Sharing Your District Waiting List Link

How district admins share one waiting list link covering every group in the district — as a short link parents can type, or a QR code for printed recruitment posters.

A family moving into the area rarely knows which Scout group they want — they just want their child to join something nearby. The District Portal Link gives you one form covering every group and unit in your district: a parent applies once, and the application lands with the right group.

This article is for district admins. Individual groups share their own waiting list separately — see Setting Up Your Waiting List.

Where to find this

Switch into your district using the context switcher in the top-left, then click Waiting Lists in the sidebar. The District Portal Link card sits at the top of the page and tells you how many groups and units the form currently covers.

The card shows a short link — brief enough to read out at a school gate, type from a poster, or drop into a Facebook post without swallowing the whole message.

ActionWhat it does
Copy LinkCopies the link to your clipboard, ready to paste into an email, WhatsApp message, or social post. The button confirms with Copied!
PreviewOpens the form in a new tab so you can see exactly what parents see.

Your district's link never changes once it exists — so a link you shared last year still works, and a poster printed today won't go stale.

The QR code

Beneath the link is a QR code for posters. Scanning it opens exactly the same form, which makes it the easiest option for anything printed — recruitment posters, noticeboards, a card on a table at the summer fete.

Click Download PNG to save it. The download is print-ready at 512 pixels square, so it stays sharp at poster size rather than turning blocky.

What parents see

A parent who opens the link — or scans the code — lands on the standard waiting list form, listing every group and unit in your district for them to choose from. They don't need a Scoutworks account, and applications go straight to the group they pick.

If the link ever opens a form with no groups on it, check that groups are connected to your district — see Managing Groups in Your District.
