Insights and Analytics

How to use the Insights dashboard for membership analytics, event tracking, badge progress, and financial overview.

The Insights page gives group administrators and leaders an at-a-glance view of key data across your Scout group. It combines membership demographics, event attendance, badge progress, finances, adult volunteers, and safety information into a single, tab-based dashboard.

Opening the Insights dashboard

Navigate to Insights from the main menu. The page is available to users with the group_admin or leader role. Parents do not have access to this page.

The dashboard is divided into seven tabs along the top:

TabWhat it shows
MembersDemographics, emergency contact compliance, consent details, medical permissions, geographic insights
CapacitySection occupancy, waiting list pipeline, transition projections
EventsUpcoming events by section and type, attendance trends, RSVP rates, low-attendance alerts
BadgesBadge progress by section, completion trends, gap analysis, nearly-there members, programme suggestions
FinancePayment collection status, subscription breakdowns, one-off payment summaries
AdultsLeader counts by section, volunteer distribution
SafetyRisk assessment status, incident trends, compliance overview

Your selected tab is remembered between visits, so you will return to the same tab next time.

Members tab

The Members tab opens with a Demographics section containing four summary cards:

  • Total Members -- shows the count of unique active members, broken down by section with animated progress bars. If a member belongs to more than one section, the section totals will be higher than the unique count, and an info note explains why.
  • Gender Distribution -- a donut chart showing the gender split across your group.
  • Age Distribution -- a bar chart of member ages calculated from dates of birth.
  • Emergency Contacts -- a compliance donut showing how many members have emergency contact information on file, with a percentage indicator.

Below the demographics you will find collapsible sections for Parents & Emergency Contacts, Consent Details, Medical Permissions, and Geographic Insights (a map of member locations).

Each card has an info button that explains how the figure is calculated.

Exporting reports

Click the Insights Actions dropdown button in the top-right corner to access reports. The following exports are always available:

  • Census Report -- downloads a PDF summarising your group's membership data, suitable for Scouts census submissions.
  • Leavers Report -- opens a dialog where you choose a time window (fixed months such as 3, 6, 12, or a custom date range) and downloads a CSV of members approaching their section's upper age limit.

When the Badges tab is active, three additional exports appear in the dropdown:

  • Badge Gap Analysis (CSV) -- a spreadsheet of badge completion gaps across your group.
  • Badge Insights Report (PDF) -- a formatted PDF of badge analytics.
  • Badge Progress Heatmap (Excel) -- a per-member heatmap of badge progress, exported as an Excel file.

Capacity tab

The Capacity tab shows section occupancy levels, waiting list funnel charts, a section pipeline flow diagram, and projected movement timelines. Use this tab to plan transitions between sections and spot sections that are nearing capacity.

Events tab

The Events tab displays upcoming events grouped by section and by type (activities, camps, programme meetings). Each event type has a configurable time window (e.g. next 30, 60, or 90 days) so you can adjust the lookahead period. The tab also includes an attendance trend line chart and a Low Attendance section that flags members with declining attendance.

Badges tab

The Badges tab provides a summary of badge progress, completion trends over time, a gap analysis table, a "nearly there" list of members close to completing badges, activity coverage analysis, and programme suggestions to help fill gaps in your badge programme.

Finance tab

The Finance tab shows subscription and one-off payment summaries with donut charts for status breakdowns (active, paused, cancelled for subscriptions; paid, pending, overdue, failed for one-off payments).

Tips for getting the most from Insights

  • Keep member data complete. Charts like age distribution and geographic insights rely on dates of birth and addresses being filled in.
  • Review emergency contact compliance regularly. The Members tab highlights members missing emergency contacts so you can follow up.
  • Use the Leavers Report before each term to plan section transitions in advance.
  • Export badge data before programme planning meetings to identify which badges need more focus.
