Sometimes you need to pause a volunteer's access without losing everything you have on them — a formal safeguarding or disciplinary suspension, or simply someone stepping back for a while. Until now the only option was to remove them and add them back later, which wiped their history. Suspending a volunteer cuts their access straight away while keeping their whole record, and reinstating them puts everything back in a single click.
Who can do this
Only Group Admins can suspend or reinstate a volunteer. Volunteers don't see these actions. There are two sensible guardrails:
- You can't suspend yourself.
- You can't suspend the last active Group Admin — that would lock everyone out of the group.
Suspending a volunteer
You can do this from the Team page, either from a volunteer's row menu or from their profile.
- Go to Team in the sidebar.
- Find the volunteer, open the ⋯ menu on their row (or open their profile), and choose Suspend access.
- Optionally pick a reason and add a note, then confirm.
The reason is entirely optional. If you want to record one, you can choose from:
| Reason | When to use it |
|---|---|
| Formal suspension | A safeguarding or disciplinary suspension |
| On leave / break | Someone stepping back for a while |
| Other | Anything else — add a note to explain |
What happens while someone is suspended
- Their access stops immediately. They can no longer sign in to this group or see any of its data.
- They stay in your team list, clearly badged Suspended — they're not hidden and not in the "removed" bucket. Use the Status filter on the Team page to find suspended volunteers quickly.
- They stay on any future events they were already down for, shown with a Suspended flag on the event's attending-adults list. Nothing is removed automatically — you can choose to replace them on a given event if you need to.
- They no longer count towards adult supervision ratios, so your cover figures stay honest while they're paused.
- Their full record and history are kept — nothing is deleted.
Suspension only affects this group. If the volunteer also helps at another group in Scoutworks, their access there is untouched.
Reinstating a volunteer
When they're ready to come back:
- Go to Team, find the suspended volunteer, and open their row menu or profile.
- Choose Reinstate access and confirm.
Their previous role and full access come back in one step — no need for them to sign up again or be re-invited, and their event slots and ratio cover return to normal. Any reason you recorded is cleared.
