Three ways to add members
Scoutworks gives you three ways to get your members into the system:
- Manually adding them one at a time
- Importing from a CSV file
- Pulling them in directly from your Waiting List.
Which method you choose depends on where your data currently lives and how many members you need to add and whether your Waiting List is configured.
Adding a member manually
This is the best option when you are adding a single new member, or when you want to enter detailed information from the start.
- Navigate to Members in the sidebar
- Click the Member Actions dropdown button in the page header
- Select Add Member
The Add Member dialog opens with a series of tabs that let you enter information step by step:
- Info (Child Information) — First Name, Last Name, Gender (Male, Female, or Self-identify), Date of Birth, Ethnicity, and Religion. First Name, Last Name, and Date of Birth are required fields. Address is optional.
- Details (Scout Details) — Sections (multi-select, required), Joined Movement (required), Started Current Section, Lodge/Six/Patrol, Role, School, and Hobbies & Interests
- Parents — add parent/carer contact details
- Siblings — link to existing members in the group. When Scoutworks detects a potential sibling match you will be presented with suggested matches.
- Emergency — emergency contact information
- Consent — record consent for activities, photos, and communications
- SEN — special educational needs information
- Medical — medical conditions, allergies, and dietary requirements
You do not need to fill in every tab straight away. The minimum required fields are on the Info and Details tabs. You can come back and add more detail later.
Importing from a CSV file
If you have member data in a spreadsheet, CSV import is the fastest way to get everyone into Scoutworks at once.
- Navigate to Members in the sidebar
- Click Member Actions and select Import Members
- In the platform selection dialog, choose the appropriate option.
- Upload your CSV file when prompted. You will then be guided through the import process.
- Select the section that you want to import the members into.
- Review the mapped data to check everything looks correct
- Review the data and resolve any issues
- Choose to invite parents automatically or defer using the checkbox.
- Success!
After importing
Once your members are in Scoutworks, take a few minutes to review the data. Check that sections are assigned correctly, parent details are complete, and any key medical or consent information has come across. You can edit any member by clicking on their name in the member list.
