Insights
Nine insight dashboards, in-context figures and background reports across members, badges, events and finance, plus growth, leaving reasons and badge gaps.

Insight Dashboards
Nine dashboards cover the whole group: Members, Capacity, Events, Badges, Finance, Adults, Safety, Young Leaders and Youth Voice. They're kept up to date as your group changes, within minutes rather than at the end of term. Most charts carry a short note on what they show and how they're worked out, so nobody argues about the numbers. Group admins see the whole group, and section leaders see their own sections.
- Nine tabs: Members, Capacity, Events, Badges, Finance, Adults, Safety, Young Leaders, Youth Voice
- Kept up to date within minutes as members join, events run and badges are awarded
- Most charts explain what they show and how they're calculated
- Group admins see the whole group; section leaders see their own sections
- Everyone works from the same figures
- Census and Leavers reports one click from the Insights page
Growth, Retention & Why People Leave
See whether the group is growing, and why people go. Growth & retention compares each figure with where you started: young people, volunteers, joiners, leavers, retention, enquiries, the joining and waiting lists, and the diversity of your membership. Choose the last 4, 6 or 12 months. When a leader archives a member, they pick a leaving reason, and 'Why people leave' ranks the reasons and shows how many you could act on.
- Headcount, volunteers, joiners, leavers and retention against a starting point
- Enquiries, joining list and waiting list compared with the period before
- Window of the last 4, 6 or 12 months
- A dash and a reason where a figure can't be worked out, never a false zero
- 19 leaving reasons in 6 groups, picked when a member is archived
- 'Why people leave' ranks the reasons and counts the ones you could act on
- Seen by group admins and trustees
Badge Gaps & Nearly There
Plan the programme around what young people still need. Requirement gap analysis shows the requirements not yet done on badges that are under way, and who needs each one. Nearly There lists the young people one, two or three requirements from a badge, so a single evening can finish several off. Activity coverage shows which requirements your events already cover, and programme suggestions rank the ideas that would help the most people.
- Requirement gap analysis, with the members behind each gap
- Nearly There: young people within 1 to 3 requirements of a badge
- Activity coverage: how often your events cover each requirement
- Programme suggestions ranked by how many young people they help
- Top Awards progress by section
- Gap analysis as CSV, a Badge Insights PDF and a badge progress spreadsheet
Parent Rota & Volunteer Hours
Parents who help make the programme possible, and a fair rota keeps them helping. The Adults tab shows how many rota slots are filled, how many parents help, which events still need helpers, and who has never volunteered. Nudge parents in bulk with an email you can edit, and thank the regular helpers with their own list of events. Volunteer hours show time from events and self-logged hours, week by week.
- Rota fill rate, unique helpers, events needing helpers, and parents who've never helped
- Participation trend, section breakdown and a top-helpers list
- Nudge parents in bulk with an editable email; anyone nudged in the last 7 days is skipped
- Thank-you emails that list the events each parent helped at
- Volunteer hours: total, per volunteer and weekly trend, from events and self-logged time
- Adult-to-youth ratio and a parent roster export as CSV
Contact Coverage & Member Map
Two quick checks that matter on a bad day. Contact coverage shows how many young people have at least two different people you can call, and who has only one or none, with a link to fix the gaps. The member map shows where your members live by postcode area, not street address, which helps when you choose a meeting place or plan lifts.
- Share of members with two or more contactable people
- Members with only one contact, or none, counted
- Parents and emergency contacts counted once each
- One click to fix the gaps in Data Verification
- Member map by postcode sector, not full postcode
- On the Members tab, and for trustees on their Membership tab
Gift Aid Insights
Gift Aid is easy to leave on the table. The Finance tab shows how much you could claim over the life of the group and in this tax year, from 6 April to 5 April. It shows the share of active members with a Gift Aid declaration, a breakdown by tax year and the families who contribute most. When you're ready to claim, the HMRC reports are in Finance & Payments.
- Lifetime claimable Gift Aid
- This tax year, 6 April to 5 April
- Declaration coverage across active members
- Breakdown by tax year
- Top contributing families
Insights Where You Need Them
Your figures shouldn't live in one place. Key numbers appear where you're working: an insights panel on events, awaiting-award counts on badges, summary strips on finance and payments, and summary figures on equipment. You get the number you need without opening a separate dashboard.
- Events insights panel alongside your event list
- Awaiting award, recent awards and top awards on the Badges page
- Summary strips on finance and payments pages
- Summary figures on the equipment page
- No need to open a separate dashboard to check a number
Capacity & Section Pipeline
Know whether you'll have room before September arrives. The Capacity tab brings members and the waiting list together. It projects each section 12 months ahead, allowing for young people moving up and the waiting list coming in. It shows the pipeline between sections, a timeline of who's due to move, and where your waiting list comes from. Export a projected roster for each section to plan next year's numbers.
- 12-month capacity projections for each section
- Section pipeline: who moves where, and when
- Movement timeline for young people due to move up
- Waiting list funnel and where applications come from
- Projected section roster as Excel or PDF
Reporting & Exports
Reports sit in the part of the app they belong to: member reports with members, finance reports with finance, trustee reports with the trustees. Pick one, and it runs in the background while you carry on. When it's ready, you get a notification in the app and on your phone with a link to download it. Pin the reports you use most, and download recent ones again without re-running them. If a report fails, retry it from the activity menu.
- Reports for members, badges, events, finance, capacity, equipment, fundraising, trustees and the waiting list
- Reports run in the background, with an in-app and push notification when ready
- Pin your favourite reports; recent reports stay ready to download
- Failed reports can be retried from the activity menu
- PDF for reports such as the Census, Board Pack, Financial Overview and term programme
- CSV for rosters, contacts, consents, the ledger and more; Excel and ODS where a form needs it
- Finance reports can be run for a quarter, for board meetings
- Your data is yours: export it whenever you like
