Scoutworks Features
Finance & Payments
Cash accounting, budgets, restricted funds and bank reconciliation, plus zero-fee GoCardless payments, claims with mileage and HMRC Gift Aid reports.

Full Accounting Ledger
A proper cash accounting system built for Scout group treasurers. Connect several bank accounts, reconcile with scored match suggestions, and track restricted funds separately, as the Charity Commission expects. Import statements from the main UK banks or SumUp, with the format detected and duplicates caught. Attach receipts to any transaction, close the year on the date that suits you, and set a reserves policy your trustees can see on their dashboard.
- Cash accounting ledger built for Scout groups, with reports for treasurers, trustees and examiners
- Several bank accounts, reconciled with scored match suggestions
- Restricted funds tracked separately, with healthy, warning, critical and over-budget status
- CSV import from Barclays, NatWest, NatWest Bankline, Lloyds, HSBC, Starling, Monzo, Unity Trust, SumUp or any CSV, with duplicates caught
- Split one bank transaction across categories, events, sections, funds and budgets, and undo a split
- Close the year on any date, such as your AGM; the close lists uncategorised transactions and open claims first
- Transfers between your own accounts create both sides, linked
- Set a reserves policy; trustees see your free reserves against it (see Governance)
- Financial Overview, Receipts & Payments, Budget Variance, Restricted Fund and Transaction Ledger reports
Bank Inbox — Reconciliation Without the Drudgery
Bank reconciliation built like an inbox. Imported bank lines land in one place, filtered by status: Needs action, All, New, Suggested, Parked or Ignored. Open a line to reconcile it: Match it to an existing entry, Create a new one, record a Transfer or a Refund, or Park it with a note. Match suggestions carry a confidence score, and anything 90% or above is marked as a strong match. Nothing reconciles itself behind your back, so there's nothing to unpick later.
- Status filter: Needs action, All, New, Suggested, Parked, Ignored
- A 'need action' count so you always know what's left
- Reconcile each line: Match, Create, Transfer, Refund or Park
- Confidence score on every suggested match, with strong matches from 90%
- Transfer suggestions with the matching amount listed first
- Match a bank refund to the payments it covers, in full or in part, across several families
- Park a line with a note when it needs looking into, so it's never lost
- Ignore or delete many lines at once
Receipts & Invoices on Every Transaction
Drag a photo, a PDF or a saved email onto any transaction and it's attached for good. A paperclip shows which transactions have evidence, and a 'Missing' tag marks expenses that still need a receipt. Filter the ledger to see only what's missing. Every upload records who attached it and when. At year-end, download a receipts pack: every receipt sorted by category and month, with an index, ready for your independent examiner.
- Drag and drop JPG, PNG, WEBP, HEIC, PDF, or saved emails (.eml and .msg), up to 10 MB
- Paperclip indicator with the number of attachments
- 'Missing' tag on expenses without a receipt
- Filter the ledger by with receipt or missing receipt
- Image receipts open in the app; PDFs open in a new tab
- Every upload records who attached it and when
- Receipts pack ZIP: every receipt sorted by category and month, with an index, emailed when ready
Flexible Budget Management
Create budgets for anything: a single event, a term of events, a section, several sections or your whole group. Each budget line is either a spending limit or an income target, so a camp budget shows what you plan to spend, what you plan to raise and the net position. Click any line to see the transactions behind it. Leaders see the event budget inside the event itself, and budgets fill in from payments and claims as they happen.
- Budgets for events, sections, several sections or your whole group
- Multi-event budgets for term programmes and camps, with spend per event
- Each line is a spending limit or an income target
- Net position: planned against actual, income and spending together
- An alert when income falls short of its target
- Click any line to see the transactions behind it
- Progress bars turn amber at 75% and red when a line goes over
- Budget Variance report as PDF or CSV
Zero-Fee Online Payments
Connect your own GoCardless account and collect payments with no Scoutworks platform fee. Set up recurring Direct Debit plans for subs, or take one-off payments by instant bank transfer, with no mandate for parents to set up. Split event fees into instalments, issue refunds from Scoutworks, and let payouts reconcile themselves in your ledger, payment by payment, with GoCardless fees shown separately.
- No Scoutworks platform fee on any payment; GoCardless charges its own processing fee
- Recurring Direct Debit plans for subs
- One-off payments by instant bank transfer, with no mandate needed
- Split event fees into 2 to 12 instalments on the dates you choose
- Issue refunds directly from Scoutworks
- Payouts reconciled in your ledger payment by payment, with GoCardless fees broken out
- Every payment linked to the right member and event
Collection Health & Failed-Payment Alerts
Know how collection is going without building a spreadsheet. The finance dashboard shows your collection rate over the last 30 days, marked healthy, warning or critical, and how many failed payments are still owed. Each payments tab opens with the numbers that matter. When a Direct Debit fails, treasurers and group admins hear about it straight away, and parents get an email saying when GoCardless will try again.
- 30-day collection rate: healthy from 95%, warning from 85%, critical below
- Failed payments still owed, one click from the list
- Recurring tab: expected monthly, collected, active plans, awaiting setup
- One-time tab: outstanding, overdue, collected, events
- Treasurers and admins alerted in the app, by push and by email when a payment fails
- Parents told when a payment failed and when it will be retried
- Reminders for families who haven't yet approved a subscription
Gift Aid, Claimed Properly
Gift Aid is free money for your group, if the paperwork is right. Scoutworks tracks a declaration for each family and asks for one when a parent pays something eligible without it. Send declaration requests in bulk, and families who are already covered are skipped. When you claim, download the HMRC schedule built from HMRC's own template, plus an R68 summary and a GASDS report for small cash donations.
- Declaration status for every member
- Parents asked for a declaration when they pay for something eligible
- Bulk declaration requests that skip families already covered
- HMRC Gift Aid schedule (R68GAD) as a spreadsheet, built from HMRC's template
- R68 summary as CSV
- GASDS report for small cash donations
- Gift Aid on donations to your fundraising campaigns too
Fundraising Campaigns
Run donation campaigns with a public page, a shareable link and a QR code. Donors give by instant bank transfer through GoCardless, with no card details needed. Donations post to your accounting ledger when the payout is reconciled, with no manual entry. Donors can add Gift Aid, and you track progress against your target as it grows. Set up a campaign with a guided wizard, and change the amounts, wording, target or dates later without breaking the link or QR code.
- Public campaign page with a shareable link and a QR code to download or print
- Donations by instant bank transfer, with no card details needed
- Donations recorded in your ledger when the payout is reconciled
- Progress tracked against your fundraising target
- Donor wall and Gift Aid declarations built in
- Edit amounts, wording, target and dates after launch; the link and QR code keep working
- Choose which amount carries the 'Popular' badge
- Export donations as a CSV at any time
Payments parents don't have to think about
Parents see what's due in their portal and get an email when a new payment is requested. Scoutworks sends reminders 7 days and 1 day before a one-off payment is due, so leaders don't need to chase. Every linked parent gets them, either can pay, and Scoutworks stops two parents paying the same thing. Parents see every child's payments in one place, with a statement of everything they've paid, year by year.
- Payment requests in the parent portal and by email
- Reminders 7 days and 1 day before a one-off payment is due
- Every linked parent reminded, either can pay, and nobody pays twice
- Current balance: what's pending, what's in progress and what failed, or 'all paid up'
- A statement of every payment, by year, with yearly totals and a CSV download
- Every child's payments in one place
- Asked for Gift Aid when it applies, so you don't have to ask
Pause, Skip & Catch-Up — Fair to Every Family
Real families have real lives: long illnesses, money worries, time away. Treasurers need room to be kind without making a mess of the books. Pause a Direct Debit for 1, 2, 3, 6 or 12 payments, or until you resume it, with an optional reason. Choose 'Financial support' and Scoutworks doesn't email the parent about it. Skip 1 to 12 upcoming payments without cancelling. And when a mandate starts late, Catch-Up collects the missed payments, with the parent approving the exact total first.
- Pause for 1, 2, 3, 6 or 12 payments, or until you resume it
- Optional reason: Financial support, Temporary absence, Medical leave or Other
- 'Financial support' means no email to the parent about the pause
- Skip 1 to 12 upcoming payments; the plan resumes by itself and the parent is told
- Catch-Up collects missed payments when a mandate starts late; the parent approves the full amount first
- Pause many members on a plan at once
- Activity log: who paused, skipped or resumed, when, why, and the resume date
Payment Corrections
Real payment histories get messy: a duplicate plan, a change of payday, a family who paid by bank transfer. Scoutworks lets treasurers put things right without deleting anything. Credit money held from a cancelled duplicate against the payment it should have covered, and undo it if you got it wrong. Move a family's collection day, choosing to wait until after the next payment or change now. Mark a single payment as paid by hand.
- Credit money held on account against a specific unpaid payment, and undo it
- Change the collection day for an existing member
- See the effect first: wait until after the next payment, or change now
- Mark a payment as paid by hand and skip the Direct Debit
- Rename a payment plan
- Credits and collection-day changes recorded in the payments activity log
Automatic Event Payments on RSVP
Set up an event with a cost, switch on the automatic payment rule, and Scoutworks creates the right payment for each member the moment their parent says yes. No more sending payment requests by hand after every event. Edit the rule and future payments follow. Nominate an expense approver for the event, opt specific members out, and split the cost into a deposit and a balance. If a parent changes their answer to no, the unpaid request is cancelled.
- A payment created as soon as a parent says yes
- Edit the amount, due date or splits and future payments follow
- Opt out individual members, such as leaders' children or hardship cases
- A nominated expense approver for each event
- Split into a deposit and a balance with separate due dates
- Gift Aid set on the rule when you create it
- Unpaid requests cancelled if a parent changes their answer to no
Claims & Payments
A leader with 30 camp receipts used to mean 30 claims and 30 reviews for the treasurer. Now it's one claim with many lines, mixing reimbursements, mileage and supplier invoices. Add a receipt and Scoutworks fills in the shop, date and total for you. Each line has its own category, attachments and approval, so the treasurer can approve some lines and query others. Supplier bank details come from a saved directory. Claims go to your treasurer or a nominated approver.
- One claim for a whole trip, not one per receipt
- Mix reimbursements, mileage and supplier invoices in a single claim
- Receipt scanning fills in the shop, date and total, and warns about duplicates (see AI Assistance)
- Mileage lines at HMRC's 55p a mile plus 5p per passenger, or your own rate
- Supplier directory with bank details and payment references
- Each line has its own category, event, budget, section and restricted fund
- Approve some lines and query others without holding up the whole claim
- 'Due today' and 'Overdue' badges on supplier lines, with a weekly overdue summary for treasurers
