Managing Your Member List

How to view, search, filter, and perform bulk actions on your group's member list.

The Members page

Click Members in the sidebar to open your member list. This is the central place for managing everyone in your group.

The page has four tabs: Members (with a count), Attendance, Sharing & Transfer, and Parents.

Searching and filtering

Use the search input at the top to search by child or parent name, or email address. For more targeted filtering, open the Advanced Filter panel — active filters appear as pills above the table so you can see what is applied at a glance.

Filtering by event

Two filters in the Advanced Filter panel work together:

  • Event Attendance — All members, Attended, Did not attend, or No response.
  • Specific events — tick one or more of the events you can see.

Leave Specific events empty and the attendance status applies across every event you can see. Tick some events and the status applies to those events only:

Event AttendanceWho you get
All membersEveryone linked to at least one ticked event — invited, replied, or marked off.
AttendedMembers marked present at at least one ticked event.
Did not attendMembers marked absent at at least one ticked event.
No responseMembers not marked present or absent for at least one ticked event.

All members with events ticked is the one to reach for when you want everyone an event touches, whatever they have said — "who is on the Norway trip?" Tick the rows it gives you and you can email their parents in one go.

Scoutworks uses the register mark where a register was taken, and the member's RSVP where one was not.

View modes

You can switch between table view and card view using the toggle buttons in the top-right corner of the member list. Table view shows detailed columns, while card view displays members as individual cards with key details at a glance.

Table columns

The member table shows key information at a glance. Toggle columns on or off using the Columns dropdown:

Name, Section, Age, Date of Birth, Gender, Lodge/Six/Patrol, Role, School, Joined Movement, Attendance.

Member Actions dropdown

The Member Actions dropdown in the page header provides group-wide actions:

  • Add Member — create a new member manually.
  • Restore Member — bring back an archived member.
  • Import Members — bulk import from CSV or OSM.
  • Sign off Badges / Award Badges / Badge Record — badge management shortcuts.
  • Offline Attendance Register — take attendance without internet.
  • Message All Parents (on the Parents tab) — email every parent in the group.

Row actions

Each member row has a kebab menu (three dots) with individual actions:

  • Edit — open the member detail dialog.
  • Message Parents — send an email to this member's parents.
  • Invite Parents — send portal invitations to parents.
  • Badge Record — view this member's badge history.
  • Edit Sections — change section assignments.
  • Export PDF — generate a PDF card for this member.
  • Share/Transfer — share or transfer to another group.
  • Archive Member — archive this member (with confirmation).

Clicking Edit opens the member detail panel where you can view and update all of their information across multiple tabs. Its own actions menu has one extra option — Move to waiting list, for members leaving temporarily who you expect back. See Moving a Member to the Waiting List.

Bulk actions

Select multiple members using the checkboxes, and the Member Actions dropdown updates to include bulk actions for your selection:

  • Edit — change Section, Lodge/Six/Patrol, or Role for all selected members.
  • Export — CSV Data, PDF Cards, or Badge Report.
  • Message Parents — email all selected members' parents.
  • Invite Parents — send portal invitations in bulk.

Message Parents opens the email composer already addressed to the parents of everyone you ticked. A parent with two of your ticked children on their record gets one email, not two. See Sending Emails to Parents.

Pagination

Control how many members appear per page: 20, 50, or 100.
