more reliably across groups and transactions are automatically categorised for your budget reports.
Improvements
Faster Account Setup for New Parents
Parents joining via the waiting list now get a "Set up your password" link in their confirmation email, so they can log in straight away.
Bulk Actions Everywhere
Select multiple records and act on them at once — now available for accidents, risk assessments, members, badge stock, and custom badges. A floating action bar stays visible as you scroll.
Better Accounting Views
The parent finance page is now organised into Overview, Recurring, and History tabs. Budget and transaction tables have proper pagination, and bulk member additions now support Gift Aid eligibility.
Equipment Upgrades
- Organise storage with sub-locations (e.g. "Shed → Top Shelf")
- Export filtered equipment lists to CSV
- Generate condition report and packing list PDFs
Attendance Heatmap
Filter by section, spot members with low attendance at a glance, and click through to see any member's full attendance history.
Multiple Team Leads
Sections can now have more than one team lead. This is reflected across waiting list emails and section management.
Cleaner Interface
- Compact table layouts with tidier number formatting
- Guidance popovers replacing the old banner notices
- Removal of beta warning banners
2 March 2026 Release Notes
A landmark week: a full Equipment Management System with QR scanning lands alongside the Young Leader role, multi-parent payment support, attendance heatmaps, a new notification tray, and bulk operations across the platform.
New Features
Equipment Management System
Track all of your group's physical assets — tents, cooking gear, safety equipment, ropes — with a complete equipment management system built into Scoutworks:
- Build an inventory with categories and storage locations; every item gets an auto-generated asset number (EQ-0001 format)
- Print QR code labels (Avery-compatible) and scan them with your phone camera to instantly pull up an item's details
- Check equipment in and out to leaders, with overdue tracking and daily 8am email reminders
- Log condition reports with photo uploads and view a full timeline of an item's condition history
- Equipment requests and approvals — a new Quartermaster role reviews and approves requests, with an auto-approve option for low-value items
- Dashboard widget showing live counters, a condition summary chart, and utilisation analytics
- Generate packing list PDFs and condition report PDFs for trips and events
- Hierarchical sub-locations so you can track exactly where in your storage things live
Young Leaders — First-Class Role
Explorer Scouts who volunteer with younger sections now have dedicated accounts in Scoutworks with section-scoped access limited to the sections they're assigned to:
- Leaders can invite Young Leaders to specific events with dedicated RSVP flows that stay in sync with leader attendance
- Young Leaders can view badge progress read-only across their sections
- Young Leaders can create draft events for leader review and manage parent helpers in their sections
- Finance and payment screens are appropriately locked down with contextual guidance banners
Event Payments: Costs & Payments Tabs
The Finance section on events has been split into two focused tabs — Costs for tracking expenditure, and Payments for managing what members owe:
- Create and manage one-off payment requests directly from the Payments tab
- Parents receive automated emails for payment requests, confirmations, receipts, and refunds
- Download receipt PDFs for completed transactions
- Auto-payment rules can now be safely deleted, automatically cleaning up any pending payments
Payment Requests Go to All Parents
Payment reminders and requests now reach every parent linked to a member's account — not just the primary contact. Any parent can view and pay outstanding requests, with protection built in to prevent double-charging if two parents pay simultaneously.
RSVP Confirmation Pages
Event RSVP links in emails now open a dedicated confirmation page rather than acting immediately. Links are secured with tokens that expire automatically, with a background cleanup job removing stale requests.
Attendance Heatmap
A new visual heatmap in Insights shows attendance patterns across events and members at a glance:
- Filter by section to focus on specific groups
- Members with low attendance are automatically flagged
- Drill into any member to see their full attendance history
Notification Tray
Notifications have moved from a small popover to a full slide-out tray, making it much easier to review and manage them:
- Bulk mark-as-read to clear all notifications at once
- Filter notifications by type
- Real-time notifications for equipment requests, reviews, and condition reports
Install Scoutworks on iPhone
iPhone users are now prompted to add Scoutworks to their home screen directly from within the app, giving faster access and a native app-like experience without the App Store.
Improvements
Bulk Operations Across the Platform
- Bulk actions for accidents — select and delete or update multiple records at once
- Bulk actions for risk assessments and members
- Bulk delete, update sections, and duplicate for custom badges and badge stock
- Floating action bars keep bulk actions accessible without scrolling
Multiple Team Leads Per Section
- Sections can now have more than one team lead assigned
- Waiting list emails and section views reflect all team leads correctly
Email Composer
- Unified single-scrollable layout replaces the old fragmented panel design
- Schedule emails with a proper date and time picker instead of five separate dropdowns
- Templates, variables, and attachments are now in the rich text toolbar for quicker access
- From address and reply-to are now visible in the composer and the persistent inbox bar
Badge Award Summaries
- Award summaries now group by badge, making it easier to review what was given out after an event
- Staged activity completions are consolidated into one clear record per badge
Event Form Stability
- Fixed a bug where programme meeting, activity trip, and camp event forms would unexpectedly jump back to an earlier slide during editing

Includes keyboard navigation (Enter to save and advance, Escape to revert), dirty state highlighting, and a sticky "Save All" banner for bulk saves.
