Group Settings

How to configure your group name, meeting locations, district data sharing, and other group-level settings.

Accessing group settings

Click Settings in the sidebar to open the settings page. Most sections are only visible to Group Admins — leaders see a limited view with just section management.

The settings page is organised into collapsible sections. Click any section heading to expand or collapse it.

Meeting Locations

The Meeting Locations section lets you create and manage reusable venues. Once a location is saved here, it appears in the location picker when creating events — saving you from typing the same address repeatedly. Locations can also be assigned to sections as their default meeting place, so parents always know where to go.

Adding a location

  1. In the Meeting Locations section, click Add Location.
  2. Fill in the location details:
FieldRequiredNotes
NameYesA recognisable label (e.g. "St Mary's Church Hall", "Scout Hut") — up to 100 characters
Address Line 1NoStreet address (e.g. "42 High Street")
Address Line 2NoAdditional address info (e.g. "Bromley")
CityNoTown or city
PostcodeNoMust be a valid UK postcode format (e.g. "BR1 1AA")
NotesNoPractical details like parking information, access instructions, or key holder contact — up to 500 characters
  1. Click Add Location to save.

Editing and deleting locations

Each location in the list has a kebab menu (three dots) with Edit and Delete options.

  • Edit opens the same dialog with the current details pre-filled. Make your changes and click Save Changes.
  • Delete removes the location permanently. You can only delete a location that is not currently assigned to any sections. If the location is in use, the delete option is greyed out with a label showing how many sections use it (e.g. "In use by 2 sections").

Location details displayed

Each location in the list shows:

  • The location name with a map pin icon.
  • The address and city underneath (if provided).
  • The postcode as a badge on the right.
  • A count of how many sections use this location as their default meeting place.

District Data Sharing

The District Data Sharing section lets you control what data your group shares with your district. This is a consent-based system — your group must actively opt in, and you can revoke access at any time.

How district data sharing works

When data sharing is active, your district can see aggregated data about your group, including:

  • Member counts and section sizes.
  • Badge completion rates.
  • Waiting list numbers.
  • Attendance trends.

Individual member details (names, medical information, contact details) are never shared. District leaders only see group-level summaries and statistics.

Checking your sharing status

The District Data Sharing section shows your current status:

  • Whether sharing is active — a clear indicator of whether your group is currently sharing data.
  • District name — the name and geographic area of the district you are linked to.
  • Who consented — the name of the admin who accepted the data sharing request.
  • When consent was given — the date sharing was activated.

If sharing has been revoked, the section shows when it was revoked.

Accepting a data-sharing request

When your district invites your group to share data, a request appears in this section. A Group Admin can review the request and click Accept to begin sharing. Only Group Admins can accept or revoke data-sharing consent.

Revoking data sharing

If you no longer wish to share data with your district:

  1. In the District Data Sharing section, click Revoke.
  2. Confirm the action.

Revoking is immediate — your district will no longer be able to see your group's aggregated data. The district link itself is preserved for audit purposes, so if you change your mind later, the district can send a new invitation.

Event safety statement

Open Settings → Governance and find the Event safety statement section. It holds The Scout Association's standard safety and insurance wording, which Scoutworks shows on every event so your leaders never have to retype it. Only Group Admins can change it.

Turning the statement off for the whole group

Switch off Show on events and parent views. The statement then disappears from every event and from the event details parents see.

Leave it on and a leader can still hide it on a single event from that event's About card — see Creating Events.

Using your own wording

If your group has agreed an amended statement, type it into the Wording box and click Save. You have up to 2,000 characters. The box is greyed out while the statement is switched off.

An empty box means the standard national wording, not no statement at all. Clearing the box removes your amendment and puts The Scout Association's wording back. The toggle above is the only thing that stops the statement appearing.

The What parents will see panel under the box shows the exact text parents will read, including any edits you have not saved yet. If you have switched the statement off, the panel tells you that instead.

Danger Zone

The Danger Zone section (admin only) contains sensitive operations:

  • Edit Group Name — change your group's display name.
  • Edit Group Postcode — update your group's location.
  • Delete Group — permanently delete your group and all its data. This requires two confirmations and automatically cancels your Stripe subscription.
