A district runs on many people. Your District Lead Volunteer needs to see everything, an events lead needs to run the district camp, and a deputy might only need to look at the figures. Each person on your district team has one of three roles, so they get what they need and no more.
Finding someone on the Team page
The Team page shows your district team, and the admins, leaders and trustees of every connected group.
- Filter by group, section or role, or search by name.
- Switch between cards with photos and a table of roles, groups and sections.
The three roles
| Role | What it can do |
|---|---|
| Admin | Everything a volunteer can do, plus the district team and settings. |
| Volunteer | Runs district events, venues and files, sends broadcasts, and reads group figures. |
| Viewer | Reads district figures and events. Changes nothing. |
Give someone the smallest role that lets them do their job. An events lead usually needs Volunteer. A District Lead Volunteer or district administrator usually needs Admin.
What each role sees
| Page | Admin | Volunteer | Viewer |
|---|---|---|---|
| Dashboard | Everything, including Needs you | Totals, groups and Send broadcast | Totals and groups |
| Events | Create, share and email families | Create, share and email families | Look only |
| Broadcasts | Compose, send and branding | Compose and send | Sent history only |
| Waiting lists | Yes | No | No |
| Young Leaders | Yes | Yes | Yes |
| Insights | Yes | Yes | No |
| Charity registration | Yes, and Refresh | Yes | Yes |
| Settings | Yes | No | No |
Admins and volunteers can email the families of groups taking part in a district event. Viewers cannot. See Emailing families about a district event.
Inviting someone to the team
Only admins can invite.
- Click Settings, then open the Users tab.
- In Team management, click Invite user.
- Enter their Email Address, First Name and Last Name.
- Choose a Role. The form starts on Viewer, the safest choice.
- Click Invite User.
If the person is new to Scoutworks, they get an email telling them how to reach the district portal. If they already have a Scoutworks account, for example as a leader in a group, they join your team straight away.
Changing someone's role
- In Team management, find the person and open the actions menu on their row.
- Click Change role.
- Choose Admin, Volunteer or Viewer.
- Click Save role.
Their access changes straight away. If you change your own role, Scoutworks reloads your view so you see what your new role allows.
Your district must always have at least one admin. Scoutworks does not let you change the role of the last admin, or remove them.
Removing someone
- Open the actions menu on their row.
- Click Remove, then confirm.
You cannot remove yourself. If you are leaving the district, ask another admin to remove you.
A district role and a group role are separate
Someone can be a volunteer on your district team and a leader in their own group. Each role applies only where it was given. When they switch between the district and their group, Scoutworks shows what that role allows in that place. See Moving between your district and your groups.
