Organising Your Work with Task Boards

How leaders and admins use shared Kanban boards to plan and track a group's jobs — from camp prep to fundraising — with columns, due dates, assignees and links to events, members and badges.

Running a section means juggling dozens of small jobs — book the minibus, chase the consent forms, order the badges, sort the AGM. Task boards give your leadership team one shared place to keep all of it, so nothing lives only in someone's head or buried in a chat thread. Each board is a set of columns you drag cards between, with due dates, priorities and who's doing what.

Task boards are a leadership tool — only leaders and admins in your group can see and use them. Look for Tasks in your sidebar.

Where to find this

Open Tasks from the sidebar. You'll land on your group's boards, with a tab across the top for each one. If you haven't made a board yet, you'll be invited to create your first.

Creating a board

Make a separate board for anything that deserves its own to-do list — a camp, a fundraising push, the term's programme, or just your group's general jobs.

  1. Click New board.
  2. Give it a Name (for example, Summer Camp 2026).
  3. Add a short Description if it helps the team know what the board is for.
  4. Click Create board.

Your new board opens straight away with a starter set of columns. Switch between boards any time using the tabs at the top.

Setting up your columns

Columns are the stages a job moves through — typically To do, In progress and Done, but they're yours to shape. Use the + at the end of the board to add one, or open a column's ••• menu to manage it.

ActionWhat it does
Add columnCreate a new stage. Give it a name (e.g. In Review) and a colour.
Rename columnChange the name.
Move left / Move rightReorder the columns.
Mark as Done columnTag this column as the finishing line — cards moved here count as complete.
Delete columnRemove the column. A board always keeps at least one.

The Done column is special: any card that lands there is treated as finished, which is what powers the Completed toggle and keeps your active board uncluttered. If you delete a Done column, you'll be asked which remaining column should take over that role.

Adding a task

Click the + on any column to add a card, then fill in as much or as little as you like — only the title is required.

FieldNotes
TitleWhat needs doing — e.g. Book the minibus for camp. Required.
DescriptionAny extra detail the team needs. Optional.
ColumnWhich stage the card starts in.
PriorityLow, Medium, High or Urgent. Shows as a coloured dot on the card.
Due datePick a date. Cards nearing or past their due date are highlighted so they don't slip.
AssigneesThe leaders responsible. You can pick more than one.
LabelsColour-coded tags (e.g. Catering, Transport). Create a new label inline by typing a name, choosing a colour and clicking Add.
Linked itemsConnect the task to an Event, Member or Badge so the related record is one click away.

Click Add task to save. The card appears in the column you chose.

Moving tasks around

Drag any card to a different position, or to another column, as work progresses — drop it in your Done column when it's finished. Changes save as you go.

Assigning work and staying notified

Assign a task to one or more leaders from the card's Assignees field. When you do, each person gets an in-app notification letting them know a job has landed with them — you'll find these under the Tasks category in the notification bell. Opening the notification takes them straight to the task, switching group first if it belongs to a different one.

Board view and table view

Every board offers two ways to look at the same tasks. Use the view toggle on the right of the toolbar to switch.

  • Board view — the Kanban columns, best for moving work through its stages.
  • Table view — a sortable, filterable list, best for scanning everything at once or working through a long backlog. You can show or hide columns to focus on what matters.

The toolbar works the same in both views:

ControlWhat it does
SearchFind a task by its title.
FiltersNarrow by Priority, Assignee or Label.
CompletedShow or hide cards in your Done column.
SortManual (board order), Priority, Due date, Title or Created.

Working on several tasks at once

Select more than one task and a bulk actions bar appears, so you can update them together — handy when you're tidying up after an event or reprioritising a backlog. From there you can set a priority, set a due date, assign a leader, move them to another column, mark them complete, or delete them.

Editing and deleting

Click any card to reopen it and change its details. To remove a single task, use Delete at the bottom of its form. You can also delete a whole column or an entire board from their respective menus — these can't be undone, so you'll always be asked to confirm first.
