Equipment management in Scoutworks helps you track every piece of kit your group owns -- from tents and stoves to compasses and first aid supplies. You can check items in and out, monitor their condition, and let leaders request what they need for upcoming events.
Opening Equipment
Click Equipment in the sidebar navigation. The first time you visit, a setup wizard walks you through configuration before you can start adding items.
The Setup Wizard
The Equipment Setup wizard guides you through five steps (six if you are a group admin). You cannot dismiss the wizard until you complete it, but a Quick Start option on the welcome step applies sensible defaults if you want to get going immediately.
Step 1 -- Welcome
Introduces the feature and offers the Quick Start button. Choose quick start to skip ahead with default settings, or click Next to configure each section yourself.
Step 2 -- Locations
Add at least one storage location before continuing. Locations describe where equipment lives when it is not checked out -- for example "HQ Store Room" or "Minibus". Tap a suggestion chip to create a location instantly, or type your own. You must add at least one location to proceed.
Step 3 -- Categories
Categories group similar equipment together -- such as "Camping", "Safety", or "Navigation". Categories are optional during setup; you can add and edit them later from Settings > Categories.
Step 4 -- Approval
Choose how equipment requests are handled. There are three modes:
- No Approval Required -- equipment is reserved automatically when available.
- Full Approval -- every request needs quartermaster review.
- Per-Item Approval -- you choose which individual items need approval; the rest auto-reserve.
Step 5 -- Quartermasters (admin only)
Group admins see an additional step to assign quartermaster access. Quartermasters can add, edit, and delete equipment, review requests, and manage settings. Non-admin leaders skip this step.
Step 6 -- Review
A summary of your choices. Click Complete Setup to finish.
After Setup
Once the wizard completes, you land on the Inventory tab with an empty list. Your next step is to add equipment -- see Managing Your Equipment Inventory for a full walkthrough.
Re-running the Wizard
If you need to change your initial configuration later, open the Settings tab on the Equipment page and click Re-run Setup Wizard. This version of the wizard is dismissible, so you can close it at any time.
Equipment Page Tabs
The Equipment page has up to four tabs depending on your role:
| Tab | Who sees it | Purpose |
|---|---|---|
| Inventory | Everyone | Browse, search, and filter all equipment |
| My Requests | Everyone | Your own equipment requests |
| All Requests | Quartermasters and admins | Review and manage all requests |
| Settings | Quartermasters and admins | Categories, locations, approval workflow, quartermaster access |
