Awarding Badges

How to sign off badge requirements and award badges to members individually or in bulk.

Signing off vs awarding

Scoutworks separates two distinct actions in the badge journey:

  • Sign off marks individual requirements as completed. As members work through a badge, you tick off each requirement they finish. This tracks their progress towards the badge.
  • Award formally records the badge as earned. Once all requirements are complete, you award the badge to confirm it has been achieved.

This separation means you can track progress over time and only award when the full badge has been completed.

Signing off badge requirements

To sign off requirements for a member:

  1. Navigate to Badges in the sidebar
  2. Open the Badge Actions dropdown and select Sign off Badges
  3. Choose the badge and the member
  4. Tick off the requirements they have completed
  5. Optionally add a date and any notes

You can also sign off badges from the Members page. Click the kebab menu (three dots) on any member row, then select Badge Record to view and update their badge progress directly.

Requirements that count activities

Not every requirement is a single tick. Some ask a member to do something a set number of times — try two adventurous activities, take part in six other outside activities, and so on.

Open the badge from the By Badge tab on the Badges page. Requirements like these show a count against each member, such as 0/2, instead of a checkbox. Select Log activity on the row to record one activity, with what they did and the date. The count goes up, and the requirement completes on its own once the target is met.

Where a badge counts more than one kind of activity, each requirement records its own. Log activity on the adventurous activities requirement asks you for an adventurous activity; the outside activities requirement asks for an outside activity.

Once a member has at least one activity recorded, View history on the row shows everything logged so far.

Awarding badges individually

Once a member has completed all requirements for a badge, you can award it:

  1. Navigate to Badges in the sidebar
  2. Open the Badge Actions dropdown and select Award Badges
  3. The Award Badge modal appears with a search input — type to find the badge
  4. Select the badge from the grid
  5. Choose the member or members to award it to
  6. Confirm the award

You can also award badges from the Members page by opening the Member Actions dropdown and selecting Award Badges.

Bulk awarding

For efficiency, Scoutworks supports bulk badge operations:

  1. Go to the Members page
  2. Select multiple members using the checkboxes
  3. Open the bulk actions bar that appears
  4. Choose Award Badges
  5. Select the badge to award to all selected members

This is particularly useful after camps or activity days where several members complete the same badge together.

Viewing a member's badge record

To see a complete history of a member's badges:

  1. Go to the Members page
  2. Click the kebab menu on the member's row
  3. Select Badge Record

This shows all badges the member has been awarded, badges currently in progress, and available badges they have not yet started.

You can also access this from the Members page via the Member Actions dropdown, which includes Sign off Badges, Award Badges, and Badge Record.

Tips for staying on top of awards

  • Use the Badges to Award Report (on the Reports tab) to see which members have completed badges but have not yet been formally awarded
  • Check the Insights page Badges tab for the Badge Nearly There section, which highlights members close to finishing
  • After awarding, use Manage Stock to keep your badge inventory up to date
  • The Send Badge Check option emails parents to verify which badges their child has physically received, helping you reconcile your records
