The Knowledge Base
The Knowledge Base is your group's central document library. Upload risk assessments, programme plans, training resources, camp kit lists, and anything else your leaders and parents need — all organised into folders and shareable with the right people.
Click Knowledge Base in the sidebar to open the hub view.
Views
The Knowledge Base offers three views:
- Hub view — your main library with folders and pinned documents.
- Folder view — browse a specific folder's contents.
- Event Files view — documents attached to events across your group.
Sort files by Name, Last Updated, or File Count.
Creating folders
- Click New Folder.
- Enter a Folder Name (e.g. "Training Resources", "Camp Documents").
- Save.
Create as many folders as you need to keep documents organised.
Uploading documents
- Click Upload Document.
- Drag and drop your file into the upload zone, or click to browse. Files up to 100 MB are supported.
- Optionally select a Destination Folder.
- Toggle Share with parents if you want parents to see this document.
- When sharing is on, select which sections should see the file using the Visible to sections checkboxes.
Managing files and folders
File actions (on hover): Download, Pin/Unpin, Share file, Delete file, Save to Knowledge Base (for event files).
Folder actions (on hover): Open folder, Share folder, Delete folder.
Pinning documents
Pin important documents so they appear prominently at the top of the Knowledge Base. Use this for your most-referenced files — the current term programme, group policies, or emergency procedures.
Sharing with parents
When you toggle Share with parents, you control visibility by section:
- Share a "Beaver Programme" with the Beavers section — only Beaver parents see it.
- Share a "Group Policy" with all sections — every parent sees it.
- Unshared files are visible to leaders only.
Parents see shared documents in their own read-only Knowledge Base view, filtered by their children's sections.
Event files
The Event Files view shows documents attached to events. From here, you can save any event file to the main Knowledge Base using the Save to Knowledge Base action.
What's next
- Viewing Shared Documents — what parents see in their Knowledge Base.
