Using the Calendar

How to navigate the events calendar, view different event types, and subscribe to the group calendar from your own apps.

The Events page

Click Events in the sidebar to open the events calendar. This is your central view for everything happening in your group — camps, weekly meetings, activities, and trips.

Calendar views

The calendar supports monthly and weekly views, letting you zoom in on a specific week or see the bigger picture for the month ahead. Use the navigation controls to move between months or weeks.

Event types

Events are colour-coded by type so you can tell them apart at a glance:

  • Camps — multi-day residential events.
  • Programme Meetings — regular section meetings (weekly, fortnightly, etc.).
  • Activities/Trips — one-off outings and special activities.

Filtering by section

If your group has multiple sections, you can filter the calendar to show events for specific sections only. This is particularly useful for leaders who manage one section and want to focus on their own programme without the clutter of other sections' events.

Event visibility

Events start in Draft status and are only visible to leaders. Once published, they appear on the calendar for parents too. Draft events may appear differently styled so you can tell which events parents can see.

Viewing event details

Click any event on the calendar to open the Event Details dialog. From here you can see all the event information, manage RSVPs and attendance, view costs and payments, and take actions via the Event Actions dropdown.

Subscribing to the group calendar

You can subscribe to the group calendar from Apple Calendar, Google Calendar, or Outlook so events show up alongside everything else in your week. This is the same set of events you see in Scoutworks — useful for quickly checking your phone calendar without opening the app.

Open the events calendar and click the Subscribe icon in the top-right toolbar. A dialog opens with a URL for the whole group, and one URL for each section.

Pick the URL you want — the group URL gives you everything; section URLs give you just one section. Copy it, then add it to your calendar app:

AppWhere to add it
Apple Calendar (iPhone, iPad, Mac)Calendar → File → New Calendar Subscription, then paste the URL
Google CalendarUse the Add to Google button in the dialog, or Google Calendar (web) → Other calendars → + → From URL
Outlook (web)Outlook → Calendar → Add calendar → Subscribe from web, then paste the URL

Once added, your calendar app checks for updates every 15 to 30 minutes. New events, time changes, and cancellations appear automatically.

How parents subscribe

Parents have their own version of this — a private feed in their profile that shows only their children's events, with a button to replace the URL anytime if they think it's been shared. If a parent asks how to add the calendar to their phone, send them to Subscribing to Your Calendar Feed.
