Emails from your group are usually the first thing a new parent sees after sign-up. Adding your logo, group colours, and a consistent footer makes those messages look like they come from your group, not from a generic tool. It takes a couple of minutes to set up and applies to every email your leaders send from then on.
Where to find this
Go to Settings in the sidebar and open the Email tab. You will see two sections:
- Email Branding — your group's logo, colours, and footer. Set once, used by every leader.
- Email Signature — your personal sign-off. Each leader sets their own from their profile page.
Setting up your group's branding
Open the Email Branding section. The left side has the settings; the right side shows a live preview that updates as you make changes.
Header style
Pick how your group identity appears at the top of every email:
| Option | What it looks like |
|---|---|
| Logo only | Just your uploaded logo — best if your logo already includes your group name |
| Logo + name | The Scouts fleur-de-lis marque next to your group name — a good default |
| Text only | Your group name in plain text, no image — useful if you don't have a logo ready |
Logo
If you pick a header style with a logo, upload an image:
- PNG, JPEG, or WebP
- Up to 5 MB
- Drag a file onto the upload zone, or click Browse
Uploaded logos are saved to your group's brand library, so you can swap between them without re-uploading.
Primary colour
Choose a colour for headings, buttons, and accents in your emails. The default is Scouts purple (#7413DC). You can pick a different colour with the colour picker or paste in a hex code.
If you want to match an official Scouting section colour (Beavers, Cubs, Scouts, Explorers, etc.), use the Scouts Brand Centre for the exact hex value.
Light or dark
Switch the default colour mode for your emails. Light mode has a white background; dark mode has a deep navy background with lighter text — useful for evening announcements or camp reminders where the darker look suits the content.
Footer
Add a short footer that appears at the bottom of every email:
| Field | Purpose |
|---|---|
| Footer text | A line of text — often your group name, charity number, or meeting location. Up to 200 characters. |
| Footer link URL | Optional link — commonly your group website or joining page |
| Footer link label | The text shown for the link, e.g. Visit our website |
Preview and save
The preview on the right shows exactly what a parent will see, including a light/dark toggle so you can check both. On mobile, tap Show preview to see the same view below the settings.
When everything looks right, click Save. The new branding applies to every email sent from that point on. Emails already in the Sent folder aren't changed.
Setting up your personal signature
Each leader has their own signature that appears at the bottom of the emails they send. This sits below the message body and above the group footer.
Go to Profile (from the user menu in the top right), scroll to the Email Signature card, and fill in:
| Field | Notes |
|---|---|
| Display name | How you want to be addressed, e.g. Akela or Sarah Mitchell |
| Role title | Optional — your role, e.g. Cub Scout Leader |
| Phone | Optional — a contact number for parents who need to reach you quickly |
| Show avatar | Toggle on to include your profile photo in the signature |
There is a live preview below the fields so you can see how it will look. Save when you're happy.
Where the branding shows up
Branding and signatures apply to emails leaders send from Scoutworks — the ones you compose on the Email page, send from the Members list, or fire off from an event.
Automatic system messages — invitations, password resets, payment confirmations — keep their standard Scoutworks look and don't use your group branding.
Good to know
- Anyone can see the settings, leaders and admins can edit. Parents never see the branding page.
- Leaders don't need to do anything per-email. Once branding is configured, every email they send picks it up automatically.
- No logo yet? Pick the Text only header style. Your group name still appears cleanly at the top — you can add a logo later without resending anything.
- Changing the branding later updates future emails only. Nothing in the Sent folder is rewritten.
