Accepting your invitation
Your group leader will send you an invitation email. Click the link to open the account setup page where you will:
- See your email address pre-filled.
- Set a password (with a live requirements checklist showing what your password needs).
- Confirm your password.
- Create your account.
Once your account is created, you are taken to the Parent Dashboard.
The Parent Dashboard
Your dashboard gives you a quick overview of everything that needs your attention:
- My Children — how many children you have linked in the group.
- Upcoming Events — events coming up for your children.
- RSVPs Required — events that need your response, with urgency colour coding and deadline dates.
- Actions Required — events needing a response and payments awaiting approval.
- Calendar — upcoming events at a glance.
- Waiting List — if your child is on the waiting list, you will see their status here.
Navigating the parent portal
The parent sidebar (with a purple colour scheme) gives you access to:
| Menu item | What it does |
|---|---|
| Parent Dashboard | Your home page with actions and upcoming events |
| My Children | View and edit your children's details |
| My Children's Events | See all events and RSVP |
| Badge Progress | View your children's badge progress and submit evidence |
| My Finances | Manage payments, subscriptions, and Gift Aid |
| Knowledge Base | Access documents shared by leaders |
Waiting-list-only parents
If your child is on the waiting list but has not yet been offered a place, you will see a simplified dashboard showing only the waiting list status. Full access unlocks when your child becomes a member.
Consent forms
When your child's leader adds a consent requirement to an event (such as a permission form for target shooting or a medical declaration for a camp), you will receive an email with a secure link to the permission form. You do not need to be logged in to Scoutworks to complete it — the link is unique to your child and the specific event.
Completing a consent form
Clicking the link in the email opens a multi-step permission form wizard:
-
Medical review — Scoutworks shows your child's current medical information and dietary requirements as held on file. Review the details, confirm they are up to date by ticking the confirmation checkbox, and optionally add any additional medical notes relevant to this particular activity.
-
Activity permission — You will see the data protection notice and legal declaration for the consent type (e.g. the Firearms Act declaration for target shooting). If the consent form includes specific activities (such as different shooting disciplines), select the ones you give permission for. You must select at least one activity to proceed.
-
Signature — Draw your signature in the signature pad and select your relationship to the child from the dropdown (Mother, Father, Legal Guardian, Carer, or Other). Today's date is recorded automatically.
-
Review and submit — A summary screen shows your child's name, the event, the consent type, which activities you have approved, your medical confirmation, and your signature. Review everything, then click Submit Permission Form.
After submitting
Once submitted, a confirmation screen confirms the form is complete. Your leader can see your response immediately in Scoutworks and can download a PDF copy for their records. If you need to make changes after submitting, contact your group leader — they can remove and re-add the consent requirement so you receive a fresh form.
If you have already submitted
If you click the consent link again after submitting, Scoutworks will show a message confirming the form has already been completed. No further action is needed.
