Scoutworks Features
Platform & Administration
Unlimited sections, a team page, branded email, document sharing, task boards, saved views and API keys in a web app you can install on any phone.

Group Setup & Section Management
Create as many sections as your group needs from your group settings, from Squirrels to Explorers and Network. Set each section's meeting place, day and time once, and that information flows through the whole platform. Automated emails use the right details, notifications go to the right parents, and your programme knows when and where things happen.
- Unlimited sections from group settings — no per-section charges
- Set the meeting place, day and time once per section
- Section details flow into automated emails, notifications and programme planning
- Admins manage group-wide settings while section leaders focus on their own section
- Add or restructure sections at any time as your group grows
- Leaders get a private calendar feed of the whole group's events for Apple, Google or Outlook, which stops working if they leave
- Reports and exports — see Insights → Reports You Can Take Anywhere
Team Page & 'Meet the Team' Poster
Every adult in your group in one place. The Team page lists every leader, admin, Young Leader and trustee, with their roles and sections, in a grid or a table. Open anyone for their profile. For the hut wall, print a 'Meet the team' poster with every volunteer's photo, name and role, grouped by section or by role, showing nothing sensitive.
- Every leader, admin, Young Leader and trustee, with role and section filters
- Grid or table view, with a profile that slides in
- Assign a leader to one section or several
- A printable 'Meet the team' poster with photos, names and roles, grouped by section or role
- Trustees on the poster as their own group
- Roles, section access and suspension — see Security → Roles, Section Access & Reversible Suspension
Integrated Email Client
A full email client built into Scoutworks. Every leader gets their own inbox address, such as [email protected], to send and receive email in the app. Set your group's logo, accent colour and footer once, with a live preview, and every email carries them. A signature builder adds your name, role and phone number. Write reusable templates with merge fields, schedule messages for later, and pick recipients in a click.
- Every leader and admin gets their own inbox address at inbox.my-scoutworks.app
- Send and receive email in Scoutworks — replies from parents land in your inbox
- Group email branding — logo, accent colour, header and footer set once for everyone
- A signature builder with your name, role and phone number, added automatically
- Recipient lists in one click — all parents, all leaders, all trustees, a section, the waiting list, or anyone on an event
- Shared templates with merge fields for names, sections, events and more
- Schedule emails to send later, with a live preview first
- Everyone chooses which emails they get — events, badges, payments, surveys and more — with one-click unsubscribe
- Help writing, polishing and checking an email — see AI → The Writing Bar in the Email Composer
Document Sharing & Storage
Share documents with parents, leaders or Young Leaders and control exactly who sees what. Organise files in nested folders with a folder tree, at group or section level, and see at a glance what is shared and with whom. Pin the documents people need most. Every upload is scanned for viruses before anyone can download it.
- Share with parents, leaders or Young Leaders — you choose the audience, down to the section
- Nested folders with a folder tree, at group or section level
- See at a glance what is shared and who can see it
- Pin the documents people need most
- Parents find shared documents in their portal, and Young Leaders in theirs
- Every upload scanned for viruses — an infected file is refused before it is stored
Data checked as it's typed
Scoutworks checks data at the point of entry — phone numbers, email addresses and postcodes are checked as they are typed. Parents see a card listing what is missing from their child's record, and a coverage view shows the gaps across all your members before they become problems. The goal is simple: less time spent chasing, cleaning and correcting data.
- Phone numbers, emails and postcodes checked as they are entered
- Parents see what is missing from their child's record in their portal
- A coverage view shows how up to date every member's record is
- Ask parents with gaps to check their details in one email campaign
- A Data Cleanup tool fixes inconsistent values in bulk
- Catches problems at the point of entry — not when you need the data in an emergency
Task Boards
Camp prep, the AGM, the fundraising push — group jobs usually live in a WhatsApp thread and someone's head. Task boards give the leadership team one shared board per project: drag cards across columns as work moves along, assign each job with a due date and priority, and assignees are notified. Link a task to the event, member or badge it relates to, attach the files that go with it, and switch between board and table views.
- Trello-style boards for camp prep, fundraising, the AGM, or anything else
- Drag cards across columns as work moves along
- Assign to one or more leaders with a due date and priority — they're notified straight away
- Link a task to an event, member, badge or web page
- Attach files or Google Drive documents to a task
- Labels, and boards only their members can see
- Switch between board and table views
Hut Display — A Live Noticeboard for Your Wall
Turn any TV or tablet in your hut into a live noticeboard. Upcoming events, recent badge wins, patrol scores, birthdays and a countdown to the next camp, on screen where young people and parents actually see them. Each display is scoped to its own sections, so the Beavers room shows the Beavers' week rather than the whole group's. Open it with one link or pair it with a code, and a QR code on screen lets parents jump straight to the app.
- Upcoming events, badge wins, shout-outs, birthdays, patrol scores and a camp countdown
- Each display scoped to its own sections — the Beavers room shows Beavers' week
- Open on any TV or tablet with a single link, or pair it with a code
- An on-screen QR code takes parents straight to dates and RSVPs on their phone
- Schedule which sections a display shows by day and time
Make It Yours — Dark Mode & Personalisation
Volunteers do this in the evening, after work, on their own devices. Dark mode is tuned for readable contrast on every screen, and your preference follows you between phone and laptop. Drag the sidebar into the order that suits how you work and group pages under your own headings. Set your pages to open already filtered to your own sections. Install Scoutworks on your phone's home screen and it works like an app.
- Light and dark themes, toggled from the top bar, tuned for contrast throughout
- Your theme preference follows you across phone and laptop
- Drag sidebar pages into your own order and group them under your own headings
- Default section filters, so pages open scoped to your sections from the start
- Push notifications to your phone or laptop when a long report finishes
- Install it on a phone, tablet or computer from the menu, with no app store — on an iPhone, the app shows you how
Live Google Docs & Sheets
The programme plan lives in a Google Doc, and every time it changes someone re-exports it and uploads a new PDF that is out of date within a fortnight. Attach live Google Docs and Sheets directly to the Knowledge Base, risk assessments, event files and tasks instead. Edit in Google as you always have, and everyone always opens the current version. Connect your Google account once from your profile and disconnect any time.
- Attach live Google Docs and Sheets to the Knowledge Base, risk assessments, event files and tasks
- Edit in Google as usual — everyone always opens the latest version
- Share linked docs with parents, clearly badged so they know where it opens
- Connect once from your profile, disconnect whenever you want
Getting Started & Migration Hubs
New systems fail when nobody knows what to do on day two. The Getting Started hub gives every volunteer a checklist tailored to their role — only the steps that apply to them — and steps tick off as you go. Stuck on one? 'Show me how' walks you through it right where it happens. The Migration hub handles the other half: bringing your members, badges and waiting list across from OSM or a spreadsheet, one guided step at a time.
- A checklist tailored to each volunteer's role — only the steps that apply to them
- Steps tick off automatically as you complete them
- 'Show me how' walks you through any step, in context
- A Migration hub for group admins: sections, members, waiting list, badges, then parent invitations
- Guided OSM import of members and badge records — payment collection is set up fresh
- Contextual feature tours that point out what's new, where it lives
API Keys for Your Own Tools
Some groups keep a spreadsheet, a website or a small tool of their own in step with Scoutworks. A group admin can create an API key that reads chosen data — members, events, badges or the waiting list — and nothing else. Keys can only read, never change anything, and they never expose health information, bank details or free-text notes. API access is in beta.
- Read-only keys for members, events, badges and the waiting list
- Choose the scopes — contact details are a separate scope you add only if you need them
- Health information, bank details and free-text notes are never shared, whatever the scopes
- Set an expiry date, or revoke a key at any time
- A key stops working if the admin who made it is no longer an admin
- Developer documentation with a sandbox key on demo data
Built for Power Users — Search, Saved Views, Shortcuts
The leaders who run several sections, sit on the trustee board, keep the accounts and lead Friday night are often the same people. Scoutworks rewards repeat use. Cmd+K (Ctrl+K on Windows) opens a command palette that searches members, events, badges, files, risk assessments and equipment, scoped to your role. Saved Views turn any filtered list into a named, shareable view on 27 list pages. Every page's main action and actions menu has a keyboard shortcut.
- Command palette — Cmd+K / Ctrl+K — searches members, events, badges, files, risk assessments, equipment, POR and settings
- Saved Views on 27 list pages, from Members and Events to Claims, Risks, Equipment and parent pages
- Set a default view per page, pin and reorder views, and share them by link
- Views are saved to your account, so they follow you across devices
- Press ? to see every shortcut
- N for the page's main action, A for its actions menu, and g plus a letter to jump between pages
- Cmd+Enter to save a form; in email, e to archive and # to delete
In-App Help, What's New & Beta Programme
When something goes wrong, you shouldn't have to leave the app to ask for help. The help panel starts with a search of the help articles, then lets you chat to a person or report a bug, with a screenshot and diagnostic details attached for you. Chats and bug reports live in one inbox, and replies arrive there. A What's New feed in the sidebar keeps your team current. And the Beta Programme lets a group admin try new features early.
- Search the help articles, chat to a person, or report a bug — all from one panel
- Bug reports attach a screenshot and diagnostic details for you
- One inbox for your chats and bug reports, with replies arriving there
- Rate the help you got when a chat is resolved
- What's New feed in the sidebar with a count badge and product-area categories
- Beta Programme switch in Settings → Advanced — today it covers features such as the AI tools and API access
