Sometimes you invite a parent, volunteer or trustee and their welcome email never arrives. Often it's a small typo in the address — .col instead of .com, or gmail where it should be googlemail — so the email bounces and they never get the link to set their password. You can now correct the address yourself and send them a fresh invitation, without waiting for anyone behind the scenes.
When you can fix the email yourself
You can change the email for anyone you've invited who hasn't signed in yet. That covers people whose welcome email bounced, and anyone whose address was simply typed wrong when they were added.
Once someone has signed in and set a password, only they can change their own email — from their own Profile page. For their security, no one else can change it for them. If they're locked out and can't get that far, point them to Login and Account Problems.
Where to find "Edit email"
The Edit email action shows up wherever you already manage the person, so you don't have to go looking for it:
| Who they are | Where to look |
|---|---|
| A parent on your waiting list | Open the applicant on the Waiting List, then look at the parent's Email field |
| A parent of a member | Members → Parents, in the row's actions menu (⋯) |
| A volunteer, young leader or trustee | Settings → Users & Roles, in the person's actions menu (⋯) |
It only appears for people who haven't signed in yet. If you don't see it, that person has already accessed their account and will need to change their email themselves.
Correcting the email and re-sending
- Click Edit email next to their current address.
- Type the correct email address and click Save email.
- You'll be offered a one-tap Re-send invitation. Click it to send a fresh welcome email to the corrected address, with a new link to set their password. (Choose Done if you'd rather send it later.)
That's it — the next welcome email goes to the right inbox.
If the email is already taken
If the address you type already belongs to another account, Scoutworks won't let you use it and shows a short message. Double-check the spelling, and if it really is a different person, use a different address. This stops two people accidentally ending up pointed at the same login.
