Start with your Getting Started Hub
When you first log in, the quickest way to get set up is your Getting Started Hub — a personalised checklist that shows exactly what to do next for your role, with most steps ticking off on their own as you complete them. Open it from Getting Started in the sidebar, or from the setup banner on your dashboard.
For a full tour of how it works — your goal line, the task groups, guided walk-throughs, and steps that complete themselves — see Using the Getting Started Hub.
The plan below complements the Hub: it's a suggested order for your first week so you know what to tackle when.
Recommended first-week plan
While the checklist covers the basics, here is a suggested order for your first week that builds on it.
Day 1: Configure your group
- Head to Settings in the sidebar, then scroll to the Section Management section. Rename or add sections so they match your group structure — for example, "Monday Beavers" or "Explorer Unit".
- Invite your fellow leaders from the Settings page under User Management so they can start helping straight away.
Day 2: Add your members
- Navigate to the Members page from the sidebar.
- Open the Member Actions dropdown and select Import Members to bring in your existing records in bulk. This is far quicker than adding members one by one. When importing members you'll be offered the choice to immediately invite parents to the platform or to defer it - don't worry, you can invite parents later in just a few clicks.
- If you only have a handful of new members, use Member Actions then Add Member to create them individually.
Day 3: Invite parents
If you did not automatically invite the parents during import you will need to invite the parent to give them access to the app. This will trigger an email prompting them to create an account and to set a password, if the parent already has access they will be sent a notifcation informing them that a child has been added to their existing account.
- On the Members page, select the members whose parents you want to invite.
- In the bulk actions bar that appears, click Invite Parents. Each parent will receive an email with a link to create their own account.
Parents can view upcoming events (published), respond to RSVPs, respond to Parent Helper requests, make payments, edit their child's information, see their child's badge progress and submit bagde evidence on behalf of thier child.
Day 4: Create your first event
- Go to Events in the sidebar.
- Use the Event Actions dropdown to choose the type of event you want — Create Programme Meeting, Create Camp, or Create Activity/Trip.
- Fill in the details, assign sections, and publish when ready.
Day 5: Set up payments (optional)
If you collect subscriptions or event fees from parents, navigate to Finance in the sidebar, then select Online Payments. This is where you connect GoCardless for Direct Debit collection.
Day 6-7: Explore and refine
-
Browse the Events calendar to see how your meetings appear
-
Check the Members page to make sure everyone is assigned to the correct section
-
Award a badge to see how badge tracking works end to end
By the end of your first week, your group will be fully operational and your leaders and parents will be connected and ready to go.
