One-off payments
For event fees, trip costs, or any other one-time charge, create a one-off payment request:
- Open the Finance Actions dropdown.
- Select Create Payment.
- Fill in the Create Payment dialog:
- Description — what the payment is for (e.g. "Summer Camp Fee").
- Member — which member the payment is for.
- Amount (£) — the payment amount.
- Due Date — when the payment should be made by.
- Send the request.
The parent is notified and taps Pay Now in their portal. They pay with an instant bank payment (GoCardless Instant Bank Pay, which uses open banking): they approve one bank-to-bank transfer in their banking app, and the money is sent straight away.
Managing payments
Use the Finance Actions dropdown to access:
- Manage One-Time Payments — view all one-off payment requests and their status.
- Payment Details dialog — click any payment to see: Description, Member, Amount, Due Date, Status, Created date, and Payment Transactions.
Refunding a payment
Need to give money back — a member drops out, a parent pays twice, or an event is called off? You can refund any collected payment directly from Scoutworks, including individual collections from a recurring subscription.
Refunds have their own guide, which covers where to start a refund, when a payment can be refunded, full versus partial refunds, and how to track them:
- Refunds — refund a collected payment, whether it came from a one-off request or a subscription.
