"Has this family actually paid?" is one of the most common questions a treasurer asks, and it used to mean checking a few different places and holding the answer in your head. The Payments tab on a member's page now puts everything about that one member's money in a single list — every subscription payment, one-off payment and event payment, in date order, with a clear line marking today.
Where to find it
Go to Members, click the member you want, and choose the Payments tab.
This is a leader and admin view. Parents see their own payments in their own area, and nothing here changes what they see.
Reading the timeline
The list runs newest first, with a divider marking today:
- Above the divider — payments still to come. The furthest-out payment sits at the top, so the very next payment due is the row closest to the line.
- Below the divider — payments that have already been collected, refunded, or recorded by hand.
Nothing below the line can be a forecast. A payment scheduled to collect today always stays on the upcoming side, so you'll never mistake it for money you've already banked.
Every row names where it came from — which fee, or which event — so you can tell a monthly subscription apart from a camp payment at a glance. That matters as soon as a member has more than one thing on the go.
The summary above the list
The figures at the top of the tab give you the shape of the member's account before you read any individual row:
| What it shows | What it means |
|---|---|
| Collected | Money actually received for this member. |
| Upcoming | What is currently scheduled to be collected. |
| Held on account | Money collected on a subscription that was later cancelled, which hasn't yet been put towards anything. See the note below. |
| Catching up | Shown when the member is part-way through paying off missed payments, so you can see the figure you're reconciling against is real. |
Money held on account
If a duplicate subscription was set up and later cancelled, any money already collected on it shows as held on account. It's real money your group has — it just isn't yet claimed against a particular month.
You can put it towards an unpaid month rather than refunding it. See Using Money Held on Account for how.
What you can do from here
The same actions available in the payment history panel work on this tab:
- Cancel an upcoming payment that hasn't been sent to the bank yet.
- Refund a payment that has already been collected — and reverse a refund if you issue one by mistake.
- Mark as paid when a parent has handed you cash or sent a bank transfer. See Marking a Recurring Payment as Paid by Hand.
- Undo a payment you recorded by hand.
Good to know
- Paused subscriptions are called out. If a subscription is paused, a banner explains it, so a gap in the upcoming list is never a mystery.
- Very long histories are flagged, not hidden. For a member with an unusually long history, the tab tells you when it's showing the most recent portion rather than quietly cutting the list short — so if you're hunting a payment you know exists, you'll know to keep looking.
- Two payments on the same day are both shown. If you see what looks like a duplicate, that's deliberate — it usually means the member ended up with two subscriptions for the same fee, and hiding one would hide the problem.
