Planning a Term with AI

How to let Scoutworks draft a term of section nights around your badge goal — fill the empty weeks, redo the whole term or just a few nights, then edit every week before anything reaches parents.

Even with the badge goal chosen and the weeks laid out, a term plan still has a lot of blanks: what actually happens on each night, in what order, with what kit. Plan with AI fills those blanks for you. Tell it anything it should know about your section, and it drafts a title, leader notes and two or three activities for each night, each one tagged with the badge requirement it works towards. Every week comes back as a draft you can edit, move or replace, and nothing reaches parents until you publish the term yourself.

This feature is currently in beta. Turn it on in Settings → Beta Programme.

Where to find it

Open a plan in the Programme planner (from Tools in the sidebar), then choose Programme actions → Plan with AI at the top right. It's available to leaders and group admins. If you don't see the option, check that your group has joined the beta programme.

Choosing which weeks to plan

The panel that opens asks two things: which weeks, and anything the AI should know.

OptionWhat it does
Fill the empty weeksThe default. Only weeks with nothing planned yet are filled; weeks you've already worked on are left exactly as they are.
Plan the whole termReplaces the activities in every week. Badge requirements you've already assigned to a week stay pinned to that week.
Pick the weeksTick the individual nights you'd like redone — handy when one week didn't land and the rest of the term is fine.

Under that, the Anything the AI should know? box is where the useful steering goes. Short, practical notes work best:

  • "Our hall has no cooker."
  • "Week 6 is a campfire in the woods."
  • "Avoid anything that needs a swimming pool."

Press Plan N nights. It usually takes under a minute. When it's done, the plan refreshes with the new drafts in place and the coverage panel updates to show which badge requirements the term now covers.

What comes back

For each night you asked for, the draft includes:

  • A title for the night and leader notes — the aim of the evening, anything to prepare, and safety points such as an activity that needs extra adults or a permit.
  • Two or three activities in order, sized to fit your usual meeting length, each with a short description of how to run it and a kit list.
  • The badge requirement each activity works towards, matched to the goal you set for the plan. The AI can only use requirements from your badge goal, so it can't invent one.

Everything is a normal planner activity from here. Swap one for a suggestion from the activity library, edit the wording, drag it to another week, or delete it. The coverage panel treats AI-drafted activities exactly like ones you added yourself.

What the AI is told, and what it isn't

The AI receives your section's age group, how long your meetings run, the name of your venue, the term dates, the badge requirements in your goal, and the notes you typed. It is never given any young person's name or details. Names, email addresses and phone numbers are stripped from your notes before they are sent, so a note like "Sam's mum is a chef" arrives without the name.

Included generations

Every group gets a generous number of included AI generations each month. The panel shows how many are left and when they reset. If your group uses them all, the Plan button stays visible but switches off until the 1st of next month, or a group admin can connect the group's own AI account to remove the limit — see Connecting Your Own AI Provider.
