Parent Helpers and Young Leaders

How to manage parent volunteers and young leader involvement in events.

Parent helpers

Many events — especially camps, trips, and large activities — need parent volunteers. Scoutworks helps you manage parent helper sign-ups and deadlines directly within the event.

Setting up parent helpers for an event

When creating a Camp or Activity/Trip, the dialog includes a Helpers tab where you can:

  • Enable parent helper sign-ups for the event.
  • Set a Parent Helper deadline — the date by which parents must volunteer.

Parents see the helper request when viewing the event and can sign up through their portal.

When you accept a parent's offer to help, they get a confirmation email so they know they're expected on the day:

If you have enough helpers and decline an offer, the parent is let down gently by email too:

Managing event leaders

Every event has leadership fields to ensure clear responsibility:

  • Leader in Charge — the primary leader responsible for the event. This should be the person making decisions on the day.
  • Attending Leaders — other leaders who will be present and helping.

These fields are available in all event creation dialogs (Camp, Programme Meeting, and Activity/Trip) under the Leaders tab.

Young leaders

Young leaders (typically Explorer Scouts helping with younger sections) have their own role in Scoutworks. Their sidebar shows: Dashboard, Events, Badges, and Equipment.

Young leaders can:

  • View events they are involved in.
  • See their own badge progress.
  • Access equipment relevant to their activities.

They cannot see member lists, finance, email, or group settings — keeping their access appropriate to their role.
