Why this matters
Accurate medical and dietary information keeps young people safe. When a leader is running an event, they need to know about allergies, medications, dietary needs, and what first aid treatments they are authorised to use — without having to phone parents at short notice.
Recording medical information
Open a member's profile and click the Medical tab. This tab contains:
Medical Information
A free text field for recording allergies, medications, medical conditions, and anything else leaders need to know. For example:
- "Carries EpiPen for severe nut allergy — kept in kit bag"
- "Takes inhaler for asthma before physical activity"
- "No known medical conditions"
Dietary Requirements
A free text field for dietary needs: vegetarian, vegan, kosher, halal, food allergies, intolerances, or any other requirements.
Disabilities
A multi-select dropdown with options including: ADD, ADHD, Affected hearing, Affected sight, Autism Spectrum Disorder, Dyslexia, Epilepsy, and others. This helps leaders plan inclusive activities.
First Aid Consent
The Medical tab also includes First Aid Consent checkboxes. Parents (or leaders on their behalf) indicate which treatments the member is authorised to receive:
- Aftersun
- Antihistamine
- Antiseptics
- Bite/Sting Relief
- Ibuprofen
- Insect Repellent
- Paracetamol
- Plasters
- Suncream
This information is critical for residential events and day trips where leaders may need to administer basic first aid.
Viewing medical data across your group
The Insights page has a Safety tab that brings together medical data across your group:
- Medical Permissions section — an overview of first aid consent across all members.
- Consent Details section — which members have specific consent items checked or unchecked.
This is invaluable when planning camps — you can quickly check consent coverage before the event rather than discovering gaps on the day.
Parents updating medical information
Parents can update their child's medical information through the parent portal:
- Navigate to My Children in the parent sidebar.
- Edit their child's profile and update the Medical tab.
Changes are immediately visible to leaders. You can also send parents a link to complete missing information using the CompleteMemberInfoPage feature.
