Explorers who volunteer at your group as Young Leaders can have their own Scoutworks login. They get a focused view: enough to help run sessions, take attendance and draft programme ideas, but no access to sensitive data like finance or full member records. It takes a minute, and any Volunteer or admin can do it.
A Young Leader login always starts from the Explorer's existing member record. That way, their badges, awards and attendance stay with them.
Before you start
- The Explorer must be a member of your group. If they're not in your member list yet, add them first, or share them from their home Explorer unit if they're based elsewhere.
- Check their date of birth. Young Leaders are 14 to 17. Only members in that age range appear in the list. Members with no date of birth appear too, in a separate group, so you can check their age yourself.
Where to start
You can start from either of these places. Both open the same short flow.
- Settings → Users: in the Young Leaders card at the top of the page, click Add Young Leader.
- YLs page (under People in the main menu): click Add Young Leader at the top of the page. If you have no Young Leaders yet, click Add a Young Leader in the middle of the page.
You'll also find Make an Explorer a Young Leader as an option when you click Add user in Settings → Users.
Adding a Young Leader, step by step
- Choose the Explorer. Search for them and select their name. Each person's age shows beside their name.
- Enter their email address. Use the Explorer's own email, not a parent's. They use it to set up and sign in to their login.
- Choose the sections they help with. Pick the younger sections they volunteer in, for example Beavers or Cubs. Their own Explorer section isn't listed, because it stays their home section.
- Check the summary and click Make Young Leader.
The Explorer gets a welcome email with a link to set their password. Once they sign in, they see only the sections you chose. They stay a member of their Explorer section, and their badges and history stay on their record.
What Young Leaders can access
Young Leaders see a focused version of Scoutworks scoped to the sections you assigned.
| Area | What they can do |
|---|---|
| Dashboard | Overview of upcoming events for their volunteer sections |
| Events | Create draft events (a leader publishes them), take attendance on the night, and manage parent helper responses |
| Badges | Browse badge progress for members in their sections |
| Young Leader Award | Track their own Award — modules, Missions, helping hours and a private reflective log |
| Risk Management | Read risk assessments for events in their sections |
| Equipment | View equipment and submit requests |
| Team | See the team directory for their sections |
They cannot see Members, Finance, Email, Knowledge Base, Insights, or Settings.
