Scoutworks Features
Members & People
Waiting lists, onboarding, care plans, a Transition Planner, a parent portal and census reporting for UK Scout groups — complete member data from day one.

Member records complete from day one
When you offer a place, parents get a link to fill in everything before their child's first meeting: emergency contacts, consents, medical details, additional needs and census information, all checked as they type. Import from OSM or a spreadsheet, share members with another Scout group, edit the whole roster in the table with your keyboard, and print a PDF of any member's details in one click.
- An onboarding link collects the full record before the first meeting
- Emergency contacts, medical details, photo consent and first aid consent for everyday medicines such as paracetamol, ibuprofen and antihistamine
- Address lookup, postcode checks and sibling detection with family linking
- The same permissions and consents for every section and group
- Import from OSM or spreadsheets — migration is straightforward
- Share a member with another group, or transfer them with a 24-hour undo, with parental consent for under-18s
- Per-member PDF, plus photo door cards for camp grouped by Six or Patrol
- Every member has a timeline of their Scout journey — section moves, badges, nights away, recognition and consent changes, recorded automatically
- Inline editing on the members table — Enter advances, Esc reverts, with a sticky Save All banner
- Weekly recognition such as Cub of the Week, with a picker that puts whoever has waited longest first — parents see a trophy case on their Recognition page
Tidy Records, From Joining to Leaving
Records drift over time. Two entries for the same child, a nickname nobody uses on paper, a family who leaves with a subscription still running. Scoutworks catches these: it finds likely duplicates for you to merge, uses the name a child actually answers to, and shows money owed before anyone is archived. When someone leaves, a short list of reasons tells you why people go.
- Preferred names on registers, attendance and camp lists, with search finding either name
- Duplicate detection finds likely pairs, and merge lets you pick which details to keep
- Before you archive, delete or transfer a member, any money owed shows first, in red
- Cancel their active subscriptions in the same step
- Record a leaving reason from a short list, such as cost, moving away or not wanting to move up
- A 'Why people leave' card in Insights shows the reasons you could act on
- Move a member back to the waiting list without losing their record
Care Plans
Some young people need more than a line in a medical box. A care plan records the support a child needs — medical, behavioural, SEN, dietary, communication, accessibility or safeguarding — with the documents that go with it and a date to review it. The details are encrypted, every view is logged, and safeguarding plans are only ever seen by group admins.
- Seven plan types, from medical and SEN to communication and safeguarding
- Attach the documents that go with a plan, such as a healthcare plan from school
- Reminders when a plan is due for review, and when it is overdue
- Plan text encrypted, and every change and every view logged
- Mark any plan admins-only — safeguarding plans always are
- Plans show on the members list and on the event, where leaders need them
- Parents read their child's plans and can tell you about a new support need
Attendance Register & Heatmap
A percentage hides the story. Every member's record has a session register showing each meeting they came to or missed, in order, so you can see a child drifting away rather than a number going down. The Members page has an attendance heatmap with one cell per session for every member, so the whole section's pattern is on one screen.
- A session-by-session register on every member's record
- Their attendance rate, compared with the section average
- A plain note when the pattern changes, such as a member drifting away
- An attendance heatmap on the Members page — every member, every session
Waiting lists that rank themselves
Parents apply through your own waiting list portal. Scoutworks ranks applicants by the priority tiers you choose, such as siblings, leaders' children and local families, and suggests the right section for each one. Cross-group duplicate detection gives districts the true picture of demand.
See it live- Priority tiers you switch on and put in order — positions update automatically
- Cross-group duplicate detection reveals true demand at district level
- Full lifecycle tracking from first enquiry to joining, with an audit log
- Triage suggests a section for each applicant, with distance, siblings and space left
- Generate a shareable link or embed your waiting list on your website
- Import existing waiting lists from a spreadsheet or OSM, with a preview first
- Parents accept, decline or defer an offered place, or withdraw, through secure email links
- Send bulk interest checks to confirm families still want their spot
- Add children directly when a parent phones or asks at a meeting — source badges show how each entry arrived
Transition Planner
Moving young people up a section is one dated plan, not a spreadsheet. The Transition Planner suggests who moves, where and when, from your members, your waiting list and your section capacities. Agree the moves you are happy with and they stay put. When the day comes, preview the email parents will get and run the moves. Changed your mind? Undo a move for 30 days.
- One plan for the whole group, with a suggested date on every move
- Waiting-list intakes and section moves in the same plan
- Agree a move and it stays as it is when the suggestions refresh
- Blockers are listed plainly — a full section, a section that does not exist, or someone who cannot be seated
- Preview the email parents will receive before you run the moves
- A settling-in overlap lets a young person attend both sections for a few weeks
- Undo any move for 30 days
- A roster view shows every section on any future date
Data Verification Campaigns — GDPR-Friendly
Member data goes stale. Phone numbers change, allergies update, emergency contacts move. Scoutworks turns this from an annual panic into a steady background task. Send a verification campaign to selected parents — one email per child — asking them to confirm or update emergency contacts, medical info, permissions, personal details and address. Each area is tracked separately, with green, amber and red dots on every member's row. Or use rolling prompts: when a parent RSVPs Yes to an event, Scoutworks asks them to confirm one stale area at a time.
- Send structured verification campaigns to selected parents — one email per child
- Five tracked areas: emergency contacts, medical, permissions, personal details, address
- Coverage dots on every member row: green (up to 60 days), amber (60–90 days), red (over 90 days or never)
- Rolling prompts — when a parent says Yes to an event, they are asked to confirm one stale area
- Live campaign tracker, refreshed every 30 seconds
- Email preview before sending; resend or cancel pending requests
- No parent gets more than one request in 24 hours
- Parents' own edits count as a check — they get credit for work they already do
- Every check recorded on the member's timeline
Parent Portal
A parent-friendly dashboard where families pay, update details, answer RSVPs, volunteer for events and follow their child's badges — all in one place. Parents see what they owe and a statement of everything they have paid, subscribe to a private calendar of their own children's events, sign consent forms from a link with no login, and claim lost property from home.
- Pay and manage subscriptions, with a balance card and a yearly statement to download
- Respond to event invitations and sign up to help in one place
- Update contact details, medical info and consents — changes show straight away
- Works in any web browser on any device — no app download required
- Each parent or guardian gets their own login
- A private calendar feed for Apple, Google or Outlook, showing only their own children's sections, which they can reset if the link is shared
- Consent forms for activities like shooting — parents open a link, sign on screen, and you get a signed PDF, with no login needed
- An email when their child moves up, with the new leaders' names, the usual meeting day and place, and a reply that goes to the new section
- Spot their child's jumper on the lost property board and claim it with one tap
- Badge progress and evidence — see Badges → Parent Badge Portal & Evidence
Young Leaders in the Leader App
Young Leaders use the same app as leaders, scoped to the sections they help with and to what their role allows. A short guidance note on each page tells them what they can do there. They take attendance, draft events for a leader to publish, follow badge progress, and log equipment condition — without ever opening a member's record.
- Their login is linked to their member record, so their history carries across
- Access only to the sections they volunteer with
- Take attendance on the night and accept parent helper offers
- Draft events for their sections — a leader publishes them
- See badge progress for their sections, and read risk assessments
- No access to member records, medical details or contact details
- Their own Young Leader Award progress — see Badges → Young Leader Award Tracking
Youth Member Portal & Youth Voice
Most Scout software treats young people as records. Scoutworks gives them a login. Scouts and Explorers sign in to 'My Scouting' — their own badges, their events, their milestones and recognitions, in a view built for them. Youth Voice lets them suggest activities that you check before their peers can vote on them, so young people shape the programme. Safeguarding comes first: no leaderboards, no messaging between young people, and parents create, reset or remove access at any time.
- Scouts and Explorers get their own 'My Scouting' login — badges, milestones and recognitions
- Their upcoming events, with the schedule, the menu and a kit list they tick off as they pack
- Youth Voice: young people suggest activities, you approve them, then peers vote — results show once you plan it
- Surveys they answer in the app rather than by email
- Youth-submitted badge evidence goes into the same leader review queue
- No leaderboards and no messaging between young people — safeguarding first
- Parents create, reset or remove their child's access at any time
Moving Into Roles & Volunteer Hours
When a young person becomes a Young Leader, joins Network, or steps up as a volunteer, their record should not start from scratch. One flow gives them the right login and carries their badges, awards and attendance across intact. Role options are age-checked from date of birth, and adult roles ask for a safeguarding acknowledgement. If they already have an account — as a parent, or in another group — it links to that one rather than creating a duplicate. Adults can log their own volunteering hours alongside it.
- One flow to grant a Young Leader, Network or Volunteer login — badges, awards and attendance carry across
- A Network role for 18–24s still working towards their top awards
- Role options age-checked from date of birth; adult roles require a safeguarding acknowledgement
- Links to an existing account rather than creating a duplicate
- Volunteers log their own hours, with a personal record they can export
- Group admins see the hours across the whole team
- A regulated-activity tracker flags adults helping on more than three days in 30, or overnight, and records their DBS, PVG or AccessNI check with its expiry
Always-Ready Census Reporting
Census data is collected from the moment a member joins — it is a byproduct of good data, not a separate exercise. Insights shows your membership by section, age and gender all year. When census time comes, download an anonymised summary for your whole group in one click, with each member counted once, to help you fill in the census.
- Census questions are part of the joining form — no separate exercise
- Membership by section, age, gender and ethnicity in Insights all year
- One-click anonymised census PDF, with each member counted once across sections
- Counts by gender against section, ethnicity, religion, disability and age
- Gaps in member data show in Insights, with a link to fix them
