Waiting List Reports

How to use waiting list analytics and the Transition Planner to forecast intake and manage growth.

Demand versus capacity

Navigate to Members → Transition Planner for the section-by-section view of who needs a place and how much room you have:

  • The Plan tab lists every suggested move — members ageing out of their section and waiting-list applicants ready to join — with a chart above it showing where each section's numbers are heading once your agreed moves have run.
  • The Roster tab projects each section forward. Pick a date and it shows who stays, who joins and who moves up if every agreed move dated on or before it has run by then.
  • The Reports tab exports the Projected section roster as an Excel workbook or a print-ready PDF for a leaders' meeting.

Section limits are set in the planner's Settings tab under Section Capacities — a section with no limit never blocks anybody.

Insights dashboard

The Insights page includes a Capacity tab that visualises waiting list and capacity data:

  • Demand versus availability across all sections.
  • Trends over time — is your waiting list growing or shrinking?
  • Section-level projections based on member age-out dates.

These charts help you make data-driven decisions about when to send offers and whether to open additional sections.

Exporting data

To export your waiting list for offline analysis:

  1. Navigate to Members → Waiting List.
  2. Open the Waiting List Actions dropdown.
  3. Select Export CSV.

The export includes all application data — names, dates, statuses, priorities, and contact details.

Planning intake dates

Combine the Transition Planner with your waiting list to plan intakes:

  1. Check which sections have places available or expect places to open (age-outs).
  2. Review waiting list applications matching those sections.
  3. Send interest checks to confirm families are still interested.
  4. Send offers and set target start dates.
