Scoutworks Features
Camps & Outdoors
Plot a hike and print the route card, lay out the campsite to scale, plan camp meals and shopping, price the camp, and track every team on one live map.

Route Planner & Printable Route Cards
Planning a walk usually means juggling a paper map, a calculator for walking times, and a hand-drawn route card. Plot your route on a terrain, satellite or street map, with straight legs or freehand, and drop typed checkpoints as you go. Distance, climb and Naismith walking times update as you draw, with an elevation profile below. Import a GPX from another app, link the route to its event, and export a route card, a GPX file or a printed map.
- Plot on terrain, satellite or street maps, with straight legs or freehand drawing
- Ten checkpoint types, from start and lunch stop to hazard and escape route, each with an OS grid reference and what3words address
- Distance, climb and Naismith walking times at an adult or a young group's pace
- Elevation profile of the whole route
- Route card for each leg: grid reference, bearing, distance, height gain and loss, leg time and running total
- Export a GPX file or a route card CSV, or print the route map with its leg table
- Import a GPX from OS Maps, Komoot, Garmin and others; waypoints become checkpoints
- Link a route to its event, and overlay it on a live tracking session
OS National Grid & True-Scale Printing
A route is only useful on the hill if it matches the map in your rucksack. Switch on the OS National Grid and Scoutworks draws the grid lines and numbers over any base map. When you print, choose 1:25,000 or 1:50,000, the same scales as OS Explorer and Landranger maps, on A4 or A3. Print at actual size and the grid squares match your paper OS map. The map itself is OpenTopoMap, not OS mapping.
- OS National Grid lines and labels over any base map
- Print at 1:25,000 (Explorer scale) or 1:50,000 (Landranger scale), or as on screen
- A4 or A3, portrait or landscape
- Grid squares the same size as on a paper OS map when printed at actual size
- Choose the base map, grid lines and labels for each print
- Export as PDF or PNG
Live Tracking for Expeditions
Keeping tabs on teams out on an expedition usually means phone calls and grid references read out over the radio. Create a session, add your teams, and hand each one a join code. Young people open a public page on their own phone, type the code and tap Check in, with no app and no account. Every team appears on one map in its own colour, with its trail behind it. Set how often teams should check in, and an alarm sounds when a team goes quiet or asks for help.
- A join code per team: check in from any phone, no app or login needed
- Every team on one map, colour-coded, with its check-in trail; the map updates every 20 seconds
- Tap a team to see every check-in, with the time and place
- Check-in interval from 15 minutes to 2 hours; overdue teams listed, most overdue first
- A 'needs help' banner and an alarm that repeats until a leader acknowledges it
- One-tap GPS check-in, or type a grid reference if location is blocked
- Go fullscreen for a base-camp display, and print QR code cards to hand out
Campsite Planner — To Scale, On a Real Map
Planning a campsite usually means a paper sketch and a guess at whether the marquee will really fit beside the mess tent. Lay the whole site out on real satellite, street or terrain imagery, with every tent and shelter drawn at its true size. What fits on screen fits on the ground. Drag and rotate items by hand on desktop or phone, and add spacing rings to keep tents a safe distance apart. Pin water points, latrines and the fire muster point, each with a what3words address.
- Tents and shelters drawn at true size on satellite, street or terrain maps
- Drag and rotate by hand on desktop or phone
- Spacing rings, with the distance you choose, keep tents apart
- Water points, latrines and fire muster pinned, with what3words addresses that update as you move them
- Place your group's own tents and kit from 'My kit'; each item can only be placed once
- Export a printable plan, a PNG image or a CSV kit list, and save any layout as a template
- Start from a site you've used before, or find one by postcode or place
Tent Allocation
Once the tents are on the plan, decide who sleeps where. Open Tents from the campsite planner and place the young people and adults from the linked event, or your whole group if there's no event. Auto-allocate by patrol or by section, then move people by hand. Scoutworks warns you, without stopping you, when adults share with young people, a tent is over capacity, or genders, sections or ages mix. Print door cards and a tent list for the camp.
- Each tent has a sleeping capacity you can change
- People come from the linked event, or your whole group
- Auto-allocate by patrol or by section
- Safeguarding warning when adults share with young people
- Checks for over capacity, mixed genders, mixed sections and age gaps of 3 years or more
- Tent labels on the map show how full each one is
- Tent allocation PDF, tent door cards, tent list CSV and an Excel workbook
Campsite Directory
Choosing where to camp usually means half-remembered recommendations and a dozen browser tabs. The campsite directory brings 197 UK Scout and Guide campsites together in one place. Search by name, town or county, filter by nation, type, facilities and activities, and switch between a table and a map. Each site has star ratings, reviews, photos and questions from other leaders. Details come from the community, so confirm them with the site before you book.
- 197 UK Scout and Guide campsites
- Search by name, town or county; filter by nation, type, facilities and activities
- Sortable table or map view
- Star ratings for facilities, location, activities, value and welcome
- Reviews, photos, and questions answered by other leaders
- A what3words pinpoint for each site
- Community-sourced details, clearly marked so you check before booking
Camp Menu Planner & Automatic Shopping List
Catering a camp usually means a spreadsheet, a calculator, and a best guess at how much pasta forty people get through. Build your menu on a day-by-meal grid from a library of UK ingredients and classic camp recipes. Link the camp to its event so headcounts come from RSVPs. The shopping list builds itself, grouped by supermarket aisle and rounded up to whole packs, and costed from ONS average prices where they exist, with estimates for the rest.
- Day-by-meal planning grid with 130+ UK ingredients and 32 classic camp recipes
- Headcounts come from event RSVPs, adjustable per day
- Shopping list grouped by supermarket aisle and rounded up to whole packs
- Costed from official ONS average prices, refreshed monthly, with estimates where ONS has no price
- Dietary and allergen needs of the young people who've said yes, checked against the menu
- Tick items off on your phone in the shop; ticks sync when you're back in signal
- Print the shopping list, an allergen-marked camp menu, and a chef's sheet with scaled quantities
- Save any camp as a template for next year
Camp Budget Calculator
Setting a camp price usually means totting up costs in a fragile spreadsheet, guessing how much to subsidise the adults, and hoping you've not undercharged. Add your costs line by line, each on the basis that fits, from a flat total to per person per night. Set what adults and Young Leaders pay, and Scoutworks works out a fair price per young person with the surplus you asked for. No #DIV/0! surprises.
- Cost lines on the right basis: flat, per person, per night, per person per night, or per vehicle
- One-click subsidy presets or your own split between young people, adults and Young Leaders
- Compare every pricing policy side by side, with the predicted surplus
- Round the price to the nearest 50p, £1 or £5
- Headcount from a linked event; food cost from a linked camp menu
- Save any camp as a template, and export or print the full costing
- A planning estimate only: the calculator takes no money
Patrols, Sixes & Lodges — Organiser and Scoreboard
Term starts, new faces join, and suddenly the Sixes don't balance any more. Lay your whole section out on one board, drag young people between groups, and give out Sixer, Seconder and Patrol Leader roles from the card. Auto-balance evens out the numbers in one click. Each team has its own page with its roster, points and colour. Then keep score: award points to a whole patrol or one young person, and watch the standings build over any date range.
- Drag young people between Lodges, Sixes, Patrols or Teams; every change saves straight away
- Give out Lodge Leader, Sixer, Seconder, Patrol Leader and Assistant Patrol Leader roles from the card
- Auto-balance uneven groups by age in one click, with undo
- A page for each team, with its roster, rank and points
- Rename a team or give it one of eight patrol colours, shown on the members list and scoreboard
- Award points to a whole patrol or one young person, during or after any event
- Scoreboard over any date range; print it, or show this term's points on your hut display
Weather Forecasts & Precise Locations
The weather makes or breaks an outdoor event, and a postcode covers a whole field. Add a location to your event and the forecast appears on its own: temperature, rain, wind, UV and sunset for the day, or every day for a camp. Add a what3words address and parents land on the exact gate, car park or entrance rather than somewhere on the right street.
- Forecast for any event within 14 days: temperature, rain, wind, UV and sunset
- A 'pack head torches' nudge when an event runs past sunset, plus sun-protection and air-quality flags
- Camp forecasts show every day, so you can plan which day to do what
- Linked risk assessments fill in their Weather Conditions notes from the forecast
- what3words on any reusable location or activity meeting point: paste ///words or drop a pin
- Parents get a tappable /// address that opens the exact spot
